The best venue management software depends on your venue: restaurants with private rooms need fast enquiry handling, hotels need sales and catering tools, and large or civic venues need booking for many spaces and facilities. Ten options follow in no particular order.
Venues win events by replying first and keeping every detail straight, from the first enquiry to the final invoice. It's rarely the nicest room that gets booked; it's usually the venue that answered first. Spreadsheets and inboxes make both harder than they need to be.
The ten systems below are listed alphabetically and in no particular order. Each description comes from the vendor's own site, read this week. If you work with wedding and event planners, my guide to AI sales follow-up for event planners shows the other side of the enquiry.
Venue management software at a glance
In the free plan column, Yes means the tool's own site names a free plan, a free version or an open source edition. Trial only means a time-limited trial. Not stated means the pages I read named neither, even where there's a button inviting you to try it.

The UK notice deadline for one-off events
Here's a rule worth building into your bookings. GOV.UK says that in England and Wales you need a Temporary Event Notice to sell alcohol, put on entertainment or serve late-night hot food on unlicensed premises, for events with fewer than 500 people, and you must apply at least 10 clear working days before the event.
If you host one-off events without a premises licence, put that deadline into your booking workflow so nobody discovers it the week before.
Restaurant events, hotel sales or multi-space venues?
Restaurant and bar tools focus on private dining enquiries, quick proposals and deposits. Hotel sales and catering systems handle meetings, weddings and group stays together. Multi-space venue systems suit arts centres, community halls and convention centres booking many rooms and facilities.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Choose the group that matches how events reach you. A restaurant with one private room and a convention centre need very different tools.
From enquiry to event day
- Reply to the enquiry quickly with availability.
- Send a proposal with menus, layouts and options.
- Take a deposit and send the contract.
- Confirm final numbers and details with the client.
- Share run sheets with your team.
- Follow up after the event for reviews and rebookings.
Features that win more events
- Fast replies. Templates and AI help for enquiries.
- Live availability. No double-booked rooms.
- Online proposals. Clients accept and pay deposits online.
- Floor plans. Layouts clients can picture.
Keeping the team on the same page
Run sheets and event orders shared with kitchen, bar and front of house prevent most on-the-night problems. Make sure every team member can see the details they need.
Venue software for small spaces
A single room or small venue usually needs enquiries, a calendar and deposits. Look for quick set-up over deep features, and grow from there.
Deposits and contracts
Deposits and signed contracts protect the date for both of you. Look for software that sends the contract and takes the deposit in one step, then reminds clients about the balance. Chasing payments by email is where small venues lose the most time, and it's the job that's easiest to automate. If you can't see which balances are outstanding at a glance, it's the wrong system.
Working with planners
Event planners book many venues, so make their life easy. A clear pack with floor plans, menus and availability, sent quickly, puts you on the shortlist. Systems that let planners view layouts or proposals online help even more.
Do you make venue management software? Tool makers can ask to be considered for a featured place on this list.
My plain advice on choosing venue management software
Speed of reply wins events. Choose the system that helps your team answer enquiries fastest with accurate availability, because that's where most venues lose business.
Then check how well it handles the details: menus, floor plans, run sheets and deposits. Those are where mistakes happen on the night. For bringing in a speaker or host, my guide to booking the right speaker may help your clients.
