How to Free Up Space on Google Drive, Gmail and Photos (2026)

To free up space on Google Drive, empty the trash in Drive, Gmail and Photos, then open Storage in Drive to see your biggest files and delete what you don't need. The detail people miss: Gmail attachments and phone backups share the same storage, so clear those too.

The 'storage almost full' banner always seems to appear at the worst moment: mid-upload of a client video, or when an important email bounces because your inbox can't take any more. For small business owners and creators, Google Drive tends to fill up quietly with old exports, duplicate files and footage you forgot you saved.

The good news is you can usually win back a lot of room without losing anything you need. The trick, according to Google's help, is knowing that Drive shares its space with Gmail and Google Photos, so the clear-out has to cover all three. Here's the order I'd work in.

Why your Google Drive storage fills up

Google's help explains that your Google storage is shared across Drive, Gmail and Photos. On Android, WhatsApp backups also count towards your Google Account storage. So a full Drive might be mostly email attachments or phone photos.

Two more points from Google that save a lot of confusion:

  • Only the files you own count towards your storage. Files other people have shared with you don't.
  • Files synced to your computer with Drive for desktop use your computer's disk space, which is separate from your Google storage.

Emptying trash to free up Google Drive space fast

Google calls this the fastest way to free up space, and it's the step most people skip. Deleted items keep counting against your storage until you clear them for good. Empty all four:

  1. Drive Trash: open Trash in the left menu and empty it.
  2. Gmail Trash: open the Trash folder and empty it.
  3. Gmail Spam: open Spam and delete everything there.
  4. Photos Trash: open the Trash or Bin in Google Photos and empty it.

Before you empty anything, have a quick scroll. Google warns that deleted files may be lost permanently.

Finding the biggest files in Google Drive

A handful of large files usually takes up most of the room. Google's help says that if you open Storage in the left menu of Drive, your files are listed from largest to smallest. Start at the top:

  • Old video exports and raw footage you've already edited.
  • Large zip files and backups you've downloaded elsewhere.
  • Duplicate copies of presentations or design files.

For anything you want to keep but rarely use, download it to an external drive before deleting it from Drive.

Clearing duplicate files in Google Drive

Google's help is upfront that Drive has no automatic duplicate finder. Its suggestion is to sort your files by Name and look for identical names, especially ones ending in (1) or starting with Copy of. Those usually come from uploading the same file twice or making a copy to edit.

Freeing up space in Gmail

Because Gmail shares your storage, old attachments are often the hidden culprit. Google suggests searching Gmail for:

Search to type in GmailWhat it finds
has:attachment larger:10MEmails with attachments over 10 MB

Work through the results, delete the emails you don't need and then empty Gmail Trash so the space comes back. Newsletters with big images and old file transfers are usually safe to go.

Clearing Google Photos and device backups

Phone backups can take up more space than people realise. Google's help says you can delete backups you no longer need from the Backups section at one.google.com/storage/management. An old phone you've since replaced is a common one.

Removing hidden app data from Google Drive

Some apps connected to Drive store data there that you can't see in your normal file list. Google says to open Drive settings and use Manage apps to find hidden app data and remove what you don't need. Look for apps you've stopped using.

Why your Google storage hasn't gone down yet

You've deleted a mountain of files and the number hasn't moved? Google's help says storage can take 48-72 hours to update after you delete lots of files at once. Give it a couple of days before deciding something went wrong.

Keeping Google Drive tidy for a small business

Once you've cleared the backlog, a few habits stop it filling up again:

  1. Keep raw video off Drive once a project is finished. Archive it on an external drive.
  2. Delete exports and duplicates as soon as the final version is approved.
  3. Empty all your trash folders every month or so.
  4. Unsubscribe from email lists that send heavy attachments.
  5. Make sure files that belong to a client are owned by the right account, so they don't sit in your storage.

Creators in particular burn through space with footage. If you use stock clips, my list of places to get free b-roll for YouTube videos means you can download what you need per project rather than hoarding a library.

If you still can't free up space on Google Drive

  1. Check all four trash folders are empty, including Gmail Spam and Photos Trash.
  2. Look at Storage in Drive to see which files are biggest.
  3. Search Gmail for large attachments and delete them.
  4. Delete old device backups at one.google.com/storage/management.
  5. Wait 48-72 hours after a big clear-out for the total to update.
  6. If you use a work or school account, ask your administrator about your storage settings.
