Tableau vs Power BI: Which Dashboard Tool Fits Your Business?

Power BI suits businesses that already run on Microsoft 365, Excel and Teams, because it speaks the same language and plugs into the tools you've got. Tableau suits teams that want the most freedom to explore and design visual dashboards, work on a Mac, or share charts with the public. Both now offer a free desktop app, so the real difference is how you'll share reports and which ecosystem your business lives in.

For years the honest answer was that Power BI was the friendlier option to start with and Tableau was the one designers loved. That's still roughly true, but one thing has changed: Tableau's own Desktop page now says it's free, so the old starting-point argument has mostly gone. I read Tableau's product, Desktop and Public pages and Microsoft's Power BI and Power BI Desktop pages.

Both desktop apps are free, and that changes the question

Microsoft says you can create rich, interactive reports in Power BI Desktop for free. Tableau's Desktop page now carries the line 'now free', and it runs on Mac and PC, works offline and connects straight to your data. Tableau Public goes a step further: anyone can build visualisations in the browser or in Tableau Desktop Public Edition and share them publicly for free.

The catch with both is sharing. Microsoft's Desktop page sends you to Power BI Pro to publish and share reports with colleagues, and Tableau shares inside a business through Tableau Cloud or Tableau Server. So test both freely on your own data, then decide based on how your team will view the dashboards day to day.

Where Power BI fits best

If your team lives in Excel, Power BI will feel familiar. Microsoft points out that Power Query is the same experience millions of Excel users already know, and Power BI connects to hundreds of sources including Excel, SharePoint, Dynamics 365, Salesforce and Azure SQL. Copilot can now turn a plain-language request into a report, and Microsoft Fabric lets people without their own licence interact with reports. One thing to check: Power BI Desktop is a Windows app, so Mac users usually work in the browser.

Where Tableau fits best

Tableau is a Salesforce company, and its newer products push insights into Slack and your CRM. Its strength is visual exploration: drag-and-drop analysis, a huge community it calls the DataFam, and integrations with Google Workspace, Microsoft Teams and Slack. If you're on a Mac, want to publish interactive charts for clients or readers, or simply prefer designing your own visuals, Tableau is the more natural home.

If you're still deciding which data tools your business needs at all, my roundup of data analytics tools is a good starting point, and if you go the Microsoft route, read up on Power BI data governance before you share your first dashboard.

Questions to answer before you commit

  • Do the people reading the dashboards use Windows, Macs or just a browser?
  • Will reports stay inside the business, or do you want to publish some publicly?
  • Is most of your data in Excel and SharePoint, or in Salesforce and Slack?
  • Who will build the reports, and are they happier with formulas or with drag and drop?

Your answers usually point clearly one way. Microsoft-heavy teams that report internally lean to Power BI, while Mac users and anyone sharing public charts lean to Tableau.

My advice on Tableau or Power BI

Download both desktop apps and build the same simple dashboard from one of your real spreadsheets. If your business already runs on Microsoft 365 and Windows, you'll probably end up with Power BI. If you're on a Mac, care about how charts look, or want to share them publicly, Tableau will feel like the better fit.
