Most small businesses only need the free app. If you're reading this because someone told you WhatsApp is "essential" for your business, it is, but the setup itself is the easy 10% and the account verification is the part that eats your time.

I've set this up for my own consultancy and walked at least a dozen clients through it over the last couple of years, and the thing nobody tells you before you start is that Meta's system doesn't care how long you've been trading. It only cares whether your paperwork matches, to the letter, right now.

WhatsApp Business App vs WhatsApp Business Platform: pick the right one first

Before you touch a single setting, work out which version you need, because they're built for completely different jobs.

  • WhatsApp Business App - free, downloads like any other app, one person or a small team manages it from a phone or the desktop version. Fine for solo consultants, local shops, tradespeople, small agencies. Handles hundreds of chats a day comfortably.
  • WhatsApp Business Platform (formerly the API) - built for automation, multiple agents, chatbots, and volume. You need this if you're sending order updates at scale, running a support team of five or more, or plugging WhatsApp into a CRM. It's not an app you download, it's an integration you build or buy through a partner.

If you're not sure which camp you're in, read up on how the WhatsApp Business API works for growing companies before you commit, because moving from the free app to the Platform later means starting your verification again from scratch. I've seen a client lose three weeks doing exactly that because their agency told them to "just start with the app" without mentioning the migration wasn't a simple upgrade.

What you need before you start

Have these ready before you open anything. Meta's onboarding flow stalls the moment one of these is missing.

  • A phone number not currently active on personal WhatsApp (you can port a number over, but it wipes your existing chat history)
  • Access to receive an SMS or call on that number for verification
  • Your registered business name exactly as it appears on your business registration document (Companies House number in the UK, EIN in the US)
  • A business email address on your own domain, not a Gmail or Yahoo address, this matters more than people think
  • Your business address, matching what's on your website footer and any utility bill or bank statement you might be asked to upload
  • A logo, ideally square, at least 640x640 pixels

Setting up the free WhatsApp Business App: the actual steps

  1. Download "WhatsApp Business" from the App Store or Google Play, it's a separate app from regular WhatsApp, not an upgrade inside it.
  2. Open it and verify the dedicated phone number by SMS or voice call code.
  3. Restore a backup if prompted, or start fresh, most businesses start fresh.
  4. Fill in your Business Profile: name, category, description (up to 512 characters), address, business hours, and website.
  5. Choose your category carefully here, it affects how customers find and trust you and it's fiddly to get right, so it's worth reading through which WhatsApp Business category you should choose when setting up your profile before you lock it in.
  6. Set up your Away Message and Greeting Message under Settings, Business Tools, so you're not silent outside working hours.
  7. Build a Quick Replies list for your five most common questions, delivery times, pricing, opening hours, whatever people ask you.
  8. Add a Catalog if you sell physical products, this shows images, prices, and descriptions right inside the chat without anyone leaving WhatsApp.

That's it for the app version. Most people can be live and taking messages inside 20 minutes. The Meta connection at this stage is light, you're not required to build a full Business Portfolio unless you want the green verification badge or plan to run ads that link to WhatsApp.

Connecting to Meta Business Suite (and why you probably should)

Even on the free app, I push every client to link their WhatsApp Business account to Meta Business Suite (business.facebook.com). It means you manage WhatsApp, Facebook Page messages, and Instagram DMs from one inbox instead of switching between three apps all day, which sounds small until you're the one person answering messages and you've missed a WhatsApp order because you were staring at Instagram comments.

  1. Go to business.facebook.com and create a Business Portfolio if you don't already have one.
  2. Under Accounts, add your WhatsApp account and follow the prompt to link it, which sends a confirmation to your WhatsApp Business App.
  3. Assign staff access under People, so team members can reply without you handing over your personal login.

Setting up the WhatsApp Business Platform (the API route)

If you've decided you need automation, multiple agents, or you're sending high volumes of order updates and appointment reminders, this is the heavier version, and it goes through Meta differently.

  1. Create or use an existing Meta Business Portfolio at business.facebook.com.
  2. Go through Business Verification, this is where Meta checks your registration documents against your submitted details. Expect this to take anywhere from a few days to four weeks. It is not instant and it is not guaranteed.
  3. Choose how you're accessing the Platform, either through Meta's own direct onboarding via the WhatsApp Manager, or through a Business Solution Provider like 360dialog, Twilio, or MessageBird, who handle the technical hosting for a monthly fee.
  4. Register your phone number in WhatsApp Manager, note it can't already be active on the standard app or Business App at the same time.
  5. Set up and submit Message Templates for anything you'll send outside a 24-hour customer reply window, these need Meta approval before they can go out, usually within minutes but occasionally rejected for vague wording. Getting these right the first time matters, because rejected templates delay your launch and a badly written one gets ignored by customers even after it's approved, so it's worth reading how to design WhatsApp Business templates that convert before you submit anything.
  6. Set your conversation-based pricing tier with Meta, costs vary by country and category, but as a rough guide UK businesses were seeing per-conversation fees in the low pence range for utility and authentication messages, rising for marketing conversations, so budget for this as an ongoing line item, not a one-off setup cost.

The verification problem nobody puts in the headline

Here's the bit that most guides skip because it makes the process sound less appealing. Meta's Business Verification is not a formality. It is a genuine checkpoint, and it rejects a meaningful chunk of small business applications on the first attempt, mostly for reasons that feel petty when you're on the receiving end.

A client of mine, a boutique homeware shop in Essex, got rejected twice. First time because the business address on their Companies House filing was their accountant's office, not their actual trading address on their website footer. Second time because their uploaded utility bill was three months old and Meta wanted something dated within 90 days. Each rejection added roughly a week of back-and-forth before we got it sorted. Three weeks, total, for a shop that just wanted to send order confirmations.

Nobody tells you this because "download the app, fill in your profile" sells better as a headline than "budget three to four weeks and make sure every single document says the exact same address." But if you're planning a launch date around WhatsApp Business Platform access, build in that buffer. Don't announce a go-live date to your team or your customers until verification has cleared, because Meta doesn't fast-track anyone for having a deadline.

Common mistakes I see people make

  • Using a personal number that's already active on regular WhatsApp. You'll be forced to migrate or lose your existing chat history, plan for a dedicated number from day one.
  • Skipping the category choice. Picking a generic "Other" category when a specific one exists makes you harder to find and looks less credible to anyone checking your profile before messaging you.
  • Writing template messages that sound like adverts. Templates get approved on wording, but customers ignore anything that reads like a promotional blast, keep it conversational.
  • Not assigning a second person access. If you're the only one who can log in and you're on holiday, your business messaging stops. Add someone under Meta Business Suite's People settings before you need them to.
  • Assuming setup is a one-off job. Meta has changed WhatsApp Business rules and pricing more than once in the past couple of years, it's worth keeping an eye on what changed in the latest WhatsApp Business update and what it means for your customer chats so you're not caught out by a policy shift mid-quarter.

What I'd do if I were starting today

Start with the free App. Get your profile, hours, catalog, and quick replies sorted this week. Watch for three things over the next month, how many people message you, how many of those turn into sales or bookings, and whether you're missing messages because you're the only one checking it. Only move to the Business Platform once you've got proof WhatsApp is pulling its weight, not because a sales call convinced you that automation is the only "proper" way to do it. I've watched businesses spend money on API access and a solutions provider before they'd even proven fifty people a month wanted to chat with them on WhatsApp at all.
