To use Canva Bulk Create, design one template with a text box or frame for each field, click the page background, select Edit, then Bulk create. Upload a CSV or XLSX file or type your data, match each column to an element, preview, then generate one design per row.
Bulk Create is the Canva feature that turns one design and a spreadsheet into dozens of finished designs: certificates for every workshop attendee, name badges for an event, a quote card for each testimonial, or product graphics for a whole range. Every row in your data becomes one design. Set it up right once and you'll save hours every time you reuse it.
How Bulk Create thinks about your data
Canva's help centre explains it neatly: each column is a data field, such as a name or a photo, and each row creates one version of your design. Before you connect anything, your design needs a placeholder for each field. That means a separate text box for every text field and a frame or grid for every image. In a multi-page design, you connect fields on each page. Canva says you can connect up to 150 data fields, which is more than any small business job I can think of.
Set up a bulk run in Canva
- Build your template with placeholder text like Name and Date, and an empty frame for any photo.
- Click the page background, select Edit, then choose Bulk create in the side panel. You can also go to Apps and find Bulk create under More from Canva.
- Under Choose a starting point, select Bulk Create.
- Add your data: select Upload data for a file, pick a connected app, or choose Enter data manually.
- Select Match and fill fields and Canva matches the columns it recognises to your elements.
- To change a match, select the element, choose Match data on the toolbar and pick the right field.
- Select Preview, check each version, then generate your designs.
Three ways to feed in data
| Where it comes from | How to do it | Watch out for |
|---|---|---|
| CSV or XLSX file | Select Upload data and choose the file and sheet | Image links from cloud storage come through as plain text |
| Typed table | Enter data manually, Clear Table, then Add text or Add image | Fine for a dozen rows, slow for a hundred |
| Canva Sheet | Select the cells, then Actions, then Bulk Create | The selection must be one unbroken block |
To save a spreadsheet in the right format, Canva says: in Google Sheets use File, then Download; in Microsoft Excel use File, then Save As; in Numbers use File, then Export To. Choose .csv or .xlsx.
Using a Canva Sheet as the source
If your list already lives in a Canva Sheet, you can skip uploads entirely. Select the range, choose Actions in the toolbar and pick Bulk Create. Canva's rules for this route are strict: the cells must be a contiguous block (A2:C10, say, rather than two separate ranges), each column should hold only text or only images, and only the first media item in a cell is used. A Sheet selection is capped at 300 rows and 150 columns.
Open Advanced settings here to choose between one multi-page design or a separate file for each row, pick the folder they save into, and set how the files are named. Separate files named by attendee are far easier to send out than one giant document.
The image catch that trips people up
Text fields are forgiving. Images aren't, and it's the step I'd expect to go wrong first. Canva says image URLs from cloud photo storage aren't supported and are treated as plain text, so a column of links to photos won't turn into photos. With an XLSX file or a Canva Sheet, you need to embed each image directly inside a single cell, not floating over several cells. In a Canva Sheet, direct image links from websites don't work either: upload the images or use ones already in your Canva library.
If your headshots or product photos are only stored as links, use the manual table instead: create an image column with Add image, then hover over each cell and pick the photo from your media library.
Who can use Bulk Create
Canva lists Bulk Create on desktop web and the Canva desktop app for Canva Pro, Canva Teams, Canva Business, Canva Enterprise, Canva Education and Canva for Nonprofits. It isn't listed for the mobile apps, so you'll want to plan to do this on a computer. That's no hardship: you'd want a big screen for checking fifty designs anyway.

Getting clean results every time
- Make your text boxes wide enough for the longest entry you've got. A long surname will wrap or overflow otherwise.
- Tidy the spreadsheet first: one header row, no blank rows in the middle, no merged cells.
- Run a test with three or four rows before you generate the full batch.
- Use Preview every time. It's much quicker than fixing fifty designs afterwards.
The short version from me
Bulk Create is one of the best reasons for a small business to be on a Canva plan that includes it. Start with text-only jobs like certificates or badges, get comfortable, then add images once you've cracked the embedding rule. My Canva review covers the rest of the plan features. And to make your bulk designs look on-brand, it's worth adding your own fonts to Canva before you start.
