A good Expensify alternative makes it quick to snap receipts, submit claims and approve them, and gets clean records into your accounting software. Check receipt scanning, company cards, mileage tracking, approvals and accounting integrations. This page lists ten tools in no particular order.
Expense admin is one of those jobs nobody enjoys. The right tool turns a shoebox of receipts and a monthly spreadsheet into a few taps on a phone and a tidy export for your bookkeeper.
These ten Expensify alternatives are listed in no particular order, sorted alphabetically: spend management platforms with company cards, receipt apps and mileage trackers for sole traders. Each description comes from the tool's own website, re-checked today. If you work with a bookkeeper, my guide to remote bookkeeping work shows the process from their side.

What the tax office wants you to keep
Here's what matters more than the app. GOV.UK lists the proof self-employed people should keep, including all receipts for goods and stock, bank statements, sales invoices, till rolls and bank slips, and it says records must be kept for at least 5 years after the 31 January submission deadline of the relevant tax year. Whatever tool you choose, check that it stores a clear image of each receipt, lets you export everything, and won't lose your history if you cancel.
Receipt app, spend platform or card provider?
- Receipt and mileage apps suit sole traders and very small teams.
- Expense management tools add claims, policies and approvals for staff.
- Spend management platforms combine company cards, receipts and approvals, so claims shrink because staff spend on a company card.
Setting up expenses for a small team
- Write a one-page expense policy: what's allowed, limits and deadlines.
- Choose categories that match your accounts, not the app's defaults.
- Connect the tool to your accounting software and test one claim end to end.
- Decide who approves what, and set a backup approver for holidays.
- Remind staff to snap receipts on the day, not at month end.
If you want to see what your spending data can tell you, my experiment with analysing a year of invoices with AI is a good example.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
VAT and receipts
If you're VAT registered, the receipt itself matters, not just the amount. Check that the tool captures the supplier's details and VAT clearly, and that your bookkeeper can see the original image. Some online platforms issue receipts that don't show VAT the way you expect, so it pays to check. My explainer on whether Facebook charges VAT on ad spend is one example of how confusing this can get.
Mileage for people on the road
If you or your staff drive for work, mileage can be a bigger claim than receipts. Apps with automatic journey tracking save a lot of guesswork, but check how they treat personal trips, and keep a note of the business reason for each journey.
Approvals that don't hold everyone up
Slow approvals are the most common complaint about expense tools. Set a simple rule, such as claims under a set limit approved automatically and anything above it checked by a manager, and give each approver a deputy. Most tools let you set reminders, so claims don't sit waiting while someone's on holiday. Staff who get reimbursed quickly are far more likely to submit receipts on time, which makes month end easier for everyone.
Review your categories and rules every few months. If the same questions keep coming up, the policy probably needs a clearer line, not more emails.
Do you make expense or spend management software? Tool makers can ask to be considered for a featured place on this list.
My plain advice on replacing Expensify
Match the tool to your size. A sole trader needs a good receipt and mileage app, while a team needs approvals, and a growing company may be better off with company cards that cut claims altogether. Whatever you pick, make sure you can export every receipt, because the tax office cares about your records, not your app.

How can I speed up expense approvals?
Set automatic approval below a limit, give each approver a deputy and turn on reminders.
