What Should You Look for in a WhatsApp Business Solution Provider?

The short version: almost every WhatsApp Business Solution Provider (BSP) is reselling the exact same Meta API, so the real differences that matter are pricing structure, support speed when Meta suspends your number, and how hard it is to leave. Pick on those three things first, not on the dashboard demo.

What a WhatsApp Business Solution Provider really does

A BSP is not WhatsApp. It is a company that Meta has approved to sell you access to the WhatsApp Business Platform (the paid API version, not the free app). Names you will see in the market include Twilio, 360dialog, MessageBird, Gupshup, Zoko and Interakt, alongside dozens of smaller resellers. Every single one of them is plugging into the same Meta infrastructure. There is no secret faster version of WhatsApp that one provider has and another doesn’t. What differs is the layer they build on top: their pricing markup, their support team, their template management tools, and how well their system talks to your CRM or your chatbot.

This matters because most sales pitches make it sound like the provider is the technology. They are not. Meta owns the delivery, the green tick verification, and the conversation categories. The provider is the interface and the invoice.

The pricing structure, and where the markup hides

Meta charges per conversation, not per message, in most markets, with a 24 hour conversation window split into categories: marketing, utility, authentication and service. A marketing conversation in the UK typically costs Meta somewhere around 4 to 6 pence, utility conversations are cheaper, and service conversations (where the customer messages you first) have often been free depending on region and current Meta policy. Ask directly: “What percentage of your clients get verified, and how long does it usually take?” A provider that can’t answer with a number is guessing.

What happens when something goes wrong

This is the part almost nobody asks about until it is too late. WhatsApp numbers get flagged, suspended or rate-limited for reasons that are not always obvious, sometimes because of a spam report, sometimes because a template was worded in a way that tripped an automated filter. Before signing, ask what the provider’s average first response time is on a support ticket, and ask for it in writing. Your phone number and message history usually stay with Meta, but your saved templates, your chatbot flows, your CRM integrations and your team’s login setup often do not move cleanly, and some providers slow-walk the export process because they know churn hurts their numbers. Before you sign, ask in plain words: “If I want to leave in a year, what exactly do I lose, and how long does migration take?” If the answer is vague, that vagueness is the answer.

Integration with your actual tools

The provider’s dashboard is rarely where you will spend your time. What matters more is whether it connects cleanly to the systems you already run, your CRM, your helpdesk, your order platform, and increasingly, an AI layer sitting behind the chat window. If you plan on running an AI chatbot for customer service on top of WhatsApp, check whether the provider supports webhooks and API access out of the box or whether that is an “enterprise tier” add-on that costs extra. Some providers charge a flat integration fee just to unlock the developer API, which can add £50 to £200 a month depending on volume.

If your main goal is simpler, just starting a WhatsApp Business account for customer support without heavy automation, you can often get away with a lighter, cheaper tier and skip the enterprise features entirely. Don’t let a salesperson upsell you into infrastructure you won’t touch for a year.

Template approval speed

Every marketing or utility message you send outside the 24 hour customer-initiated window needs a pre-approved template, and Meta reviews these, not the provider. But providers differ hugely in how fast and clearly they submit templates and flag rejections. Some give you a clean dashboard showing “pending, approved, rejected” with the exact rejection reason. Others just say “rejected” with no explanation, which means you are guessing at the wording problem and resubmitting blind. Ask to see the template management screen during your demo, not described in a slide.

  • Ask for average first-response time on support tickets, in writing

  • Ask exactly what you lose and how long migration takes if you leave
  • Check whether developer API and webhook access is included or a paid add-on
  • Look at the template rejection reporting before you commit
  • Confirm which conversation categories are free or discounted in your region right now, since Meta updates this periodically

Step by step: how to pick one

  1. List every tool you need WhatsApp to talk to (CRM, chatbot, helpdesk, e-commerce platform)
  2. Shortlist three providers that explicitly support those integrations
  3. Request a real client invoice or case study with numbers, not projections
  4. Ask the support-response and migration questions above, on a call, and note if they hesitate
  5. Run a 30 day trial on the lowest tier before committing to an annual contract
  6. Test logging into your business messaging account from a desktop and check the interface is one your team will use daily, not just tolerate

I have sat with clients for a single afternoon and saved them a year of contract lock-in just by asking a provider the migration question out loud on a sales call.
