How to Download a Google Doc as a PDF (and When You Can't)

To download a Google Doc as a PDF, open the document, click File, then Download, then PDF Document (.pdf). The PDF saves to your computer's downloads folder. If the document is very large, Google suggests File, Print and choosing Save as PDF as the destination in Chrome instead.

Google Docs is great for writing and editing together, but when a proposal, report or guide goes to a client, I want it locked in a format that looks the same on every screen. A PDF does exactly that, and Google Docs makes one in three clicks.

Download a Google Doc as a PDF

  1. Open the document in Google Docs on your computer.
  2. Click File at the top left.
  3. Hover over Download.
  4. Click PDF Document (.pdf).
  5. Find the file in your browser's downloads, usually your Downloads folder.

That's it. The file takes the name of your document, so if it's called Untitled document, that's what your client will see in their inbox. Rename the Doc first if you need to: click the title at the top left and type a new one.

Other formats in the same menu

FormatPick it when
PDF Document (.pdf)You're sending a finished document that shouldn't change
Microsoft Word (.docx)The other person needs to edit it in Word

Google's Drive help lists PDF and Word among the formats you can choose when you download from Docs, and the same File, Download route works in Sheets and Slides too.

The large-document workaround: Print to PDF

Here's a tip straight from Google's help page that most people never see. For a large Google Docs file, Google suggests using Chrome's print route instead:

  1. Open the document and click File, then Print.
  2. On the left, next to Destination, choose Save as PDF.
  3. Click Save at the top.

I also use this when I want a PDF of only some pages, because the print window lets you choose a page range before you save.

The catch: why the Download option might be missing

If you open a document someone else shared and can't find Download, it's usually not a glitch. Google says the owner may have turned off print, download and copy options for people with only comment or view access. In that case, ask the owner to send you a PDF or to give you edit access. There's no setting on your side that switches it back on.

Two other blockers from Google's Drive help are worth knowing. Blocking third-party cookies in Chrome can stop downloads from Drive, and Google's fix is to allow them for Drive only rather than everywhere. Browser extensions can also interfere, so try again with them switched off if a download keeps failing.

Shared a file widely and people see a message saying too many users have viewed or downloaded it recently? Google says that limit is temporary and typically resets within 24 hours. If someone needs it sooner and has view access, they can open Shared with me, right-click the file, choose Make a copy, and then download their copy from My Drive.

Before you download, ask what the other person needs to do with the document. If they only need to read it, file it or print it, a PDF is ideal: it looks the same on every device and nobody can edit your wording by accident. If they need to comment, suggest changes or keep up with updates, a shared link is better, because a PDF is a snapshot. The moment you edit the Doc, the PDF you sent is out of date. For proposals I send a PDF; for working drafts I share a link with comment access.

Downloading on a phone

The Google Docs app doesn't have the same File menu as the computer version. Google's Android help points you to the More menu for downloading instead. If you need a clean PDF to email from your phone, I find it quicker to open the document on a computer later, or to share the Doc as a view-only link in the meantime.

Before you hit download

  • Accept or reject suggestions. Suggested edits can end up in the PDF if you leave them unresolved.
  • Check the page setup. Pageless documents don't have page breaks, headers or footers, so switch to pages format first if the PDF needs them.
  • Name the file well. The PDF takes the document's name, so rename the Doc to something a client will recognise.
  • Open the PDF once. Look through it before you send it. It takes ten seconds and catches the odd stray line or blank page.

My verdict

File, Download, PDF Document is all most people need. For long documents or a page range, use File, Print and Save as PDF in Chrome. If Download is missing on a shared file, the owner has probably switched it off, so ask them. If you want an editable backup first, here's how to make a copy of a Google Doc, and sharing a Google Doc is often the better option when people need to comment rather than just read.
