Good recruitment agency software tracks candidates and client relationships in one place, handles pipelines for every live role and keeps candidate data organised. The right fit depends on your agency's size and the roles you fill. This page lists ten options in no particular order, then covers how to choose and what to check before switching.
Every recruitment agency juggles two sets of relationships at once: the candidates you place and the clients you place them with. When those live in separate spreadsheets, inboxes and job boards, good candidates slip through and client follow-ups get missed. Recruitment agency software brings both sides into one system, so your consultants can see the full picture.
This page covers ten options in no particular order, listed alphabetically. I've included smaller, independent platforms alongside a few well-known names, because a smaller agency often gets on better with a lighter system. The descriptions come from each tool's own website and directory listings. If you hire for your own business rather than for clients, my guide to applicant tracking systems is a better starting point.
Recruitment agency software compared side by side
In the free plan column, Yes means the tool's own site lists a permanent free version. Trial only means there's a free trial but no ongoing free plan, and No means neither is offered, usually because the vendor works through a demo. Plans change often, so check each site before you decide.

Features recruitment agencies need from their software
Agency recruitment is different from hiring for your own company. You're selling to clients as well as finding candidates, so the software needs to support both jobs.
- Candidate tracking: profiles, CVs, notes and where each person sits in each process.
- Client CRM: contacts, companies, job orders and a record of every conversation with hiring managers.
- Pipelines: a clear view of shortlists, interviews and offers for every live role.
- Job posting: sending vacancies to job boards and your own careers page without retyping them.
- Email and calendar links: so conversations and interviews are logged automatically.
- Reporting: activity, placements and pipeline by consultant and by client.
- Contract and temp support: timesheets and invoicing if your agency places temporary workers.
Questions to put to a recruitment software vendor
- Can it import our existing candidates, clients and notes cleanly, including attachments such as CVs?
- Does it handle the roles we fill, whether permanent, contract, temporary or executive search?
- How does it parse CVs, and how well does it spot duplicate candidates?
- Which job boards and email systems does it connect to in our country?
- How does it help us meet data protection rules on candidate data, such as consent and deletion requests?
- Can each consultant see their own desk while managers see the whole agency?
- What does onboarding look like, and who trains the team?
Candidate data is personal data, so data protection rules apply. If you're not sure what's required of your agency, check with a data protection specialist or the relevant regulator for your own situation.
Which recruitment software suits which kind of agency
- Solo recruiters and new agencies usually want something quick to set up, with a simple pipeline and a client CRM in one view.
- Agencies placing contractors and temps often need timesheets, invoicing and workforce tools built in, not bolted on.
- Executive search firms tend to value detailed notes, long candidate relationships and careful client reporting.
- Larger staffing firms with many consultants usually need strong permissions, reporting across teams and plenty of integrations.
- Agencies keen on automation may want AI help with sourcing, shortlisting and outreach, as long as a person still reviews the results.
If AI screening interests you, my guide to AI tools that help recruiters screen candidates faster looks at that side in more detail.
Switching your agency to new recruitment software
- Audit your data first. Remove old, duplicate and out-of-date candidate records before you migrate.
- Agree your pipeline stages as a team so everyone records progress the same way.
- Move live roles and active candidates first, then bring older records across once the basics work.
- Connect email and calendars early, because that's where most of the time saving comes from.
- Give consultants a short, practical training session built around their own desks, not a generic tour.
- Keep the old system available for a little while so nobody loses a note in the changeover.
Common recruitment agency software mistakes to avoid
- Buying for the agency you hope to become rather than the one you run today.
- Letting the busiest consultant skip the trial. If they won't use it, the data will never be complete.
- Overlooking candidate experience. Clumsy application forms and slow replies put good people off.
- Forgetting the client side. A recruitment tool that's great for candidates but weak on client relationships misses half the job.
- Leaving data protection until after launch, when it's far harder to fix.
Why smaller recruitment platforms can work well for agencies
Smaller and newer recruitment platforms often have a tidier, more focused design, and they're usually quick to set up. For a boutique agency, that can mean consultants spend more time talking to people and less time fighting the software. Support can be more personal too.
Before you sign up with a smaller vendor, check that it's still being developed, look at recent comments from other agencies in directory listings, and confirm you can export your candidates and clients if you ever need to move.
Do you make recruitment agency software? Tool makers can ask to be considered for a featured place on this list.
Before you choose recruitment agency software
Shortlist two or three platforms that match your agency's size and the roles you fill. Ask each vendor to walk through one of your real live roles, from new job to placement. Get at least two consultants to try it, check how it treats candidate data, and make sure it works with the job boards and email you already use. If you're also tidying up your own internal HR, my round-up of HR software for small businesses covers that side.
Frequently asked questions
What is recruitment agency software?
It's software that helps recruitment and staffing agencies manage both candidates and clients. It usually combines an applicant tracking system for candidates with a CRM for client companies and job orders.
What's the difference between an ATS and a recruitment CRM?
An applicant tracking system follows candidates through hiring for specific roles. A recruitment CRM manages longer-term relationships with clients and candidates. Agency software usually combines the two.
Do small recruitment agencies need dedicated software?
A one-person agency can start with spreadsheets, but once you have several live roles and a growing candidate pool, dedicated software makes it much easier to keep track and follow up.
Can recruitment software post jobs to job boards?
Many agency platforms can send vacancies to job boards and a careers page. Check which boards each one connects to in your country before you choose.
Is there free recruitment agency software?
A few tools offer a permanent free plan with limits, while most offer a free trial or a demo. Check each tool's own site for its current options.
