How Do You Set Up the WhatsApp Business Icon and Profile Correctly?

The short version: a correct WhatsApp Business profile has a square photo of at least 640×640 pixels, a business name under 25 characters that matches your actual trading name, a 139 character description, a real category, and honest hours, and it takes about ten minutes if you do it in the right order. Most people set the icon first and the boring compliance fields last, which is backwards and it is why so many WhatsApp Business profiles still look half finished six months after launch.

Why this is worth doing

I set up a WhatsApp Business profile for my own consultancy in about seven minutes flat, and I still got two of the fields wrong on the first go. My business name defaulted to the phone number’s saved contact name, my icon got cropped into an odd rectangle on some Android phones, and my description sat empty for a full week because I assumed it had auto pulled from my website. It hadn’t. Clients were messaging me and seeing a blank profile with a blurry photo. Not a great first impression from someone who tells other people how to look credible online.

That’s the thing nobody says out loud: a WhatsApp Business profile is often the first proper look a customer gets at your business, before your website, before your emails, sometimes before they’ve even seen your logo anywhere else. If it looks half done, they assume you are half done.

Step one: install the app and pick the right number before you touch the icon

You cannot fix a profile if you have installed WhatsApp Business on the wrong number or on a phone you are about to swap out. I have seen three separate small business owners rebuild their entire profile from scratch because they set it up on a temporary SIM. Once the app is installed and your number is confirmed, go to Settings, then Business Tools, then Business Profile. Everything below happens in that one screen.

Getting the icon right (the part everyone rushes)

The profile photo, which is what shows up as your icon in chats and in search, has specific technical requirements that most guides gloss over:

  • Minimum recommended size is 640×640 pixels, square. Anything smaller gets stretched and looks pixelated on newer phones with high resolution screens.
  • File size limit is 5MB. Most exported logo files are well under this, so this rarely trips people up, but PNG files with transparent backgrounds sometimes balloon past it if exported at high DPI.
  • Use PNG for logos with sharp edges or text, JPG for photos. A logo saved as a low quality JPG will show visible compression artefacts once it’s shrunk into the tiny circular icon size.
  • Avoid text heavy logos. At icon size, most of the wording becomes unreadable. A clean mark, initials, or a simple symbol reads far better at 96×96, which is roughly what it shrinks to on most phone screens.

Here’s the uncomfortable bit nobody wants to hear: a slick, corporate looking logo icon is not automatically the right choice. I tested this with a client who runs a small bakery in Kent. She swapped her hand drawn logo icon for a “professional” flat vector logo made by a freelance designer, and her reply rate on WhatsApp dropped. Customers told her afterwards, when asked, that the new icon “looked like a big chain” and felt less personal for a shop they liked because it felt like theirs. She switched back to a photo of the actual shopfront with her name above the door. Reply rate went back up within a fortnight. Business name: the field you cannot easily change later

Your WhatsApp Business display name is limited to 25 characters and it should match your registered or clearly recognisable trading name. Once your business account is verified, or once you’ve had a decent volume of message traffic, changing this name is not instant. WhatsApp reviews name changes manually for business accounts and it commonly takes between three and seven business days, sometimes longer if the new name doesn’t obviously match your business description, website, or category.

So decide on the name once, before you go live. If you trade as “Lilach Bullock Consulting” but your customers know you as “LB Consulting,” pick whichever version is on your invoices and website, and use that exact string. Mismatched names between your website, your Google Business Profile and your WhatsApp profile is one of the quieter reasons customers hesitate to message, because it doesn’t quite look like the same business.

The description: 139 characters, no more

The “About” or description field is capped at 139 characters. That is tight, roughly the length of one short sentence plus a comma. Skip the temptation to cram in every service you offer. Instead, write one line that answers the one question every stranger has when they open a chat with a business they don’t know yet: what do you do, and for whom.

A few examples that fit the limit and do real work:

  • “Marketing consultancy for small B2B businesses. Message me for a free 15 minute audit.”
  • “Family run bakery in Tunbridge Wells. Order collection cakes 48 hours ahead.”
  • “AI implementation support for UK small businesses, 10 to 200 staff.”

Notice none of those are slogans. Slogans waste the character count. Specifics build trust faster than clever phrasing ever will.

Category, hours, address and links

These fields feel optional. They are not, if you want WhatsApp to work as a discovery channel rather than just a messaging box:

  • Business category pulls from a fixed dropdown with over 20 options, from “Retail” to “Professional Services” to “Health and Beauty.” Pick the closest match, this affects how your profile displays and how some directory style listings categorise you.
  • Working hours should be honest, not aspirational. If you reply between 9 and 5 on weekdays, say that. Listing 24/7 hours and then not replying until the next morning trains customers to distrust the field entirely, and once they distrust one field they tend to distrust the whole profile.
  • Address matters far more for local businesses than most owners assume. It’s what allows your business to surface when someone is searching for services nearby, and it reassures customers that you’re a real, locatable operation rather than a message dropped from nowhere.
  • Website field takes a full URL, and this is worth double checking, because a broken or mistyped link here quietly kills conversions. Greeting message and away message

Under Business Tools you can set an automated greeting message, sent the first time someone messages you or after 14 days of inactivity, and an away message for when you’re not available. Keep the greeting under two short sentences. Something like: “Thanks for messaging! I usually reply within a few hours on weekdays. If it’s urgent, call [number].” That single line does more for perceived responsiveness than any icon or logo, because it sets an expectation before you’ve even said a word yourself.

The green tick myth

People ask me constantly how to get the official green verification badge on their WhatsApp Business profile. Here is the part most guides quietly avoid saying clearly: the free WhatsApp Business app does not give you that badge through profile setup, no matter how perfectly you fill in the fields. The green checkmark is tied to Meta’s official business verification process, which runs through Meta Business Manager and typically applies to businesses using the paid WhatsApp Business Platform (the API), not the standalone app most small businesses use. It requires document verification, a registered business name matching official records, and Meta’s approval, which can take weeks and isn’t guaranteed even then. If you’re using WhatsApp for outbound, not just inbound

If your profile is going to be used for outbound prospecting rather than purely inbound customer chat, the profile setup matters even more, because a prospect who has never heard of you is judging your legitimacy on that profile alone before they’ll reply to a cold message.
