An AI executive assistant handles the admin a human assistant would: sorting email, drafting replies, booking meetings and keeping follow-ups moving. Some are scheduling agents you copy into emails, some plan your whole day, and one is built for running a household. Eleven options follow in no particular order.
The busiest people don't run out of ideas. They run out of hours, usually to email threads about when to meet and replies they meant to send last week.
That's the work AI assistants now take on. The eleven below are listed alphabetically and in no particular order, and every description comes from the vendor's own website, read this week. If you're weighing AI against a person, my guide to the skills an executive virtual assistant brings shows what a human still covers.
AI executive assistants at a glance
I checked the free plan column on each tool's own website, as of Oct 2026. Yes means the site says the tool, or a plan or version of it, is free or open source. Trial only means a time-limited trial. Not stated means the pages I read named neither, even where there's a button inviting you to try it, so check the vendor's page before you sign up.

Your inbox is other people's data
The Information Commissioner's Office guidance on contracts between controllers and processors says Article 28(3) of UK GDPR requires the contract to include the subject matter and duration of the processing, its nature and purpose, the type of personal data and categories of data subject, and the controller's obligations and rights.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
When an AI assistant reads your inbox, it reads your clients' names, emails and sometimes far more. In data protection terms the vendor is usually processing that on your behalf, so its terms need to cover it. Read the data processing terms before you connect a work account, not after.
Scheduling agent, inbox assistant or full planner?
Scheduling agents sit in email threads and find times that work. They're the easiest to try because they don't need to change how you work.
Inbox assistants sort, summarise and draft replies across your mail. They save the most time and need the most trust.
Full planners take your tasks and meetings and build the day for you. They suit people who'll let software decide what happens when.
Six questions for any AI assistant
- Which accounts does it need to connect to?
- Can it send emails without your approval?
- Where is your data stored and processed?
- Do its terms cover processing clients' personal data?
- Can you see a log of everything it did?
- How easy is it to switch off and disconnect?
Signs you need an AI assistant
- Booking one call takes six emails. Hand it to an agent.
- Follow-ups slip through. Let AI track them.
- Your day has no focus time. Protect it automatically.
- Family admin eats your evenings. Try a home assistant.

My plain advice on AI executive assistants
Start with scheduling, not your whole inbox. Let an assistant book a week of meetings, check every one, and only then give it permission to draft replies. Trust is the real bottleneck with these tools, and it's easier to build one job at a time.
If email is the bigger problem, my guide to AI inbox management goes deeper on that one job.
Frequently asked questions
What is an AI executive assistant?
It's software that handles assistant tasks such as sorting email, drafting replies, booking meetings and tracking follow-ups, using AI connected to your accounts.
Can an AI assistant replace a human assistant?
It can take on routine scheduling and email work. A human assistant still handles judgement calls, relationships and tasks that need context.
Are AI executive assistants free?
A few name a free add-on or version, and others offer a trial. Check the free plan column above and confirm on each vendor's site.
Is it safe to give an AI assistant access to my email?
Check where data is stored, whether it can send without approval and whether its data processing terms cover your clients' personal data.
What does UK GDPR say about AI assistants?
The ICO says a controller and processor need a contract covering the subject matter, duration, nature and purpose of processing, the data types and the controller's obligations and rights.
Which tasks should I hand to an AI assistant first?
Start with low-risk, repetitive jobs such as finding meeting times, then move to drafting replies once you trust the results.
