Canva Sheets is Canva's spreadsheet. To start one, select Sheet from the Canva home page, or choose Create a design and then Sheets. Type your data, use formulas as you would in any spreadsheet, or type = and choose Magic Formulas to describe a formula in plain English. Download as XLSX to keep your formulas, or CSV for raw data only.
Canva Sheets won't replace Excel for a finance team, and it isn't trying to. What it does well is sit next to your designs, so the numbers behind a report, a social calendar or a price list can turn into charts and visuals without copying everything between apps.
I've written this from Canva's own help centre, read in October 2026.
How to create a Canva Sheet
- Go to the Canva home page.
- Select Sheet. Or select Create a design, then Sheets.
- Type or paste your data, or import it from another source.
- Format it with the editing tools to make it easier to read.
- Share it and work on it with others using tags and comments.
Tags and comments work in real time, so you can assign a row to a colleague or leave a question without leaving the sheet.
Magic Formulas: formulas in plain English
This is the feature that makes Canva Sheets friendly for people who dread spreadsheets. Here's how Canva says it works:
- Select the cell where you want the formula.
- Type = and a suggestion box appears.
- Choose Magic Formulas.
- Describe what you want, for example "Find the total revenue for Q1".
- Click Insert, and the formula is created in that cell.
Canva's tip is to write clearly, like "Sum the values in column B". It supports basic maths, IF statements, lookups such as VLOOKUP and HLOOKUP, and more.
The limits to know
- It makes a formula for one cell at a time. Use AutoFill to copy it across rows or columns.
- The suggest a fix option only corrects syntax, not wrong logic.
- It needs an internet connection.
- It's a premium AI feature that counts towards your monthly AI usage, so how much you get depends on your plan.
- Canva itself says AI can make mistakes, so check the results.

Magic Insights: charts and summaries from your data
Magic Insights reads a block of data and gives you a summary, suggested formulas and charts. To use it:
- Select the cells you want insights from. They're boxed in purple.
- In the floating toolbar, select Actions, then Magic Insights.
- Type a question, or leave it blank for top-level insights.
- Select Generate insights and look in the side panel.
Here's a detail that's easy to miss: the written data summary only appears when you leave the question blank. Ask a specific question and you'll get formulas and charts, but no summary.
And a second catch. Charts made this way don't update when your sheet changes. If you add new figures, run Magic Insights again. Canva also says its charts use a copy of your data that may be grouped, filtered or rearranged, so check a chart against the sheet before you share it.
If Magic Insights shows nothing
- Select a range with more than one cell.
- Lay the data out as a clear table with a header on each column.
- Refresh the sheet or pick a different range.

Ways I'd use Canva Sheets in a small business
- A social media calendar, with a column for each platform and a status column your team updates
- Simple event planning: suppliers, deadlines and who owns each task
- A monthly snapshot of website visits or sign-ups that turns into a chart for your newsletter or a client report
- A product or service list you keep in one place and pull into brochures and price sheets
- Survey or feedback results you want to summarise quickly before a team meeting
The common thread is that the data ends up in front of someone. When numbers need to look good as well as add up, keeping them in Canva saves a lot of copying and pasting.
Downloading your sheet
| Format | Keeps formatting and formulas? | Best for |
|---|---|---|
| XLSX (Microsoft Excel) | Yes | Opening in Excel or sending to your accountant |
| CSV | No | Moving raw data into another tool |
What else Canva Sheets does
- Filtering, sorting, freezing, grouping and hiding data
- Bulk editing
- Magic Charts for turning data into visuals
- Built-in translation for spreadsheets you share with other languages
- Saving and syncing Canva Code data with Sheets, for interactive designs built with Canva Code
For charts inside a normal design rather than a sheet, see my guide on making a chart in Canva, and for a quick grid on a page, adding a table in Canva. If you'd like help building simple reporting your team will use, that's on my work with me page.
My verdict
Canva Sheets is ideal for the light spreadsheet work that ends up in a design: a content calendar, an event budget you'll present, a small sales tracker. Use Magic Formulas when you can't remember the syntax, leave the Magic Insights question blank when you want the summary, and download as XLSX if anyone needs to keep working in Excel. Keep the heavy financial modelling where it already lives.
Canva can also build interactive pieces, as I show in my guide to Canva Code.
