A HubSpot dashboard collects your reports in one view, and you make one under Reporting, then Dashboards, by clicking Create dashboard and starting from a template or a blank page. Dashboards are on all products and plans as of October 2026, and how many you can have depends on the highest subscription tier in your account.
The thing that confuses teams: dashboard access doesn't override report permissions. Someone can open a dashboard you've shared and still see nothing in a report if they lack the report sharing, folder, object, field or other data permissions it needs. Recurring dashboard emails work the same way. The data sent follows the permissions of whoever set up the email, so if each person should only see their own numbers, each person sets up their own.
Who can see a dashboard
| Access setting | What it allows, as of October 2026 |
|---|---|
| Limited to super admins & owner only | Only Super Admins and the dashboard owner can see it |
| Allow everyone to view and edit | Every user can view and change it |
| Allow everyone to view | Every user can view it, but not edit |
| Assign teams and users | Enterprise only. Pick teams or users and give each No access, View only or View and edit |
Super Admins and users with the Reports and dashboards permission can see and change every dashboard whatever the setting. Two small quirks: when you search for a user or team, type in lowercase, because capitals return no results, and a dashboard name can't contain a website URL or a full stop.
Creating a dashboard
- Click More, then go to Reporting, then Dashboards, and click Create dashboard. You can also start from Reports, using the Create dropdown.
- Pick a recommended template, which is in beta, review its reports, clear any you don't want and click Next. Or pick New Dashboard for a blank one.
- Enter a name.
- Set access: Private to owner, or Everyone with View and edit or View only.
- Click Create dashboard, then add reports and arrange them.
Dashboards from the library get default names in the creator's account language, and they stay in that language for everyone they're shared with. If your team works in several languages, rename them.
Cloning, deleting and restoring
The Actions menu holds Clone, where you name the copy and choose who can access it, plus Full screen view and Delete. When you delete, clear Also delete all reports in this dashboard if you want to keep the custom reports. The settings icon opens the dashboard details: name, description, tags, owner and access. It also has a History tab with an activity log of every change, who made it and when, and a switch to make it your default dashboard.
Deleted something by mistake? Click Restore deleted dashboards in the library, tick it and click Restore. Reports on it that were deleted in the last 14 days come back too, with the same access settings it had before. You can also star up to 10 favourite dashboards.
Emailing a dashboard on a schedule
Click Share, then Email this dashboard. It sends once by default; choose Yes, this is a recurring email for daily, weekly or monthly sends. Report data is captured two hours before the send time. By default every supported report is included and no dashboard filters are applied; you can pick specific reports or click Send with current dashboard filters.
Recurring emails only go to HubSpot users. A one-off can go to people outside your account on Professional or Enterprise, with admin-level Reporting permissions, and only if their email domain is connected as an email sending domain. There's a cap of 100 emails a day to people outside HubSpot, and everyone gets the same email, so check nothing sensitive is in it.
Attach a downloadable file or recipients get a visual instead. Only Single object, Event-based and Customer journey reports go out as CSV, XLS or XLSX. Web analytics reports, reports with email as the data type, annotations, custom reports, unified data type reports and sales analytics widget reports aren't supported as attachments. To cancel a recurring email, delete it at least two hours before it's due, or it'll still send.
Slack, Google Chat and dashboard templates
With the Slack integration installed, Actions then Share to Slack posts a preview of the dashboard's reports to a channel. It only works with public channels, not shared ones, and people need access in HubSpot to click through. Google Chat works for individual reports once you've mapped your user and added the HubSpot app to the space, either once or on a schedule.
Share as template, in beta, needs Owner permissions. It copies a link that lets someone add the dashboard's structure to their own account and fill it with their own data.

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Exporting the data behind a report
From the reports list you can export a report as CSV or Excel, email it, or schedule it daily, weekly or monthly. For analytics reports that can't be shared that way, open the report, click Actions, then Export unsummarized data, choose a format and wait for the notification. Export as an image downloads a report at the width you choose. Contacts or users with bounced email addresses can't receive report emails until they're unbounced.
My verdict on HubSpot dashboards
I'd build one dashboard per team rather than one giant one, and set access before you share the link, so nobody sees an empty report and assumes it's broken. For leadership updates, a recurring email beats asking people to log in, but remember whose permissions it uses. If you're still deciding which hub your reports will come from, here's what Marketing Hub includes and how Sales Hub handles deals and forecasts.
Dashboards show you what happened. If you want your team using AI to act on it faster, that's where I come in. I run AI training and workshops for teams, and help businesses with AI enablement, workflow automation and GEO, which is about getting your business seen and cited in AI answers. Most of that work is with SaaS marketing teams and small businesses. Here's how we can work together.
Frequently asked questions
How many dashboards can you have in HubSpot?
It depends on the highest subscription tier in your account. With Marketing Hub Enterprise and Sales Hub Professional, your limit follows the Enterprise subscription.
Can I email a HubSpot dashboard to someone outside my account?
Yes, as a one-off on Professional or Enterprise with admin-level Reporting permissions, and their email domain must be connected as an email sending domain. Recurring emails only go to HubSpot users.
Can I restore a deleted HubSpot dashboard?
Yes. Click Restore deleted dashboards in the dashboard library. Reports on it that were deleted in the last 14 days come back too.
Why can't a user see a report on a dashboard I shared?
Dashboard access doesn't override report sharing, report folder or data permissions. A Super Admin needs to check those, plus the report's filters and date range.
How many favourite dashboards can you have in HubSpot?
Up to 10.
