Hiver Alternatives (2026): 10 Tools Compared

A solid Hiver alternative should let several people share a mailbox without clashing, with assignment, internal notes and saved replies. Check how it connects to your email, what it can see and how you can export. This page lists ten options in no particular order, then covers how to choose and how to switch.

Hiver is a shared inbox and customer service tool that grew up inside Gmail, so teams can answer a support or sales mailbox together. If you're considering something else, perhaps because you want a different feel, more channels or a tool that suits your team size, there are plenty of other options to explore.

This is a list of ten Hiver alternatives in no particular order, sorted alphabetically. A few are well-known names and most are smaller or more specialised. I've drawn each description from the tool's own website, so check the current details there before you decide. For a broader view of what small businesses need from this kind of software, see my guide to help desk software for small businesses.

Gmail add-on or separate workspace: what to decide

Tools in this category tend to work in one of two ways. Some sit inside Gmail, so your team keeps the screen it knows. Others are separate apps that connect to your mailbox and give you a wider workspace. Neither is better in itself. It depends on how your team likes to work.

  • Inside Gmail: a gentle change for the team, though you're tied to Google's way of working.
  • Separate app: more room for chat, tickets and reports, though people must learn a new screen.
  • Mixed: a Gmail extension plus a web app for managers or customer-facing views.

Checking what a Gmail connection can see

Most of these tools ask for permission to read your mailbox. Before you agree, read the Google permission screen carefully, check where the company stores your messages and ask who at the company can access them. Customer emails hold personal data, and in the UK and EU you should only keep it for a clear reason. This isn't legal advice, so check the rules for your own situation. My notes on getting on top of an overflowing inbox also cover some habits worth building first.

A switching plan for a team mailbox

A smooth move comes from taking things in a sensible order. Here's a sequence that suits most small teams.

  1. Note which shared addresses you use and who reads each one.
  2. Write down your labels, templates and any rules that sort incoming mail.
  3. Connect a single mailbox to the new tool and send test messages to it.
  4. Rebuild your saved replies and assignment rules.
  5. Tell the team who owns which conversations from day one.
  6. Move other mailboxes gradually and disconnect the old tool last.

Signs a team inbox is helping your customers

  • Nobody replies twice to the same message.
  • Customers get answers from the same person who followed up earlier.
  • New team members find past conversations without asking around.
  • Messages sent after hours still get a clear acknowledgement.
  • You can see which requests are waiting and who has them.

Why a smaller help desk tool can be worth a look

Smaller tools often listen closely to their users and focus on a few jobs. You may find a simpler screen, a quicker answer from support and fewer menus to wade through.

Look at when the company last updated its product, read the help pages and check you can export your conversations whenever you wish. If the site doesn't say, ask. If AI replies are part of the plan, my piece on AI customer service and the human touch covers what to keep personal.

Do you make a shared inbox or help desk tool? Tool makers can ask to be considered for a featured place on this list.

Putting a shortlist through a real week

Pick two options that fit your team and connect a single mailbox to each. Handle a week of real messages, with at least two people replying. Pay attention to how easily you can see who owns a conversation. Keep the tool your team opens without being reminded.

Frequently asked questions

What is a Gmail shared inbox?

It's a mailbox such as support or hello that several people read and answer together. Good tools add assignment, internal notes and statuses so customers get one clear reply.

Why would someone look for a Hiver alternative?

Reasons vary and they aren't always about the tool itself: a different feel, more channels, a different way of handling team seats or a better fit for the size of the team. Start by listing what you need most.

Can I switch without losing old emails?

Your old emails stay in your mailbox, because these tools connect to it. Labels, notes and rules inside the old tool normally need rebuilding, so write them down first.

Is it safe to connect my mailbox?

That depends on the tool and on what permissions you grant. Read the Google permission screen, check where messages are stored and ask who can access them. This isn't legal advice, so check the rules that apply to you.

Is a free plan enough to start with?

It can be for a small team. Read the limits on users, mailboxes and features, and check the things you want are included, before you rely on one.
