The best intranet software gives every employee one place to find company news, policies and the people they need, on a laptop or a phone. Some intranets suit office teams that live in documents, others are built for frontline staff without a desk. This page lists ten in no particular order, then shows how to choose one.
An intranet usually gets bought after the third time someone asks where the holiday policy lives. Shared drives fill up, the important email gets buried, and new starters spend their first week hunting for things. A good intranet fixes that by giving news, knowledge and people one front door.
Below are ten intranet platforms in no particular order, sorted alphabetically, from self-serve tools you can start on a trial to employee apps for retail and manufacturing teams. Each description comes from the vendor's own website, re-checked today. If your main need is answering questions rather than sharing news, my list of knowledge base tools may suit you better.

The free plan column shows what each vendor's own site describes: Yes for a free plan, Trial only for a time-limited trial, and No where the route in is a demo or a quote.

Why the intranet can't replace the wall poster
This one surprises a lot of HR teams going digital. The US Department of Labor's Wage and Hour Division says in Field Assistance Bulletin 2020-7 that it will generally accept electronic posting of required notices, such as the FLSA and FMLA posters, in place of a physical poster only when all employees work exclusively remotely, all customarily receive information from the employer electronically, and all have ready access to the posting at all times.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
If even one person works on site, the electronic version can only supplement the physical notice. So by all means put the notices on your intranet for remote staff, but keep the poster on the wall too. Outside the US, check your own country's posting rules with an employment adviser.
Office intranet or frontline employee app
Office teams usually want search, documents and integrations with the tools they already use. Frontline teams, in shops, warehouses and kitchens, need a phone app they can open without a company email address. Decide which group matters most before you book demos, because the two kinds of product are built very differently.
Getting an intranet live in five steps
- Ask ten employees what they couldn't find in the past few weeks, and build your first pages around their answers.
- Pick one owner for each section, such as HR, IT and operations.
- Move only current, approved content; archive the rest rather than migrating it.
- Launch with a short welcome post from a senior leader and one useful thing on the homepage.
- Check search terms after a few weeks and write pages for the questions people keep asking.
Intranet habits that keep people coming back
- Fresh news every week. A homepage that hasn't changed in a month gets ignored.
- Search that works. If people can't find a policy in seconds, they'll message HR instead.
- Clear owners. Every page needs someone responsible for keeping it accurate.
- Two-way channels. Comments and polls show people it isn't just a noticeboard.
Questions worth asking an intranet vendor
Ask how employees without a work email sign in, how search handles files stored in other systems, and what analytics you'll get on who reads important announcements. Ask too how long a typical launch takes for a company your size, and what your team has to do compared with what the vendor does.
An intranet is one part of keeping a growing company organised. My piece on growing without internal chaos covers the habits that matter alongside the software.
Do you make intranet software? Tool makers can ask to be considered for a featured place on this list.
My plain advice on picking an intranet
If most of your people sit at desks, start with an intranet that has a free trial and connects to the tools you already use, and judge it on search. If most of your people work on shop floors or in the field, put mobile access first and book demos with the employee app platforms.
Either way, plan your content and owners before you sign anything. The software is the easy part; keeping it current is where intranets succeed or quietly die.
Frequently asked questions
What is intranet software?
A private website or app for employees that brings company news, policies, documents and people directories into one place.
Is there free intranet software?
None of the ten here describes an ongoing free plan, but several offer a free trial so you can test before committing.
Can I post required employment notices on our intranet?
In the US, the Department of Labor generally accepts electronic posting instead of a wall poster only when every employee works remotely and has ready access, so most employers need both.
How is an intranet different from an employee app?
An intranet traditionally serves desk-based staff through a browser. Employee apps are built for phones and frontline workers, though many products now do both.
How long does it take to launch an intranet?
It depends on the size of the company and how much content you move. Keeping the first version small speeds things up.
Who should own the company intranet?
Usually internal communications or HR, with named owners for each section so content stays accurate.
