To add a checkbox in Google Sheets, select your cells, click Insert in the top menu, then choose Checkbox. For Yes and No values, use Data, then Data validation, and pick Checkbox with custom cell values. iPhone users can tick boxes but add them on a computer.
A to-do list is more satisfying when you can tick things off. In Google Sheets you can do exactly that, and the tick turns your spreadsheet into a simple task tracker, attendance list or approval sheet.
The steps below follow Google's help page on checkboxes. One thing to know early: Google's computer instructions are the full version, and the phone apps are more limited.
Inserting a checkbox into Google Sheets cells
- Open a spreadsheet in Google Sheets on your computer.
- Select the cells where you want checkboxes.
- In the top menu, click Insert, then choose Checkbox.
You can select one cell or a whole column. Each selected cell gets its own box, ready to click.
Deleting checkboxes from Google Sheets
Select the checkboxes you want to remove and press Delete. Google's help gives that one-line instruction, and it's as simple as it sounds.
Using custom values with a Google Sheets checkbox
By default a checkbox is just ticked or unticked. If you want a word to appear in the cell instead, such as Yes and No, Google gives you a route through Data validation:
- Select the cells for your checkboxes.
- Go to Data, then Data validation.
- Next to Criteria, select Checkbox.
- Click Use custom cell values.
- Next to Checked, type a value. Optionally, next to Unchecked, type another.
- Click Save.
Google uses Yes for checked and No for unchecked as its own example. This is useful when another formula or an exported report needs to read a word rather than a tick.
Adding a checkbox in the Google Sheets app
On Android, Google's steps run through Data validation:
- Open the spreadsheet in the Google Sheets app.
- Select the cells you want to have checkboxes.
- At the top right, tap More, then Data validation.
- Under Criteria, tap Checkbox.
On iPhone and iPad, Google's help is lighter. It says that after you add checkboxes on your computer, you can check and uncheck a cell from your iPhone or iPad. I couldn't find insertion steps for those devices in the official page, so add the boxes on a computer first.
What you can do with Google Sheets checkboxes
Google says checkboxes can track a project, record attendance, or work as a to-do list. It also says you can use them with charts, filters, pivot tables and functions. Here's how that looks in a small business:
- Content plan: a Published column where you tick posts as they go live.
- Client onboarding: a tick for each step, such as contract signed or access received.
- Team rota or training: attendance ticks next to each name.
- Weekly routine: a list of recurring jobs you tick off and reset on Mondays.
Because checkboxes work with filters, you can hide everything ticked and see only the jobs still waiting. That one trick makes a plain list feel like a real task manager. If you're deciding how much to build yourself, my walk-through of filling in a Google Docs template correctly shows the same tidy-first thinking.

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Setting up a simple task tracker with Google Sheets checkboxes
Here's a layout I'd use for a weekly routine. It uses nothing beyond the steps above:
- Put your task names in column A, with a heading in row one.
- Select the cells next to them in column B and insert checkboxes.
- Add a heading such as Done in B1 so everyone knows what the boxes mean.
- Share the Sheet with the people who need to tick things off, giving them edit access.
- At the end of the week, select the boxes and untick them, ready to start again.
If you'd rather see Yes or No in the cell, set the custom values first, then insert. That way your boxes and your words always match. Keep the task list short, because a tracker with five jobs gets used and one with fifty gets abandoned.
Google Sheets checkboxes versus a form
Checkboxes are for you and your team to tick things in a shared Sheet. If you want customers or colleagues to submit answers themselves, a form is a better fit, and my comparison of Google Forms alternatives explains what's out there.
A final tip on layout: put the checkbox column right beside the thing it relates to, and keep a clear heading above it. When someone opens the Sheet for the first time, they should understand in a few seconds what ticking a box means. If the meaning is ambiguous, say so in the heading, for example Sent or Approved rather than just Done.
If a Google Sheets checkbox won't appear
- Check you have edit access to the Sheet.
- Select the cells first. Insert, Checkbox needs a selection.
- On a phone, use the Data validation route in the app, or add the boxes on a computer.
- If the cells are protected, ask the owner to change the permissions.
- Reload and try once more.
