A seating chart maker lets you place guests or students at tables or desks, move them around until it works and then print or share the finished plan. Some are built for weddings, some for professional events and venues, and one is made for classrooms. Ten options follow in no particular order.
Seating plans cause more arguments than almost any other part of planning an event. Who sits with whom, who can't sit together and who needs to be near the door all change right up to the last week.
A good tool makes those changes painless. The ten below are listed alphabetically and in no particular order, and every description comes from the vendor's own website, read this week. If you're planning a wedding, my ChatGPT prompts for planning a wedding help with the rest of the list.
Seating chart tools side by side
I checked the free plan column on each tool's own website, as of Oct 2026. Yes means the site says the tool, or a plan or version of it, is free or open source. Trial only means a time-limited trial. Not stated means the pages I read named neither, even where there's a button inviting you to try it, so check the vendor's page before you sign up.

Your seating chart is also your allergy map
The Food Standards Agency says only 14 allergens must be declared by food law, including celery, cereals containing gluten, eggs, fish, milk and others. It also says that if food is served as a buffet, allergen information is needed for each food item separately rather than for the buffet as a whole.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Here's the part most hosts miss. Caterers plan around tables, not names, so a list of allergies on its own isn't enough. Record each guest's dietary needs on the seating chart itself and send the caterer the plan with those notes visible. The FSA guidance applies to food businesses in England, Wales and Northern Ireland, and caterers elsewhere work to their own local rules, but every kitchen needs to know which seat the allergy is in.
Wedding planner, event platform or classroom tool?
Wedding tools focus on guests, RSVPs and table shapes. They're quick to learn and usually let you print escort cards and table numbers.
Event platforms add room layouts, 3D views and diagrams a venue can work from. They suit planners and venues running many events a year.
Classroom tools turn a class list into desks and rows, with options to randomise places and save different layouts for different lessons.
Six questions before you build your table plan
- Can you import your guest list instead of typing it?
- Does it handle round, long and square tables?
- Can you record dietary needs next to each name?
- Is it easy to move one guest without redoing a table?
- Can the venue and caterer see or print the final plan?
- Does it work on a phone for last-minute changes?
Signs your seating plan needs another look
- One table has all the strangers. Mix in a friendly face.
- A wheelchair user sits at the back. Move them nearer the exit.
- The caterer has no allergy notes. Add them to the plan.
- It only exists on your laptop. Share a copy.
Do you make a seating chart maker? Tool makers can ask to be considered for a featured place on this list.
My plain advice on seating guests without a row
Seat the awkward combinations first, not the easy ones. Place anyone who must be near the door, the family members who mustn't share a table and the guests with mobility needs, then fill the rest around them. Doing it in that order stops you rebuilding the whole chart when a problem surfaces three days before the event.
For the rest of the planning, my round-up of AI tools wedding planners use to save time covers timelines, guest lists and supplier emails.
Frequently asked questions
What is a seating chart maker?
It's a tool that lets you place guests at tables or students at desks, rearrange them easily and print or share the finished plan.
Is there a free seating chart maker?
Several tools named a free version, free editor or free planning tools on the pages I read. Check the free plan column above, then confirm on each site.
How do I show dietary needs on a seating chart?
Add a note next to each guest's name and share the plan with your caterer, so they know which seat needs which meal.
Which allergens must caterers declare in the UK?
The Food Standards Agency lists 14 allergens that food businesses must declare, including gluten, eggs, fish, milk and celery.
Can I make a classroom seating chart online?
Yes. Some tools turn a list of student names into a seating plan you can randomise and adjust for each lesson.
When should I finish the wedding seating chart?
Most couples finish it once RSVPs close, then send the final version to the venue and caterer a week or so before the day.
