HubSpot Sequences: How to Build, Time and Edit Them

HubSpot sequences send a series of timed, one-to-one emails and create task reminders so you follow up with a contact over days or weeks without doing it from memory. You build them in Sales > Sequences, and you need an assigned Sales or Service seat to use the tool at all.

Here's the catch. Sequence emails don't go through HubSpot's marketing email servers. They're sent from your connected individual work email address, as one-to-one sales emails, and a team address connected to the conversations inbox can't send them. If you haven't connected your own inbox, you can't send a sequence.

Who can use HubSpot sequences

RequirementWhat HubSpot says, as of October 2026
SeatAn assigned Sales or Service seat to access the tool and create sequences
PermissionsEdit and delete permissions for sequences
Sending addressA connected individual work email address, never a team inbox address
Sending from a workflowThe selected sender must have an assigned Sales or Service seat
Adding to a campaignMarketing Hub Professional or Enterprise
Enrolling contacts through the workflows toolSales Hub or Service Hub Enterprise

There's also a cap on how many sequences everyone in your account can create in total. You'll see the running count in the top right of the sequences dashboard, and HubSpot's Product and Services catalog lists the limits.

How to create a sequence

  1. In your HubSpot account, go to Sales > Sequences (under More if you see it) and click Create Sequence in the top right.
  2. Select Start from scratch or pick a pre-made sequence template, then click Create sequence.
  3. Click the edit pencil icon and give the sequence a name.
  4. Click the + plus icon to add a step and choose an action in the right panel.
  5. Set the delay on each step after the first, in business days.
  6. Keep adding steps until the sequence is complete, then click Save.
  7. Pick a sharing setting. New and cloned sequences default to Only Me.

The steps you can add

StepWhat it does
Automated emailSends an email automatically, as a new thread or a reply to an earlier sequence email
Manual email taskReminds you to send an email yourself; nothing goes out automatically
Call taskReminds you to call the contact
General taskReminds you to complete any other action
Sales Navigator InMail taskReminds you to send an InMail, if you use the LinkedIn Sales Navigator integration
Sales Navigator connection request taskReminds you to send a connection request through the same integration

Each sequence is limited to 10 email templates, but you can add as many task reminders as you need. An email can be delayed by up to 90 business days. To create a task straight after the previous step, set its delay to zero. On any task you can tick the checkmark to pause the sequence until that task is done.

A few details you wouldn't guess. Every task in a sequence is assigned to the user who enrolled the contact, not the person who built the sequence. The message you type into a Sales Navigator task won't populate in the LinkedIn pop-up, so you'll copy it across yourself. And for a manual email task to open the composer with the template already filled in, the task has to sit in a task queue. To make sure the email threads and shows in the sequence report, complete manual email tasks in a queue or straight from the contact record.

Timing: business days and send windows

By default, follow-up emails only send on business days, and delays only count business days. HubSpot's own example: if an email goes on a Thursday at 5pm and the next is set for three days later, it sends on Tuesday at 5pm. To send at weekends, switch off Execute steps on business days only on the Settings tab.

The Automated email send window sets a time range for follow-ups, and HubSpot looks at previous email opens and the time zone to choose the best time inside it. These settings only apply to steps after the first one. Sequence tasks are created at the start of the calendar day in the time zone chosen at enrolment, and they're due at 5pm that day. Switch on Email reminders if you want an alert each time a task is created, on top of the daily digest.

When contacts leave a sequence

By default, contacts are unenrolled when they reply to any email in the sequence or book a meeting through a meeting link in a sequence step. On the Automation tab you can switch either trigger off, and choose whether it unenrols just that contact or all contacts at the same company.

The same tab lets you build small workflows that enrol or unenrol contacts from this sequence when they submit a form or view a page. You can add an optional delay in minutes before enrolment and pick the sender. For page views, a wildcard asterisk won't work in the URL.

Editing a sequence that's already running

You can reorder steps with Move up or Move down in each step's Actions menu, edit automated emails and manual email templates in place, delete steps, and check the Step performance report as you go. When you're done, Save existing applies the changes to the current sequence, while Make copy creates a new sequence with your changes. If contacts are active in it, check how edits affect them before you save.

If you're on Marketing Hub Professional or Enterprise and add a sequence to a campaign, enrolled contacts count as influenced contacts. Revenue attribution is based on enrolment and unenrolment, meetings booked and emails replied.

My verdict on HubSpot sequences

I'd connect your own work inbox first, keep each sequence well under the 10-email limit and lean on task steps for anything personal, like a call. Leave both unenrol triggers on so nobody gets chased after they've replied. If you want the wording for each step, these email sequence prompts will get you started, and here's where sequences sit inside Sales Hub.
