The right dealer management software depends on whether you're a franchise or independent dealer, and which departments you run. Look for stock, deals, service, parts, accounting and integrations that fit your size. This page lists ten systems in no particular order, then covers types, features to check, demo questions and switching tips.
A dealership runs on paperwork: stock records, deal jackets, finance forms, service jobs, parts and the accounts that tie them together. Dealer management software, usually shortened to DMS, brings all of that into one system so the sales desk, workshop and back office are working from the same numbers.
This page covers ten systems in no particular order, sorted alphabetically, for franchise and independent dealers in the US, Canada and the UK. Six are smaller or specialist providers, because an independent used car lot has very different needs from a franchise group. Each description comes from the provider's own website. For ideas on bringing customers back once the system's in place, see my car dealership customer retention strategies.

In the free plan column, Trial only means the provider's own site offers a free trial, and No means its site describes neither a free plan nor a trial. Almost every dealer system is sold through a demo and a contract, so confirm the terms directly with each provider.

Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Franchise or independent: which dealer management software type fits
Franchise dealers usually need a system approved by their manufacturer, with full workshop, parts and warranty processes and accounting that matches the manufacturer's reporting. These systems are larger and take longer to set up.
Independent dealers, especially used car lots, generally want something quicker to learn that handles stock, deals, forms and, if they offer their own finance, collections. Buy here pay here features matter a lot here. UK dealers should also check that the system handles local paperwork, vehicle checks and reporting.
Dealer management software features worth checking
- Stock management, from purchase and preparation through to sale, with photos and online listings.
- Deal structuring and forms, so paperwork prints correctly the first time.
- Workshop and parts, including job cards, technician time and parts ordering.
- Accounting that's built in or connects cleanly to your accounts package.
- CRM tools, or a reliable connection to the CRM you already use.
- Integrations with listing sites, finance lenders and your website.
- Reporting the dealer principal can read without an export to a spreadsheet.
Questions for a dealer management software demo
- How long does a typical dealer of our size take to go live?
- Who moves our existing stock, customer and accounting data across?
- Which integrations are included, and which need separate agreements?
- What's the contract length, and what happens at renewal?
- Can we see the system on a phone or tablet on the forecourt?
- What training do you give, and is support local to our time zone?
Ask to speak to a dealer of a similar size who already uses the system. Their honest view of the switchover is often worth more than the demo itself.
Switching your dealership to a new DMS
Changing system is a big job, so plan it for a quieter trading period. Run a full stock count and reconcile your accounts before the move, nominate one person in each department to own the switch, and keep reports from the old system so you can compare the first month's numbers. Expect a dip in speed for a few weeks while staff learn new screens.
Once you're settled, the time saved on admin can go back into selling and follow-up. My list of ChatGPT prompts for car dealers has ideas for listings, emails and social posts. For questions about contracts, finance regulation or tax, speak to your accountant or a solicitor about your own situation.
Do you make dealer management software? Tool makers can ask to be considered for a featured place on this list.
A final checklist for choosing a dealership system
Write down whether you're franchise or independent, which departments you run and which tools you can't do without. Shortlist two or three systems built for that profile, sit through the demos with your sales, service and accounts leads in the room, and read the contract carefully. Pick the one your team finds easiest to use on a busy Saturday.
Frequently asked questions
What is dealer management software?
It's an all-in-one system for car dealerships that handles stock, sales, finance paperwork, service, parts, accounting and customer records, so every department works from the same data.
What's the difference between a DMS and a CRM?
A DMS runs the whole dealership, including stock and accounts. A CRM focuses on leads and customer follow-up. Some systems include both, and others connect to a separate CRM.
Do small used car dealers need a DMS?
Many do, even with a small lot, because it keeps stock, deals and paperwork organised. Several systems are built especially for independent and buy here pay here dealers.
How long does it take to switch dealer system?
It depends on the size of the dealership and how much data you're moving. Smaller independents can switch quickly, while franchise groups often plan for several months.
Can I get a free trial of dealer management software?
A few providers offer a free trial, but most work through a demo. Check each provider's own site for its current options.
