Which one you should pick depends on what your business looks like on a normal Tuesday.

The freelancer or consultant who bills for time

FreshBooks is built for you. Creating a good-looking invoice, tracking time against a client project, sending proposals and chasing late payers are the things it does best. You'll spend less time learning it and more time billing. If your accountant only needs your numbers once a year, this is usually the calmer choice.

The small agency or studio with a few people

This is where it's closest. FreshBooks handles team time tracking, project profitability and client retainers well. QuickBooks gives your bookkeeper more control, with classes, locations, deeper reports and a bigger pool of accountants who already know it. If you have a bookkeeper, ask them. Most will lean to QuickBooks because it's what they use every day.

The business that sells products

QuickBooks is the stronger fit. It handles inventory, purchase orders, sales tax across more scenarios and links with a long list of ecommerce and point of sale tools. FreshBooks can invoice for products, but it isn't built to run stock.

Plans change often. Check the current feature list for your country on each company's own site, because the US and UK versions aren't identical.

Where people get stuck

  • Picking the cheapest plan and outgrowing it. Both cap features such as users, clients or bills on entry plans. Look at the plan you'll need in a year, not today.
  • Ignoring your accountant. If they work in one system, you'll save hours at year end by using the same one.
  • Running two systems. Some people invoice in one tool and keep books in another. It works, but every sync is another thing that can break.
  • Not connecting the bank feed early. Do it on day one. Matching transactions weekly takes minutes. Matching a year's worth takes a weekend.

A week in FreshBooks

You log time against client projects as you go, often from the phone app. At the end of the week, you turn those hours into invoices with a couple of clicks, and FreshBooks sends automatic reminders to anyone who's late. Expenses come in through the bank feed and receipt photos. You check the dashboard to see who owes you what, and that's most of the job done. It feels like a tool for running client work, with the accounting sitting quietly underneath.

A week in QuickBooks

You spend a few minutes each week matching bank transactions to categories, raising invoices and recording bills you need to pay. If you sell products, stock levels update as orders come in. Reports such as profit and loss, cash flow and sales by customer are a click away, and your bookkeeper can log in to tidy things up. It feels like a finance system, which is exactly what your accountant wants it to be.

Moving from one to the other

Both have import tools and both offer help with switching. Before you move, export your customer list, open invoices, chart of accounts and a trial balance from the old system. Switch at the start of a month, or better, at the start of a quarter or financial year, so your reports line up. Keep read-only access to the old account until your accountant has signed off the year.

If neither feels right

Both offer a free trial, so run a real month of invoices and bank transactions through the one you're leaning towards before you decide.
