Internal communication tools help a company share news, updates and knowledge with every employee, through an intranet, an employee app or both. Some are built for office teams with a desk, others for frontline staff who only have a phone. This page compares ten internal communication tools in no particular order, with what to check before you move your company's news into one.
Email and a chat app can carry internal news for a while. Then the company grows, half the team works shifts, and important updates disappear under everything else.
Internal communication tools give company news a home that every employee can reach. The ten below cover intranets, employee apps and frontline platforms. They're listed alphabetically and in no particular order, and every description comes from the vendor's own website, read this week. If you mainly need day-to-day messaging, my guide to team chat apps may be all you need.
Internal communication tools at a glance
I checked the free plan column on each tool's own website, as of Oct 2026. Yes means the site says the tool, a plan or version of it, or its downloads are free. Trial only means a time-limited trial. Not stated means the pages I read named neither, even where there's a button inviting you to try it, so check the vendor's page before you sign up.

Ask what happens if the tool shuts down
Meta's Workplace website now says that Workplace has closed. Plenty of companies had run their internal news, groups and knowledge on it for years.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
When a platform closes, everything on it has to move: posts, files, groups and the habit of checking it. So before you commit, ask any vendor how you'd export your content, in what format, and how much notice they'd give if the product ended. Keep your most important documents somewhere you control as well, so an intranet is a front door, not the only copy.
Intranet, employee app or frontline platform?
An intranet is a home for pages, policies and news, usually used on a laptop. It suits office-based companies with a lot of knowledge to organise.
An employee app puts news and updates on staff phones, with notifications that reach people who never sit at a desk.
A frontline platform adds shifts, tasks and training to communications. It's built for retail, care, hospitality and manufacturing teams.
Six questions before you choose an internal comms tool
- How many of our staff work without a desk or work email?
- Can people sign in without a company email address?
- Does it connect to the tools we already use?
- Can we target news by team, site or role?
- How would we export everything if we left?
- Who will own and update the content each week?
Signs your internal comms need a new home
- Frontline staff hear news last. Put it on their phones.
- Policies live in old email threads. Give them a page.
- Nobody knows where to look. Pick one home.
- Updates get lost in chat. Separate news from conversation.
Do you make an internal communication tool? Tool makers can ask to be considered for a featured place on this list.
My plain advice on internal communication tools
Decide who'll publish every week before you choose the software. Most intranets fail because nobody owns them, not because the tool was wrong. Pick one person, give them a simple weekly rhythm of news, a win and a reminder, and judge any tool on how easy it makes that job and how many of your frontline staff open it.
If engagement is the real problem, my guide to employee engagement software covers surveys and recognition.
Frequently asked questions
What are internal communication tools?
They're platforms for sharing company news, updates and knowledge with employees, such as intranets and employee apps.
What's the difference between an intranet and an employee app?
An intranet is a home for pages and policies, mostly on laptops. An employee app puts updates on staff phones.
How do you reach frontline staff without email?
Use a mobile employee app that lets staff sign in without a company email address.
What happened to Workplace from Meta?
Meta's Workplace website now says the service has closed, so its users have moved to other tools.
Do internal communication tools replace Slack or Teams?
Not usually. Chat tools handle conversations, while comms tools handle company-wide news and knowledge.
How do I measure internal communications?
Look at how many employees open and read updates, especially frontline staff, and ask them what they find useful.
