The best revenue cycle management software depends on where money gets stuck in your cycle. Independent practices usually want billing built into their EHR or practice system; groups losing revenue to coding backlogs, denials or underpayments should look at specialist automation layered on top.
The revenue cycle runs from the moment a patient books to the moment the final balance is settled: eligibility, authorisations, coding, claims, denials, remittances and patient statements. A weak link anywhere means slower cash and more staff time chasing.
This list covers practice and EHR systems with billing built in, enterprise RCM platforms and AI tools for specific stages such as coding, denials and patient balances. If patients find you online first, my guide to medical website design covers what they need to see, and if late balances are your headache, this is what I learned using AI to chase late payments.

Revenue cycle management platforms and tools
AdvancedMD
Best for: Independent practices and medical billing companies that want scheduling, charting and billing in one cloud suite, with managed billing as an option.
AKASA
Best for: Health systems whose inpatient coding and documentation teams are stretched and want AI tuned to their own documentation patterns and payer rules.
athenahealth
Best for: Health systems and specialty networks managing revenue for many providers, entities and locations who want enterprise-scale billing and receivables work.
Candid Health
Best for: Fast-growing digital health companies that want claims checked and corrected automatically, with the platform integrated into their own product.
Collectly
Best for: Practices and groups that struggle with patient balances and want an AI agent working the patient billing side of the cycle, linked to their EHR.
DrChrono
Best for: Independent practices that want charting, scheduling and billing in one EHR, so claims start from clean documentation instead of separate systems.
Infinx
Best for: Provider groups losing time to prior authorisations and coding backlogs who want automation backed by coding specialists.
MD Clarity
Best for: Provider organisations that suspect insurers are underpaying them and want software that finds underpayments and denials and ranks which to chase first.
RapidClaims
Best for: Coding and documentation teams that want autonomous agents to code charts, improve documentation and prevent denials, while staying in control.
Waystar
Best for: Hospitals and large practices that want claims, denials and reimbursement handled on one widely used revenue cycle platform with AI built in.
The revenue cycle stages to map first
- Front end: registration, insurance eligibility checks and prior authorisations before the visit.
- Mid-cycle: clinical documentation, coding and charge capture after the visit.
- Claims: building, scrubbing and submitting claims to each insurer.
- Back end: remittances, denials, appeals and underpayment checks.
- Patient balances: statements, reminders and payment options for what the patient owes.
The standard formats every RCM tool shares
The Centers for Medicare and Medicaid Services explains that under HIPAA, HHS adopted standard transactions for the electronic exchange of health care data, including claims and encounter information, eligibility, claim status and payment and remittance advice. Covered entities that conduct these transactions electronically must use an adopted standard from ASC X12N or NCPDP.
So every serious RCM product speaks the same claim and remittance language. The differences that matter are what each tool checks before a claim leaves your building, how quickly it reads what comes back and how much of the follow-up it does for you.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Platform or point solution?
A platform runs most of the cycle in one place, which keeps data consistent and reporting simple. It's the natural choice when you're choosing an EHR or practice system anyway.
A point solution fixes one stage, such as coding, prior authorisations or patient balances, and plugs into the system you already have. It's often the quicker win when one stage clearly causes most of your denials or delays.
Signs your revenue cycle needs new software
- Claims are rejected for the same reasons month after month.
- Authorisations are chased by phone because nobody can see their status.
- Coding falls behind whenever one person is on leave.
- Underpayments are only spotted when someone happens to check.
- Patients receive statements they don't understand and call to ask.
One or two of these is normal. Four or five means the cycle is relying on heroics, and that's when the right software pays for the switch.
Running two systems during the switch
Plan for a period when old claims are still being worked in your previous system while new ones go through the new one. Keep a clear cut-over date, and make sure someone owns the old receivables until they're cleared, or they quietly get written off.
Train the people who work denials before go-live, not after. They're the ones who'll tell you within a week whether the new tool is saving time or creating it.
Do you make revenue cycle management software? Tool makers can ask to be considered for a featured place on this list.
My advice on choosing revenue cycle management software
Export your denial reasons for the last few months before you talk to any supplier. If most denials come from eligibility and authorisation, fix the front end first; if they come from coding and documentation, look at mid-cycle tools. Buying a platform to solve a problem that lives in one stage is slow and disruptive.
Then ask every supplier to show a real denial being worked from start to finish in their product, with your kind of insurer and specialty. A slide that says it reduces denials proves nothing; watching one get fixed tells you how much work your team will still do.
Frequently asked questions
What is revenue cycle management software?
It's software that manages the financial side of patient care, from eligibility and coding through claims, remittances, denials and patient balances.
What's the difference between RCM software and medical billing software?
Medical billing software usually focuses on creating and submitting claims. RCM software covers the whole cycle, including front-end checks, denials and patient balances.
Do small practices need RCM software?
Most small practices get RCM features through their practice management system or EHR. Specialist tools make sense when one stage causes most of the problems.
What claim formats does RCM software use?
CMS explains that HIPAA standard transactions use adopted standards from ASC X12N, or NCPDP for certain pharmacy transactions.
Can AI help with revenue cycle management?
Yes. AI tools now help with coding, documentation, denial prevention and patient billing, though staff still review the results.
