How to Make a Graph in Excel That People Can Read

To make a graph in Excel, select your data including the headings, go to the Insert tab and choose Recommended Charts, then pick a preview and select OK. The detail people miss is layout: labels in the first column and no blank rows makes Excel's suggestions far more useful.

A column of numbers tells you very little at a glance. Turn the same numbers into a graph and you can see in two seconds which month was quiet, which product is pulling its weight, or whether your newsletter sign-ups are heading the right way.

Excel calls graphs charts, so that's the word you'll see on the menus. I'll show you the fastest way to build one, how to make it readable, and the small layout habit that saves most of the frustration.

Setting out your data before making an Excel graph

Excel builds a chart from whatever you select, so a tidy layout does half the work for you. I set things out like this:

  • Labels down the first column, such as months, products or platforms.
  • Numbers in the columns next to them, with one clear heading at the top of each.
  • No empty rows or columns in the middle of the block.

With headings in place, Excel can use them as the series names and the legend, which saves you renaming things later.

Making a graph in Excel for Windows with Recommended Charts

This is the route I'd start with, because Excel suggests chart types that fit your data.

  1. Select the cells you want to chart, including the headings.
  2. Go to the Insert tab and select Recommended Charts.
  3. On the Recommended Charts tab, scroll through the previews Excel offers.
  4. Select the one that looks clearest and select OK.
  5. If none of them fit, open the All Charts tab instead and pick a type yourself.

The graph appears on the same sheet, floating over your cells. You can drag it wherever you like and pull the corners to resize it.

The one-key Excel graph shortcut

If you just want a quick look, select your data and press Alt+F1. Microsoft says this creates a chart immediately, though it might not be the best chart for your data. I use it for a fast sense check, then change the chart type if it's not right.

Making a graph in Excel for the web

The browser version is close to the desktop one.

  1. Select the range of cells you want in the graph.
  2. Go to Insert, then Charts.
  3. Choose a chart type from the list. Recommended Charts is available here too.

Microsoft notes that Recommended Charts is tied to certain account types and languages, so if you don't see it, use the Charts menu and choose a type yourself.

Picking a graph type in Excel that suits your numbers

Here's the rough guide I give clients when they're staring at the chart gallery:

What you want to showGraph type to try
Change over time, like monthly visitorsLine
Comparing a handful of things side by sideColumn or bar
How one whole splits into partsPie, with only a few slices
Whether two sets of numbers move togetherScatter

When in doubt, a simple column chart is hard to misread, and that's what matters when you're sharing it with a client or your team.

Tidying the chart elements on your Excel graph

Microsoft lists the parts a chart can include: a title, the plot area, a legend, axis titles, axis labels, tick marks and gridlines. You can hide or show each of them, and a clean graph usually shows fewer than you'd think.

  1. Select the graph so the chart tabs appear on the ribbon.
  2. On the Chart Design tab, choose a style from the gallery to change the overall look.
  3. To add or remove a part, such as a title or axis titles, use Add Chart Element on the Chart Design tab. On a Mac, Add Chart Element then Chart Title adds a title.
  4. Click the default title text and type a clear one, such as Website visits by month.

My rule: if a reader needs the legend to understand a single-series graph, take the legend off and put the meaning in the title instead.

Using your Excel graph in social posts and reports

For creators and small businesses, a graph is often heading somewhere else: a client report, a LinkedIn post or a slide. Keep the title short, use large labels, and avoid more than one message per graph.

If you're dropping a saved chart image into a design, my guide to removing the background from an image in Canva helps it sit cleanly on a branded post. And if you want a few versions of the same chart to play in sequence, building a simple GIF in Canva is a fun way to show growth over time.

Showing direction on an Excel graph

If you want to show where the numbers are heading, Excel can add a trendline. On Windows, select the chart, then Chart Design, Add Chart Element, Trendline. Microsoft lists Linear, Exponential, Linear Forecast and Moving Average as the options. It's a nice extra for a line or scatter graph, but don't add one just because you can.

If your Excel graph looks wrong

  1. Labels showing as a number series? Check your label column is text and was included in your selection.
  2. A strange gap or zero in the line? Look for an empty row in your data block.
  3. Too many lines or bars to read? Select fewer columns, or split it into two graphs.
  4. Can't find the chart tabs? Click on the graph itself, because they only appear when it's selected.

Frequently asked questions

How do I make a graph in Excel quickly?

Select your data and press Alt+F1. Microsoft says this creates a chart straight away, though it may not be the best type, so change it if needed.

What's the difference between a chart and a graph in Excel?

In everyday use they mean the same thing. Excel's menus use the word chart, so look for Charts and Recommended Charts on the Insert tab.

Can I make a graph in Excel for the web?

Yes. Select your cells, go to Insert, then Charts, and choose a type. Recommended Charts is available there too.

How do I add a title to an Excel graph?

Select the graph and use Add Chart Element on the Chart Design tab, then Chart Title. Click the title text to type your own.

Why doesn't Recommended Charts show up?

Microsoft says it's available to some account types in certain languages. If you can't see it, choose a chart type from the Charts menu instead.
