How to Make a Chart in Canva: Data, Chart Types and AI

To make a chart in Canva, open a design and select Charts in the editor side panel (or Apps, then Charts), then pick a chart type. Select the chart, choose Edit and type or import your numbers into the Data table, then change colours from the colour tiles on the toolbar.

A chart turns a list of numbers into something a client or customer understands at a glance, and Canva makes it far less painful than wrestling with a spreadsheet's built-in graphs. You pick a chart, type or import your data, and style it to match the rest of your design. Canva says it has more than 30 chart options, so the bigger question is usually which one to pick.

Add a chart to your design

  1. Create a new design or open an existing one.
  2. In the editor side panel, select Charts. If you can't see it, select Apps first, then Charts.
  3. Select the chart type you want and it drops onto your page.
  4. Select the chart, then Edit on the toolbar to open the Data table in the side panel.
  5. Type your values into the table, or use Expand data table for a full-screen view.
  6. Use Chart setup, under the Data table, to choose which data shows.

Which chart type suits your numbers

Chart typeCanva suggests it forSmall business example
Bar or column chartComparisons and categoriesEnquiries by service
Line or area chartTrends and changes over timeWebsite visits by month
Pie or donut chartProportions across a few categoriesWhere new clients heard about you
Scatter or bubble plotRelationships and outliersPost length against comments

The pie chart note is the one I'd underline: Canva recommends it for a limited number of categories. Ten slivers of pie tell nobody anything, so switch to a bar chart once you're past a handful.

Editing rows, columns and data order

Inside the Data table, select a row or column and open More to insert a row or column before or after, or delete one. Hold Shift to select several cells at once, or click and drag across them. To reorder, select a column, open More and choose Sort table A-Z or Sort table Z-A. That last one's handy for bar charts, where biggest-first reads far better.

Importing data instead of typing it

If your numbers already live somewhere else, don't retype them. Select the chart, choose Edit, then Import data. Canva lets you connect Canva Sheets, Google Sheets, Salesforce, Google Analytics, HubSpot or World Bank, or upload a CSV, TSV or XLSX file. There's a ceiling: Canva says you can import up to 1000 rows and 100 columns. For most small business charts that's plenty.

To show where your numbers came from, go to the Customise tab in the side panel, open the Text dropdown and add the name and link under Source. It's a small touch that makes a chart in a sales deck or report far more believable.

Chart colours and text styling

Click the chart, then select a colour tile on the editor toolbar. The Colour panel opens, where you can pick a colour, add a new one, or use the eyedropper to match something already on your page. You can apply the change to the current page or all pages, and if your team has brand colours set up, they appear here too.

Text is more limited than people expect. Canva says chart text styling covers titles, subtitles, source text and axis titles. Anything else, like a big callout number, is better added as a separate text box on top.

AI charts: quick, but check the data

Canva can also generate a chart from a prompt. Go to Elements, type a description such as a bar chart comparing three products, open the dropdown next to Generate images and choose Generate a chart.

Here's the catch. Canva's own help page says AI-generated charts use sample data made up to match your description, and it may not be accurate. If you share that chart without replacing the numbers, you're sharing invented data. The AI route also only accepts CSV uploads, not Excel files, doesn't do infographic charts, and the data won't update by itself if your source changes. Each chart holds one dataset.

Making a chart readable on a phone

Most of the charts I see in small business posts fail for the same reason: too much on them. Someone scrolling on their phone gives your chart a second or two. Put the takeaway in the headline above the chart, such as which month was busiest, so the chart only has to prove it. Cut the legend if you can label bars directly, make the most important bar or line your brand colour and leave everything else grey, and use Chart setup to hide any series that isn't part of the story. Fewer numbers, bigger text, one point.

What I'd do

I'd skip the AI option for anything a client will see and add a normal chart with my own numbers. Keep it to one message per chart, sort bars biggest first, and pull colours from your brand so it doesn't look like a template. When the numbers need showing in full rather than as a picture, my guide to adding a table in Canva is the companion to this one. And my Canva review covers where Canva's data tools fit for a small business.
