How to Convert PowerPoint to PDF (Windows, Mac and Web)

To convert PowerPoint to PDF on Windows, select File, Export, choose PDF in the Save as type list, pick Standard or Minimum size and select Save. On a Mac, use File, Export and choose PDF. The thing people miss: animations and videos won't play in the finished PDF.

A PDF is the safest way to send slides to anyone outside your team. It opens on any phone or laptop, fonts don't go missing, and nobody can accidentally drag your logo off the page. I send almost every proposal and workshop pack this way.

You don't need any extra software either. PowerPoint saves to PDF on its own, whether you're on Windows, a Mac or the browser version. Here are the steps for each, plus which quality setting to pick.

Converting PowerPoint to PDF on Windows

  1. Open the presentation in PowerPoint and select the File tab.
  2. Select Export.
  3. Type a file name if you haven't already.
  4. In the Save as type list, choose PDF.
  5. Tick Open file after publishing if you'd like to check the result straight away.
  6. Choose a quality option, which I cover below, then select Save.

Your original presentation stays exactly as it was. The PDF is a separate file saved alongside it, or wherever you chose.

Choosing the right PDF quality in PowerPoint

OptionPick it when
Standard (publishing online and printing)You want sharp images for printing or a polished client document
Minimum size (publishing online)File size matters more than print quality, such as an email attachment

Microsoft's guidance is simple: Standard for high print quality, Minimum size when a smaller file is more important. If you're not sure, go with Standard and only switch if the file's too big to send.

Before you save, the Options button lets you set what gets included and choose some output settings. Microsoft's PDF article describes these in general terms, so open the box and check what's there for your version.

Saving PowerPoint as PDF on a Mac

  1. Click File, then Export.
  2. On the File Format menu, click PDF.
  3. Choose where to save it and confirm.

That's all Microsoft's Mac help lists for PDF. It doesn't describe separate quality settings for PDF on a Mac, so if the file is larger than you'd like, the fix is usually shrinking the pictures in the presentation before you export.

Downloading a PowerPoint as PDF from the browser

PowerPoint for the web does it through the print screen:

  1. Select File, then Print.
  2. Under Printer, select Save as PDF.
  3. Select Save, name the file, choose where it goes and select Save again.

Microsoft says this creates a basic PDF that keeps your layout and formatting. For more control, select Open in Desktop App in the toolbar and export from the desktop version instead.

Sending a PowerPoint as a PDF without saving it first

If you're about to email the deck anyway, there's a shortcut. Open the Share box, choose the three-dot menu and select Send a copy, then pick PDF. On a Mac it's the Share drop-down, then Share, then Send a Copy. Microsoft's help notes this is a Microsoft 365 feature on Windows, so you may not see it in every version.

What changes when PowerPoint becomes a PDF

A PDF is a snapshot. It's worth knowing what doesn't survive the trip:

Work with me

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

  • Animations and transitions don't play. Each slide appears in its finished state.
  • Embedded videos won't play inside the PDF.
  • Speaker notes aren't part of the standard slide export. If you want notes alongside the slides, print to Notes Pages or export handouts to Word instead.
  • Editing is gone. To change anything, edit the original PowerPoint and export again.

Because of the first point, I always check slides with build-up animations. If a slide relies on items flying in on top of each other, it can look cluttered as a static page, so tidy it before you export.

Checking your PowerPoint PDF before you send it

Open the PDF and flick through every page before it goes anywhere. I look for three things: text boxes that have shifted, images that look soft, and slides that only made sense with an animation. Give the file a clear name too, such as your business name and the topic, because "Presentation1.pdf" sitting in a client's downloads folder doesn't help anyone find it again.

If converting PowerPoint to PDF goes wrong

  • PDF too big: choose Minimum size, or compress the pictures in the presentation first.
  • Blurry images: switch to Standard (publishing online and printing).
  • Can't see PDF in the list on a Mac: use File, Export rather than Save As, then choose PDF on the File Format menu.
  • Browser PDF looks basic: open the file in the desktop app and export from there for more control.
  • Missing slides: hidden slides may be left out, so unhide any you need before exporting.

PDF versions of your PowerPoint for clients and lead magnets

For small business owners, a PDF of your slides is a ready-made asset. Send it after a webinar, add it to a welcome email, or turn a workshop deck into a downloadable guide. Just remember that links on your slides are easy for people to miss in a PDF, so make them obvious.

If you build documents in Canva as well, the same principles apply there, and my guide to adding clickable links in Canva helps make those calls to action stand out. For longer packs, page numbers in Canva make a downloadable guide easier to follow.

Frequently asked questions

How do I save a PowerPoint as a PDF?

On Windows, select File, Export, choose PDF in the Save as type list, pick a quality option and select Save. On a Mac, click File, Export and choose PDF on the File Format menu.

Which PDF option should I choose in PowerPoint?

Microsoft says to pick Standard (publishing online and printing) for high print quality, or Minimum size (publishing online) when file size matters more.

Can I convert PowerPoint to PDF in the browser?

Yes. Select File, Print, choose Save as PDF under Printer and select Save. Microsoft says it produces a basic PDF that keeps your layout.
