An ID card maker lets you design an employee, student or membership ID card with a photo, name and logo, then print it on a card printer or order it printed for you. Some are free online designers, some are ID card software for an in-house printer and some are printing services that post the cards. Nine options follow in no particular order.
An ID card has to do two things at once. It has to look official enough to trust at a door or reception desk, and it has to be easy to issue the day a new starter arrives.
The nine tools below cover both ends, from a single club card to a full in-house ID program. They're listed alphabetically and in no particular order, and every description comes from the vendor's own website, read this week. If your cards are for an event, my guide to ID cards for event security explains how they fit into the wider plan.

I checked the free plan column on each tool's own website, as of Oct 2026. Yes means the site says the tool, or a plan or version of it, is free or open source. Trial only means a time-limited trial. Not stated means the pages I read named neither, even where there's a button inviting you to try it, so check the vendor's page before you sign up.

- Printing plastic badges in the office: Badgy.
- A one-off design for a club: Canva.
- Managing secure credentials at scale: CardExchange.

Your company ID won't get you through airport security
The Transportation Security Administration (TSA) list of acceptable identification at US airport checkpoints names state REAL ID driver's licences and ID cards, passports, trusted traveller cards, military IDs and other government-issued documents. Employer and school ID cards aren't on it, and travellers without acceptable ID can pay a fee to use TSA ConfirmID to verify who they are.
It's worth saying in your onboarding. Staff on business trips sometimes assume a smart photo badge counts as ID, and it doesn't. Treat the cards you make as access and recognition tools inside your own buildings, and remind travelling staff to carry the government ID their airline and TSA accept.
Online designer, in-house printer or printing service?
An online designer is fine for a few cards for a club, team or volunteer group. You design the card and print it, or order a small batch.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
An in-house printer and ID software suit schools and employers who issue cards every week. You control the photos and data, and a lost card can be replaced in minutes.
A printing service sits in between. You upload names and photos, and finished cards arrive by post, with no printer to maintain.
If staff also need business cards, our round-up of free business card makers compares tools that share the same branding.
Six questions before you choose ID card software
- How many cards will you issue each month?
- Do cards need a barcode, magnetic stripe or chip for doors?
- Who takes and stores the photos?
- How will you replace a lost card quickly?
- Do cards need to work with your visitor or access system?
- Is the card printer you own supported by the software?
A card looks more official with your logo on it, and our list of free AI logo generators for small businesses compares tools that make one without a watermark.
Signs your ID card system needs work
- Photos are years out of date. Set a renewal cycle.
- Nobody knows how many cards are out. Keep a register.
- Replacements take a week. Print in-house or use a faster service.
- Leavers keep their cards. Add them to the exit checklist.
Do you make an ID card maker? Tool makers can ask to be considered for a featured place on this list.
My plain advice on ID cards that stay useful
Decide what happens when someone leaves before you print the first card. Every ID program fails at the exit: cards stay in drawers, doors keep opening and nobody knows who still holds one. Add an expiry date or a renewal colour from day one, and collect the card in the same meeting as the laptop.
If cards are part of event planning, my community event programming template helps you map who needs access to what.

Frequently asked questions
What is an ID card maker?
It's a tool or service that lets you design employee, student or membership ID cards with a photo, name and logo, then print them or have them printed.
Can I make an ID card for free?
Some online designers let you design an ID card for free. Printers, blank cards and printing services are charged separately. Check the free plan column above.
Is a company ID card valid at the airport?
No. TSA's list of acceptable checkpoint ID covers government documents such as REAL ID licences and passports, not employer or school cards.
Do I need a special printer for ID cards?
For plastic cards, yes. ID card printers print onto plastic cards, while paper cards can be printed on an ordinary printer and laminated.
What should an employee ID card include?
Usually a clear photo, full name, organisation name and logo, and often an expiry date or ID number.
How do I stop old ID cards being used?
Add an expiry date, keep a list of issued cards and collect the card when someone leaves.
