The right fleet management software depends on whether you mainly need to track vehicles, keep them maintained or both. Small van businesses should look for easy driver apps, flexible contracts and automatic service reminders. This page lists ten tools in no particular order, then covers types, questions to ask and rollout tips.
If you run a few vans for a trade, a delivery round or a mobile service, you'll know the questions that eat up your day: where's that van, when's it due a service, and did anyone do the walkround check this morning? Fleet management software answers those questions on a screen instead of on the phone.
I've gathered ten tools in no particular order, sorted alphabetically. Seven are smaller or challenger brands, because a small business with five vans rarely needs the same system as a national haulier. Each description comes from the company's own website. For more on taking the admin out of company vehicles, read my guide to saving time on vehicle management.
Fleet management software compared
In the free plan column, Yes means the company's own site shows a permanent free version, Trial only means a free trial with no ongoing free plan, and No means the site mentions neither (many fleet providers work through a demo or a contract). Check the current terms on each site before you sign anything.

Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Tracking, maintenance or both: picking a fleet software type
Fleet software splits into two broad camps, and knowing which you need saves a lot of demos.
- Tracking-led systems use a device fitted to each vehicle to show location, journeys and driving behaviour. They suit businesses that need to know where vans are, prove arrival times or reduce harsh driving.
- Maintenance-led systems focus on service schedules, inspections, defects and work orders. They suit businesses whose biggest headache is keeping vehicles legal and roadworthy.
- All-in-one platforms do both, often with dashcams and driver apps. They suit growing fleets that would otherwise run two or three separate tools.
Fleet software questions for a small van business
Before you book a single demo, jot down how many vehicles you run, who drives them, and the two or three problems that take up most of your week. Then use these questions to test each provider against your own situation, not against their sales script.
- Does it need a tracker fitted to each vehicle, and who installs it?
- Is there a minimum contract length, and what happens at the end of it?
- Can drivers complete vehicle checks on their own phones?
- Does it send service and inspection reminders automatically?
- Can I add a single vehicle at a time as the business grows?
- Does it work with my accounting or job management software?
- How is driver data stored, and who can see it?
Rolling out fleet management software to your drivers
Some staff are wary of tracking, so explain why you're bringing it in before the first device goes in. Focus on the benefits to them: fewer phone calls asking where they are, quicker help after a breakdown and evidence on their side if a customer disputes a visit time. Give them a short written policy covering what's tracked and when.
Start with the basics, such as live location and daily checks, and add reports once everyone's comfortable. If you're adding cameras too, my guide to choosing a dash cam explains the main types.
Fleet management mistakes to avoid
- Signing a long contract before you've seen the system work on your own vehicles.
- Buying advanced features you won't use, such as detailed fuel analytics for a three-van fleet.
- Ignoring the driver app. If checks are fiddly on a phone, drivers won't do them.
- Forgetting data protection rules on tracking staff, particularly outside working hours.
- Letting alerts pile up unread. Decide who reviews them and how often.
Fleet software tracks and reminds, but it won't replace good habits. My list of car care tips every driver should know is a useful thing to share with your team. For questions about tax, employment or tracking rules for your own business, check with your accountant or a solicitor.
Do you make fleet management software? Tool makers can ask to be considered for a featured place on this list.
Last steps before choosing a fleet system
Decide whether location, maintenance or both matters most to you, then shortlist two or three tools of that type. Ask each one for a trial or a pilot on a couple of vehicles, involve one or two drivers in the test, and read the contract terms carefully. Pick the system your drivers will use without being chased.
Frequently asked questions
What does fleet management software do?
It helps you run company vehicles from one place. Depending on the tool, that includes live location, journey history, driver behaviour, vehicle checks, service reminders and maintenance records.
Do I need fleet software for just a few vans?
Not always, but even small fleets find it useful for service reminders and digital vehicle checks. Several tools are aimed at businesses with only a handful of vehicles.
Do I need a tracker fitted to every vehicle?
Only for tracking features. Maintenance and inspection tools usually work through an app and don't need any hardware.
Is it legal to track employees' vehicles?
Rules vary by country and situation, particularly around private use and working hours. Tell staff what's tracked and check with a solicitor about your own circumstances.
Which fleet software works with dashcams?
Many tracking platforms offer their own dashcams or connect to them. Ask each provider which cameras are supported before you buy.
