How Do You Install WhatsApp Business on Your Phone? A Straight Walkthrough

The short version: you download WhatsApp Business free from the App Store or Google Play, verify it with a phone number that isn’t already tied to your personal WhatsApp (or migrate that number over deliberately), and set up your business profile before you send a single message. The install itself takes about five minutes. The part everyone gets wrong is choosing which number to use, and that decision is nearly impossible to undo cleanly once customers have started saving it.

What you need before you download anything

I’ve watched three different clients install this app on a Tuesday afternoon and regret it by Thursday, not because the app is bad, but because they didn’t think about the number first. So before you touch the App Store, sort these three things:

  • A phone number you’re happy to put on your website, your invoices, and your Google Business Profile forever, or close to it. This is not the number to gamble on.
  • A working SIM in the phone you’re installing on, or access to receive an SMS or call on that number right now, because verification happens live.
  • A decision on whether you’re using your existing personal WhatsApp number or a fresh one. Both work. They lead to very different first experiences, which I’ll get into below.

WhatsApp Business is a separate app from regular WhatsApp. They sit side by side on your phone as two different icons. You can run both on the same phone, but each one needs its own phone number unless you’re using a dual-SIM handset or an app-cloning feature like Samsung’s Dual Messenger. That single fact trips up more people than anything else in this process.

Step by step: installing on Android

This is the exact sequence, and it hasn’t changed meaningfully in the last two years:

  • Open Google Play Store and search “WhatsApp Business.” The icon is green with a small “B” badge in the corner, different from the regular WhatsApp icon.
  • Tap Install. The download is roughly 90 to 110MB depending on your device, so it takes seconds on wifi and maybe a minute on mobile data.
  • Open the app and tap “Agree and continue.”
  • Enter the phone number you decided on above. Get the country code right, this catches out more people than you’d think when they’re setting up a number for a UK business while sitting on holiday abroad.
  • WhatsApp sends a six-digit code by SMS. If it doesn’t land within about 30 seconds, wait for the “call me” option rather than mashing resend, which can trigger a temporary block.
  • Enter the code. You’re verified.
  • Grant contacts and storage permissions when prompted. You need contacts access for the app to be useful, so don’t skip this one.
  • Add your business name. This cannot be changed easily later without going through WhatsApp’s review process, so get it right first time.
  • Upload a profile photo, ideally your logo on a plain background, because it renders small and busy images turn to mush.

That’s nine steps and it takes under ten minutes if your SMS arrives promptly.

Step by step: installing on iPhone

The iOS version is almost identical, with a couple of Apple-specific quirks:

  • Open the App Store and search “WhatsApp Business.”
  • Tap Get, then authenticate with Face ID, Touch ID, or your Apple ID password.
  • Open the app, accept the terms, enter your phone number with country code.
  • Verify with the SMS or voice code.
  • iOS will ask for notification permissions almost immediately. Say yes, because business messages arriving silently defeats the point of the app.
  • Complete your business name, category, and photo as above.

One iPhone-specific annoyance: if you’re restoring from an iCloud backup that includes a previous WhatsApp Business account, the app will offer to restore your old chats. Read that screen carefully before tapping through, because restoring the wrong backup has wiped someone’s fresh business chat history in front of me before now.

The number decision nobody explains well

Here’s the bit that most installation guides skate past, and it’s the part that matters. You have two real options.

Option one: use your existing personal WhatsApp number. When you enter a number that’s already active on regular WhatsApp, the app will offer to migrate your chat history across. It moves your conversations, groups, and media from the personal app into the Business app, and your personal WhatsApp app then becomes unusable on that number unless you reinstall it on another number. This is the option most sole traders take because it’s the number their existing contacts already have saved. The uncomfortable truth here is that once you do this, going back is a genuine hassle involving app uninstalls, chat exports, and sometimes losing message history entirely, so treat it as close to permanent.

Option two: get a second number. A cheap pay-as-you-go SIM, a second eSIM, or a VoIP number from a provider that supports SMS verification. This keeps your personal messages completely separate and lets you hand the phone to a staff member without them reading your family group chat. It’s more setup work upfront but it’s the one I recommend to almost every client now, after watching too many small business owners accidentally send a customer a meme meant for their sister.

A real example: the candle business that got it wrong first

A client of mine, who runs a small candle and home fragrance business from Tunbridge Wells, installed WhatsApp Business on her personal iPhone number on a Sunday evening because a customer had asked “do you have a WhatsApp?” She said yes on the spot, downloaded the app, and put her personal mobile number straight onto her Instagram bio that night.

Within three weeks she had 40-plus customer conversations mixed in with messages from her mum, her kids’ school WhatsApp group, and her own personal friends, all inside one app on one phone. She couldn’t hand the phone to her part-time helper during busy periods because it was also her personal phone. She ended up buying a £15 pay-as-you-go SIM, moving to a second phone (an old Android handset sitting in a drawer), reinstalling WhatsApp Business fresh, and manually telling her existing WhatsApp customers about the new number over the following month. That’s a fixable mistake, but it cost her a week of admin and some confused customers who kept messaging the old number for a while after.

The lesson: decide the number question before you install, not after your first real customer conversation.

Setting up the profile that gets used

Installing the app is the easy five minutes. What makes it useful is the setup you do straight after, which most people rush or skip:

  • Business description: one or two sentences, what you do and where you’re based.
  • Category: pick the closest match from WhatsApp’s list, it shows on your profile.
  • Address: only add this if you have a physical location customers visit.
  • Business hours: set these honestly, because customers will message outside them regardless and you want the away message doing the work, not you at 11pm.
  • Away message and greeting message: both are free features inside the app, under Settings then Business Tools. A basic greeting message (“Thanks for messaging [business name], we’ll reply within business hours”) stops the awkward silence a new customer sits in for the first hour.

Company or shared account? A different install path

If you’re setting this up for a team rather than yourself, the installation above still applies to the app itself, but the number strategy changes. Most teams either buy a dedicated business SIM and put it in one physical phone that lives at the desk, or they move to WhatsApp Business Platform (the API version) once they outgrow one phone, which is a different product entirely with a different setup process involving a business verification and Meta approval that can take days rather than minutes. For most small businesses under, say, 500 conversations a month, the free app on a dedicated phone is enough, and jumping to the API early is a waste of money and time. Common install problems and quick fixes

  • Verification code never arrives. Wait the full two minutes before requesting again. Repeated requests inside a short window can trigger a 12-hour SMS block on that number from WhatsApp’s side, not your carrier’s.
  • “This number is already in use.” That means the number is active on either regular WhatsApp or another WhatsApp Business install elsewhere. You’ll need to deactivate it there first or choose a different number.
  • App installs but contacts don’t show. Check contacts permission wasn’t denied during setup. Go to your phone’s Settings, find WhatsApp Business under Apps, and switch Contacts to Allow.
  • Old chats didn’t migrate. This only happens automatically when you install Business on the same number and same phone as your existing personal WhatsApp. If you moved to a new phone first, the chats stay on the old device unless you exported and restored a backup.

One thing worth being honest about: installing WhatsApp Business doesn’t automatically mean it’s the right channel for your business. If you’re getting more than 20 or 30 messages a day, one phone in someone’s pocket becomes a bottleneck fast, and messages get missed on busy days. Changing your mind on the number later

People ask me constantly whether they can just swap the number once they’ve settled into using the app. You can, and WhatsApp has a built-in tool for it under Settings, Account, Change Number, which keeps your chat history and groups intact when done correctly.
