How Do You Download And Set Up WhatsApp Business (A Straight Walkthrough)

The short version: download the free WhatsApp Business app from the App Store or Google Play, verify it with a phone number that is not already tied to your personal WhatsApp, then build out your business profile, catalogue, quick replies and away message before you tell a single customer it exists. Do the profile work first. Most people download it, verify it in ninety seconds, and never touch the setup again, which is why their business account looks exactly like a personal chat with a green icon slapped on it.

What you need before you download anything

I made the classic mistake myself back when I first set this up for client enquiries. I downloaded WhatsApp Business straight onto my existing phone and tried to verify it with the same number I already used for personal WhatsApp. It will not let you do that. Two separate WhatsApp accounts, personal and business, cannot share one phone number on the same device without you archiving or deleting the original account first, and I nearly wiped five years of personal chat history trying to force it through.

So before you download, decide on your number. You have three real options:

  • A second SIM or eSIM with a new number, dedicated to the business, on either the same phone or a separate one
  • A landline number, which WhatsApp will verify by an automated phone call instead of text
  • Your existing business landline or VoIP number if you already have one for the office

Most freelancers and small business owners I work with go with a cheap second SIM, around £5 to £10 a month from a provider like giffgaff or Lebara in the UK, sat in a second phone or an old handset kept charged in a drawer. It sounds fussy, but it means your personal chats with your mum and your kid’s school WhatsApp group never end up two swipes away from a customer complaint at 11pm.

Downloading and verifying the app

The download itself is the easy part.

  • On Android, open Google Play, search “WhatsApp Business”, and install it. The developer listed should be WhatsApp LLC.
  • On iPhone, open the App Store, search the same term, and install it there.
  • Open the app and tap Agree and Continue.
  • Enter the country code and phone number you have chosen for the business (not your personal one).
  • WhatsApp sends a six-digit code by SMS. If it does not arrive within a minute or two, tap to request a phone call instead, which works well for landlines.
  • Enter the code, allow the app to access contacts and, if you want, your photos and camera.

That is the entire technical bit done in under five minutes. The bit that matters comes next, and it is the bit almost everyone skips.

Building the business profile

Once verified, go to Settings, then Business tools, then Business profile. This is where you turn a chat app into something that looks like a real business rather than a bloke texting from his sofa.

Fill in every field:

  • Business name, which you can only change once you have set it, so get it right the first time
  • Category, chosen from a dropdown list (retail, professional services, restaurant and so on)
  • Description, 139 characters, so write something specific rather than vague, for example “AI and marketing consultancy helping UK small businesses use ChatGPT and automation to save time” beats “we help businesses grow”
  • Address, with a map pin if you have physical premises
  • Business hours, and mark yourself as always open, or set exact hours per day if you want people to know when to expect a reply
  • Website, one link only
  • Email

Then add a profile photo. A logo, not a selfie, unless you are the brand personally in which case a proper headshot works fine. I use a clean headshot on mine because I am the product people are buying, but a bakery or a plumber should use their logo.

The catalogue, and why most people never bother

Under Business tools you will also find Catalogue. This lets you list up to 500 products or services with photos, prices and descriptions, right inside the app, so a customer can browse without ever leaving the chat. A hairdresser can list her price list. A consultant can list packages. A shop can list actual stock.

Almost nobody sets this up, which is exactly why it works when you do. I have watched a client, a small skincare brand in Hertfordshire, go from sending price lists as screenshots to having a proper scrollable catalogue in the app, and their reply-to-sale time dropped noticeably because customers stopped asking “how much is X” over and over. It took her about ninety minutes to photograph and list forty products. She said it felt like the least glamorous marketing task she had ever done and also one of the most useful.

Away messages, greeting messages and quick replies

This is the part that turns WhatsApp Business from a chat app into something that runs while you sleep.

  • Greeting message: sent automatically to anyone messaging you for the first time, or after 14 days of silence. Something like “Thanks for messaging! I usually reply within a few hours on weekdays” sets expectations immediately.
  • Away message: set a schedule (evenings, weekends, holidays) so people get an automatic reply outside your working hours instead of silence.
  • Quick replies: up to 50 saved responses triggered by typing a forward slash and a shortcut. If you get the same three questions every week (“what’s your pricing”, “do you deliver”, “what are your hours”), write the answer once, save it as /pricing, and never retype it again.

I built five quick replies in my first week using WhatsApp Business and it saved me roughly 20 minutes a day, mostly because half my enquiries were the same question worded slightly differently. That is not a huge number on its own, but multiplied across a year it is over 80 hours, which is two full working weeks I got back just from typing less.

Labels, which nobody talks about enough

Under a chat, you can long-press and tag it with a label such as New customer, Pending payment, Order complete or a custom one you create yourself, up to 20 in total. This is the closest thing WhatsApp Business gives you to a mini CRM, and it is the single most underused feature I see in client accounts. If you are managing more than a handful of conversations a day, labels are the difference between finding “that customer who asked about the blue one three days ago” in ten seconds instead of scrolling for five minutes. It is a similar discipline to what I wrote about when I spent a week just organising my email inbox instead of my blog. Same principle, different app. If you cannot find the message, you cannot act on it, and the customer moves on to whoever replies first.

Getting your number known without spamming people

Once the profile is built, you need people to message you. A few ways that work without being annoying:

  • Add a “Chat with us on WhatsApp” link to your website and email signature, using the format wa.me/44your number
  • Put a QR code on receipts, packaging or a shop window, generated free from Meta’s own WhatsApp Business tools
  • Add the number to your Google Business Profile so it shows in search and maps
  • If you run Facebook or Instagram ads, use click-to-WhatsApp ad objectives so a customer’s first interaction after clicking is already a WhatsApp chat rather than a landing page form. The uncomfortable bit nobody mentions when they sell you on WhatsApp Business

Here is what most guides on this topic leave out. WhatsApp Business is free, and that is exactly the trap. There is no cost barrier stopping you from turning your phone into a 24-hour customer service line that everyone assumes you will answer instantly, because that is how WhatsApp works for personal chats. Customers who message you at 9pm on a Sunday do not think of it as “outside business hours”, they think of it as “I sent a WhatsApp”, and if you do not reply within the day, a chunk of them assume you have ignored them rather than that you were simply off work.

The away message helps, but it does not remove the psychological pressure of the little green dot showing you as “online” the moment you open the app to reply to your mum. Several clients have told me they started dreading opening WhatsApp altogether because it blurred the line between their personal life and their business inbox completely, which is the opposite of what a tool is supposed to do for you. If you are not disciplined about closing the app, muting notifications outside set hours, and respecting your own away message schedule, WhatsApp Business will quietly eat your evenings. Nobody selling you on “instant customer connection” tells you that part, so I am telling you now: set boundaries the same day you set up the profile, not six months in when you are already burnt out.

Migrating an existing personal number to Business

If you have been using your personal WhatsApp number for business chats for years and want to switch it over, you can migrate without losing history. Download WhatsApp Business, choose to use your existing number when verifying, and it will offer to transfer your chat history, contacts and media from the personal app automatically. Your old personal WhatsApp app becomes inactive on that number once the move is done, so this only makes sense if that number is dedicated to the business going forward.

I would think twice before doing this if any close friends or family have your number saved as your personal WhatsApp, because they will now be messaging your business account, seeing your business name and hours, and potentially getting an automated away message when they text you about Sunday lunch. It is a bigger decision than it looks.

What the green tick means

Some businesses show a green checkmark next to their name. That is Meta’s official business verification, not something you switch on in settings. To get it, you apply through Meta Business Manager, provide your business documents (registration number, VAT details or equivalent), and Meta reviews it, which can take anywhere from a few days to several weeks. A realistic setup timeline

If you want a rough schedule rather than doing it all in one overwhelmed evening, this is what I would do:

  • Day 1: sort your number, download and verify the app, fill in the basic profile (name, category, description, hours, address)
  • Day 2: write your greeting message and away message, set up three to five quick replies for your most common questions
  • Day 3: build your catalogue if you sell physical products or clearly defined services
  • Day 4: add labels, and go back through your last 20 conversations and tag them so the system has data in it
  • Week 2: add the wa.me link everywhere (website, email, socials, Google Business Profile) and generate a QR code if you have any physical presence

That spreads the work across roughly four to five hours total, in short manageable chunks, rather than one exhausting session where you give up halfway through the catalogue.
