The biggest change since 2021 is that AI has moved from being a “nice to have” curiosity into something that is genuinely central to how efficient businesses run. Tools like Claude, ChatGPT, and Gemini are now part of the daily workflow for many of my clients and honestly for me too. I use them for drafting, summarising, planning, and cutting down the back-and-forth that used to eat hours of my week. If you are not using AI in your workflows yet, you are almost certainly working harder than you need to.
Project management has also matured enormously. In 2021 I was recommending a fairly short list of platforms. Now the category is crowded, the integrations are far better, and most tools have AI assistants baked right in. My honest advice for 2026 is to stop chasing the newest app and instead audit what you already pay for. Most businesses I consult with are over-subscribed on software and under-utilising what they have. Consolidate first, then optimise.
Automation is the other area where I have updated my thinking. In 2021 we were mostly talking about simple “if this then that” triggers. In 2026 you can build multi-step automated workflows without writing a single line of code, using tools like Make or Zapier’s current AI-assisted builder. The barrier is lower than ever, which means your competition is automating too. You cannot afford to treat this as optional any more.
Finally, and I say this with some bluntness, streamlining your business in 2026 is as much about what you stop doing as what you start doing. The businesses I see thriving right now have ruthlessly cut meetings, simplified their service offerings, and stopped saying yes to every opportunity.
