Most businesses write templates like tiny emails, with a greeting, three sentences of context, and a call to action buried at the bottom, and that's why they sit unread. I've rewritten templates for clients where cutting the word count by half doubled the reply rate.

The template categories Meta forces you to pick, and why it matters more than your copy

Before you write a single word, WhatsApp makes you choose a category: Marketing, Utility, or Authentication. This isn't a formality. It decides how much you pay per conversation, how strict the approval process is, and whether your message even lands in the 24 hour window without a fresh opt-in.

Utility templates (order confirmations, appointment reminders, shipping updates) get approved fast, usually within a few hours, and cost less per conversation in most markets. Marketing templates go through tighter review, take 24 to 48 hours to approve on a normal day and up to a week during Meta's busier review periods, and cost noticeably more. I've seen clients pay two to three times more per marketing conversation than per utility conversation in the same market, which changes the maths on whether a discount code template is even worth sending.

The seven part structure I use for every template

Every template I build for a client, whatever the industry, follows the same skeleton. I stopped freestyling years ago because freestyled templates get rejected or ignored.

  • Header (optional, 60 characters max): name the business or the specific action, never a generic greeting.
  • First line: the variable goes here. {{1}} is the person's first name or order number, not "valued customer."
  • Body (1024 characters max, but I never use more than 300): one benefit, one piece of proof, one ask.
  • No more than one question mark in the whole message. Multiple questions split attention and reply rate drops.
  • Footer (60 characters max): the trust line. "Reply STOP to opt out" or your business name again.
  • Buttons: maximum three quick reply buttons, or two URL buttons plus one phone button. Never mix more than that or Meta rejects it outright.
  • Send window: plan the template around the 24 hour customer service window, not around your own posting schedule.

That's the whole structure. It sounds almost too plain, and that's the point.

A real example: the fitness studio template that got throttled

A boutique fitness client of mine, a small studio with four locations, came to me after their WhatsApp number got quality rated red. Their marketing template read something like: "Hi there! We hope you're having a wonderful week. We wanted to let you know about our exciting new class schedule and remind you that we have some fantastic offers available this month, so don't miss out, book now!"

Four sentences, two exclamation marks, no variable, and a call to action at the very end. Their messaging tier had dropped from 10,000 messages per rolling 24 hours down to 1,000, because too many recipients blocked or reported the number. That throttling isn't a minor inconvenience, it means your studio literally cannot reach the rest of your list until Meta trusts you again.

We rewrote it to: "{{1}}, your Tuesday 6pm spot at [Studio] is still open. Reply YES to hold it, or tap below to see this week's full schedule." One variable, one action, one button. Reply rate went from under 3 percent to just over 11 percent within the first fortnight, and the quality rating climbed back to green within three weeks of consistent sending.

The character and variable rules that trip people up

A few limits that catch people out constantly:

  • Variables must appear in a logical order and can't be placed back to back without text between them (so {{1}} {{2}} in a row gets flagged).
  • You can't use a variable in the header of an authentication template.
  • URL buttons can contain one dynamic variable at the end of the link, not the whole URL.
  • Emoji is allowed but heavy use in Marketing templates increases rejection risk, I keep it to one, if any.
  • Template names (the internal label, not what the customer sees) must be lowercase with underscores, no spaces, which sounds trivial until your submission bounces back for exactly that reason.

The uncomfortable truth about open rates

Every WhatsApp marketing pitch quotes the same statistic: 98 percent open rates. It's true, and it's almost useless on its own. A message getting opened tells you nothing about whether it converted, and treating that number as a success metric is how businesses end up sending more templates than their list can tolerate, which is exactly what tanks the quality rating in the first place.

The businesses getting real results aren't the ones sending the most templates. They're sending fewer, better targeted ones, with a variable that proves relevance and a single clear next step. I'd rather a client send one sharp template a week that gets a 15 percent reply rate than five templates that get opened and ignored, because Meta's algorithm punishes the second pattern with reduced delivery, and your customers punish it by muting you.

Step by step: building and testing a template that converts

  1. Write the single outcome first. Not "increase engagement," something concrete like "get 20 people to rebook their Tuesday slot."
  2. Draft three versions with different first lines, same body and button.
  3. Submit all three for approval under different template names so you're not waiting on one to fail before trying another.
  4. Send to a segment of 200 to 500 contacts before rolling out to the full list.
  5. Track reply rate and button tap rate separately, not just delivery. Delivery tells you almost nothing.
  6. Retire any template under a 5 percent reply rate rather than letting it run and quietly damage your quality score.
  7. Log every version, send date, and result in a simple spreadsheet so you're not relying on memory three months later. Common rejection reasons, and how to avoid them

  • Vague or generic content with no clear business purpose, Meta wants to see the utility or relevance immediately.
  • Grammar or formatting inconsistent with the stated category, for example a "utility" template that's clearly promotional.
  • Missing opt out language on marketing sends.
  • Broken variable syntax, curly braces without a number inside, or numbers out of sequence.
  • Duplicate content too close to a previously rejected template, Meta's review system flags near matches.

If a template gets rejected, don't resubmit the identical text hoping for a different reviewer. Change the structure, not just a word or two.

Where WhatsApp templates fit into your wider funnel

Templates work best when they're the sharp point of a system you've already built elsewhere, not the whole strategy. If someone's discovered you through an Instagram highlight showcasing your services, the WhatsApp template that follows should reference that specific interest rather than sending a generic welcome.
