How Do You Change Your WhatsApp Number To A Business Account

Bottom line: You can't simply flip your existing personal WhatsApp number into a business account with a toggle. What you do is download the separate WhatsApp Business app and migrate your existing number into it, which converts your account type while keeping your chat history and contacts. It's a ten-minute job, but the order of steps matters.

I've walked several clients through this migration when they've decided to run their customer-facing number as a proper business account rather than a personal one with a business-ish bio. The process is straightforward once you know it, but WhatsApp's own instructions assume you already understand the difference between the two apps, and most people don't.

Why WhatsApp built it this way

It's worth understanding why WhatsApp split these into two apps rather than one app with a business toggle, because it explains a few of the quirks you'll hit. WhatsApp Business carries real, separate backend features: message templates that need approval for certain uses, catalogue storage, and eventually a path up to the paid API for larger operations. Keeping it as a separate product line lets WhatsApp iterate on business features without touching the core consumer app that billions of people use for ordinary chats. For you as the person migrating, the practical effect is simply that you're moving a number's home, not flipping a switch inside one app.

There's a fuller answer in How to Transfer WhatsApp from Android to iPhone Without a Computer.

Can you convert your WhatsApp to a Business account? It's a separate app

This is the bit that confuses people first. WhatsApp Business isn't a setting inside the regular WhatsApp app, it's a separate download, available free on the App Store and Google Play. One phone number can be active on one or the other, not both at once. So "changing your number to a business account" really means moving that number's registration from the regular app to the Business app.

Step by step: migrating your number

  1. Download WhatsApp Business from the App Store or Google Play. Do not delete the regular WhatsApp app yet
  2. Open WhatsApp Business and tap "Agree and Continue"
  3. Enter the same phone number you currently use on regular WhatsApp
  4. WhatsApp will detect that number is already registered on the standard app and offer to transfer your account, chat history and media across. Confirm this
  5. Verify the number with the code sent by SMS or call, exactly as you would with regular WhatsApp
  6. Once verified, your chat history and groups carry over, and the same number now runs as a WhatsApp Business account. Regular WhatsApp will show a message saying your account has moved and stop working on that device

The important detail is that fourth step. If you skip the transfer prompt and start Business fresh, you lose every existing conversation on that number. I've seen someone do this by accident, tapping through the verification too quickly without reading the transfer offer, and lose four years of client chat history in the process. Slow down on that specific screen.

What changes once you're on Business

Once the migration is done, your contacts see the same number, same last-seen behaviour, same message delivery. What's different is what you, the business owner, can now add: a business profile with your address, opening hours and website, product catalogue, quick reply templates, automated greeting and away messages, and labels to organise chats by customer status. None of that exists on the regular app.

Using one number on two devices

A question I get constantly: can the team share the business number across multiple phones? Not through this basic migration. WhatsApp Business on one number is still tied to one primary device (with linked companion devices for the same login, similar to WhatsApp Web, capped at four linked devices). If several team members need to answer from the same number simultaneously on separate logins, that's what the WhatsApp Business Platform (the paid API product, run through a provider) is built for, and it's a materially bigger setup than the free app migration described here.

What if you want to keep your old personal number separate

Some people don't want to convert their existing personal number at all, they want a second number purely for business. That's a different job: get a second SIM or a VoIP number, install WhatsApp Business fresh on that number (no transfer needed since there's no history to carry), and run it alongside your personal WhatsApp on the same phone if it supports dual SIM, or on a second device. Both routes are valid, it just depends whether you want your existing contacts and history to move with you or not.

What happens to your WhatsApp Business API status if you already had one

If your business was already messaging customers through the WhatsApp Business Platform (the API, usually set up through a provider like a CRM or a marketing platform rather than an app download), this whole migration doesn't apply to you in the same way. That number is managed through the provider's dashboard, not a phone app, and moving it between products is a different, more involved process involving Meta Business Manager and phone number verification through the provider. Don't confuse the free app migration described here with an API number move, they're handled through completely different systems even though both end up labelled "WhatsApp Business".

Getting your business profile right straight after migrating

Once the number transfers across, the app drops you into a mostly empty Business profile. I always do the same four things immediately, before customers start messaging the new setup: add a clear business description under Business Tools, set accurate opening hours so the automated away message knows when to trigger, upload a proper logo rather than leaving a personal photo in place, and turn on the greeting message so anyone messaging for the first time gets an instant response even if nobody's at a desk. Skipping these means customers message a number that looks identical to your old personal account for the first few days, which defeats a lot of the point of migrating in the first place.

Checking the migration worked

After verification, open Settings inside WhatsApp Business and check for "Business tools" in the menu, that's your confirmation the account converted correctly rather than just reinstalling as a normal account under a different app icon, which is what it looks like if you skipped the transfer step. If Business tools isn't there, something went wrong in the registration and it's worth reinstalling and starting the verification again rather than trying to troubleshoot half a broken setup.

A real migration that went smoothly

I moved a client's customer service number over on a Tuesday morning before their support inbox opened. Total time from download to fully working Business profile: about fifteen minutes, most of it spent writing the business description and away message rather than the technical transfer itself, which took under three minutes including SMS verification. The one snag was the profile photo not carrying over automatically, we had to re-upload it manually inside the new app. Small thing, easy to miss if you're not checking every tab after the migration finishes.

Telling customers the number changed status, not the number itself

One thing worth doing that people forget: since the phone number itself doesn't change, most existing contacts won't get any notification at all that anything happened on your end. If part of the reason you're migrating is to signal that this is now a proper business line, complete with catalogue and quick replies, it's worth posting a status update or sending a short broadcast message letting regular contacts know the account has business features now, particularly if you want them to browse the new catalogue or expect faster automated responses outside hours. The migration is invisible from their side unless you make it visible.

Backing up before you start

Even though the built-in transfer usually works cleanly, I still tell clients to back up chats first, on iPhone through iCloud, on Android through Google Drive, both accessible from Settings, Chats, Chat Backup in the regular WhatsApp app before starting the migration. It takes two minutes and it's the difference between a shrug and a genuine problem if the transfer prompt doesn't appear or the migration gets interrupted partway through, which does happen occasionally on a poor connection.

Frequently asked questions

Will I lose my chat history when I switch to WhatsApp Business?

No, as long as you confirm the transfer prompt when WhatsApp Business detects your number is already active on the regular app. That prompt is what carries your chats and media across, skip it and you start with an empty account.

Can I switch back from WhatsApp Business to regular WhatsApp later?

Yes, the same migration works in reverse: download regular WhatsApp, enter the number, and accept the transfer offer from the Business app. Your business-specific features like catalogue and quick replies won't carry across since the regular app doesn't support them.

Do I need a separate phone number for WhatsApp Business?

No, you can migrate your existing personal number as described above. A separate number is only necessary if you specifically want to keep business and personal conversations on two different numbers.

Does switching to WhatsApp Business cost anything?

The WhatsApp Business app itself is free to download and use for the features described here. Costs only come into play if you move up to the WhatsApp Business Platform (the API), which is priced per conversation and aimed at larger operations sending high volumes of messages.
