The free WhatsApp Business app, the one you install from the App Store or Play Store, is built for one person managing one phone. It does not give you shared team inboxes, it does not let multiple staff reply from the same number at once, and it caps your broadcast lists at 256 contacts.
If you’re a solo consultant, a hairdresser, a one-person accountant, this is completely fine and you’ll never hit the ceiling. If you’re a company with three or more people who need to answer customer messages, the free app will frustrate everyone within about two weeks, because whoever isn’t holding the phone that day can’t see or reply to anything.
The actual fix for that isn’t a better download, it’s a different product entirely: the WhatsApp Business Platform (the API), accessed through a paid provider like Twilio, MessageBird, or Meta’s own direct signup, which lets multiple agents share one number through a proper inbox tool. That’s a business decision with a monthly cost attached, usually starting somewhere around 30 to 80 pounds a month depending on volume, not a five-minute download. Nobody selling you on “just download the app” mentions that the free version and the paid platform solve completely different problems, and that’s the gap that catches growing companies out.
Setting it up on desktop as well as mobile
Once the app is downloaded and verified on your phone, you can also run it from a laptop, which matters if your team is answering messages from a desk all day rather than glancing at a handset.
