Best AI SOP Generators (2026): 9 Tools Compared

An AI SOP generator writes standard operating procedures for you, either by watching you do a task and turning the clicks into steps and screenshots, or by drafting the procedure from a prompt. Some produce written guides, some make videos, and some sit inside a training or knowledge platform. Nine options follow in no particular order.

The knowledge that runs a small business usually lives in one person's head. When they're on holiday, the business finds out exactly which bits nobody wrote down.

SOP generators get it out of their head and onto the page with very little effort. The nine tools below are listed alphabetically and in no particular order, and every description comes from the vendor's own website, read this week. If new starters are your main reason, my new hire checklist pairs well with them.

AI SOP generators at a glance

I checked the free plan column on each tool's own website, as of Oct 2026. Yes means the site names a free plan, a free version, a free account, a free edition, a free tool or an open source release. Trial only means a time-limited trial. Not stated means the pages I read named neither, even where there's a button inviting you to try it, so check the vendor's page before you sign up.

Matching an SOP generator to how you document

  • Guides captured while you click: Dubble or Scribe.
  • Recordings turned into polished SOPs: Glitter AI or Tango.
  • Offline guides with many export formats: Folge.
  • Video how-tos instead of written ones: Guidde.
  • Software rollouts and process change: Trupeer.
  • A home for processes and onboarding: Waybook.
  • Frontline and warehouse teams: Whale.

Some procedures have to be written and trained

The Occupational Safety and Health Administration's lockout/tagout standard, 29 CFR 1910.147, outlines procedures for controlling hazardous energy during servicing and maintenance, and says employers must train each worker to know, understand and follow the energy control procedures.

That's a reminder that an SOP isn't finished when it's written. For safety-critical work the procedure has to exist, be trained and be followed. A generator gets you a clear first draft quickly, and the training and sign-off are still your job.

Capture tools, video guides or prompt-written SOPs?

Capture tools record what you click and turn it into numbered steps with screenshots. They're best for software tasks.

Video guides suit people who learn by watching, and work well for onboarding.

Prompt-written SOPs are fast for tasks that don't happen on a screen, such as opening up a shop or handling a complaint, but they need checking by someone who does the job.

Questions to ask before you pick an SOP tool

  1. Does it capture the steps automatically or need typing?
  2. Can it blur passwords and customer details in screenshots?
  3. Where will staff find the SOPs when they need them?
  4. Can you update a guide quickly when a process changes?
  5. Does it export to PDF or Word for audits?
  6. Can you see who has read each procedure?

Signs your business needs SOPs

  • Holidays stall the work. Write the process down.
  • New starters ask the same questions. Give them a guide.
  • Quality varies by who's on shift. Standardise the steps.
  • Mistakes repeat. Fix the procedure once.

My plain advice on SOP generators

Start with the five tasks that would cause the most trouble if the person who does them left tomorrow. Record each one once, let the tool write it up, then hand it to someone else and watch them follow it without help. Wherever they stop, the SOP needs another line.

Once your procedures exist, smarter systems for client onboarding show how to build them into the way you work.

Frequently asked questions

What is an AI SOP generator?

It's a tool that writes standard operating procedures for you, from a recording of the task, your clicks or a written prompt.

Can AI write an SOP from a screen recording?

Yes. Several tools turn a recording or your clicks into numbered steps with screenshots, ready to edit.

Is there a free AI SOP generator?

Several tools offer a free version or free tool. Check the free plan column above and confirm on each vendor's site.

What should an SOP include?

A clear purpose, who it's for, the steps in order, any safety or quality checks, and who to ask when something goes wrong.

How often should SOPs be updated?

Whenever the process or software changes, and on a regular review cycle so old steps don't linger.

Are AI-written SOPs accurate?

They're a strong first draft. Have the person who does the task check every step before anyone relies on it.
