How to Set Working Hours in Google Calendar (2026)

To set working hours in Google Calendar, open it in a computer browser, go to Settings, choose Working hours, turn it on and enter your days and times. The catch: Google says you can only turn working hours on from a computer, and your administrator may have switched them off.

When you work for yourself, the boundary between 'open' and 'closed' is wherever you draw it. Left alone, your calendar will happily let a client book a call at ten at night. Working hours are Google's way of telling people when you're around, so meeting invitations stop landing in your evenings.

There's a catch that catches plenty of people out: Google ties this setting to work or school accounts, and it only works from a computer. I'll go through the steps from Google's help page, then the things that cause 'where is that option?' moments.

Turning on working hours in Google Calendar on a computer

Google says you can only turn on working hours from a computer, so use a web browser at calendar.google.com. The path, as Google's help describes it, runs through your settings. Menus vary a little between accounts, so look for the wording rather than the exact position:

  1. Open Google Calendar in a browser on your computer.
  2. Click the Settings icon at the top right, then Settings.
  3. On the left, under General, choose Working hours (it may be labelled Working hours & location).
  4. Turn the Working hours option on.
  5. Pick the days you work and enter a start and end time for each.

Google adds one rule: the start time must be before the end time. That means a shift that runs past midnight needs a different approach, so keep your hours inside a single day.

What your Google Calendar working hours do for other people

According to Google, working hours show people your availability throughout the week, and help you and others schedule meetings that respect them. When a colleague opens the scheduling view, they can see your hours and pick a time inside them. If you switch the setting on, anyone trying to book you outside those hours gets a clear signal that it's not a good time.

It's a polite nudge rather than a locked door. I'd treat it as the first line of defence and still say your hours out loud in your email signature or booking page. If you take client calls, my guide to choosing online scheduling tools for client bookings covers the next layer.

Why Google Calendar working hours are missing

Google's page opens with the key point: if you have a work or school account, you can show people your availability. If you don't get an option to set your working hours, your administrator may not have it on for your organisation. In other words, the setting may be missing because someone else switched it off.

  • Check you're signed in to the account you expect, because a personal and a work account can look similar.
  • Make sure you're using a computer. Google says you can only turn working hours on from a computer.
  • Look for the alternative label, Working hours & location.
  • If it's still missing, ask whoever looks after your Google Workspace to check.

Setting working hours that repeat every week

Google says working hours can only be set as a recurring weekly schedule. There's no way to mark one-off changes. For temporary changes like appointments, Google's advice is to update your regular working hours, then revert them when your schedule returns to normal.

In practice that means two choices for a one-off day off: put an event on the day, or use out of office, which I cover below. Editing your weekly pattern for a single afternoon is the slow way.

Google Calendar working hours and time zones

If you travel, Google says your working hours automatically adjust to the local time in your working location when you set a working location or change your time zone. So nine to five stays nine to five in whichever city you land. Google also notes that Calendar may suggest working hours based on your time zone, the work patterns in your country and your schedule, and you can accept, decline or edit those suggestions.

Check the suggestions before you accept them. They're a guess, and a freelancer's real day rarely matches a country's average.

Showing you're out of office in Google Calendar

Working hours cover your normal week. For holidays and sick days, Google has out of office. On a computer:

  1. Open Google Calendar and click Create at the top left.
  2. Choose Out of office.
  3. Select your out-of-office dates.
  4. Optionally change your decline settings and edit your decline message.
  5. Click Save.

Google says Calendar then declines meetings when you're not available. If you use Gmail for work or school, your status can also be sent to people who email you, but only if the sender has access to your calendar, which means you must share your calendar with them first.

Setting working hours in the Google Calendar app on your phone

Google's mobile page is direct about this: you can only turn working hours on from a computer. The app is fine for out of office, which Google lets you set by tapping Create and then Out of office, but for the weekly pattern, use a browser. Once set, your hours apply to your calendar everywhere.

A simple working-hours routine for small business owners

Here's what I'd suggest if you're the only person in your business:

  • Set the hours you really want to be reachable, not the longest day you could manage.
  • Leave space at either end for deep work, and keep calls inside the middle.
  • Use out of office whenever you're away, so invitations decline themselves.
  • Review your hours when your routine changes, and plan your week around them with a realistic weekly content schedule so the working day is spoken for.
