The best SOP software helps you write down how work gets done, keep those procedures up to date and make sure your team can find them when they need them. Some tools capture processes automatically, some focus on training and some turn procedures into checklists or workflows. Ten options follow in no particular order.
Every business runs on processes, but in most small businesses they live in someone's head. When that person is off sick or leaves, the work slows down or goes wrong. Standard operating procedures fix that.
The ten tools below are listed alphabetically and in no particular order, most of them from smaller, specialist providers. Each description comes from the tool's own site, read this week. If you'd like help writing the procedures themselves, my SOP writing prompt pack gives you a head start.

The policy UK employers must put in writing
Here's a rule many small UK businesses miss. HSE says that if you have five or more employees, you must write your health and safety policy down, and you must share the policy and any changes with your employees.
Your SOP tool is a natural home for that policy, because staff can read it, confirm they've seen updates and find it again when they need it. Keep it next to the procedures it affects, not in a forgotten folder.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Documents, captured guides or workflows?
Some SOP tools are document libraries where you write procedures with text, images and videos. Others capture a process automatically as you click through it. A third group turns procedures into checklists or workflows that people complete step by step.
Written libraries suit training and policies. Captured guides suit software tasks. Checklists and workflows suit repeat processes where you need proof that each step was done.
How to write SOPs your team will follow
- Start with the five tasks that cause the most mistakes or questions.
- Ask the person who does the task best to walk you through it.
- Write each step as an action, starting with a verb.
- Add a screenshot or short video where words aren't enough.
- Name an owner who reviews the SOP every few months.
- Link SOPs from the place people work, not just a library.
Features that make SOPs stick
- Search. Staff should find the right procedure in seconds.
- Read receipts. Know who has seen an update.
- Version history. See what changed and when.
- Mobile access. Procedures available where the work happens.
SOPs and new starters
Onboarding is where SOPs earn their keep. A new starter with clear procedures gets up to speed faster and asks fewer questions, which frees up your experienced staff. Build a short onboarding path that links the SOPs a new person needs in their first week.
Keeping procedures alive
Out-of-date SOPs are worse than none, because people stop trusting the whole library and won't look there again. Put review dates on every procedure, make it easy for staff to suggest changes and remove anything that no longer applies.
Do you make SOP software? Tool makers can ask to be considered for a featured place on this list.
My plain advice on choosing SOP software
Pick the tool your team will open without being reminded. The fanciest SOP platform is useless if staff keep asking a colleague instead. Ease of searching and reading on a phone matters more than advanced features.
Start small and build the habit. Document your top five processes first, use them for a month and improve them based on the questions people still ask. Once your team trusts the SOPs, they'll start adding their own. If you're also building a wider help centre, compare the best knowledge base software too.
Frequently asked questions
What is SOP software?
It's software for writing, storing and sharing standard operating procedures so your team does tasks the same way every time.
Is there free SOP software?
Yes. Several tools on this list describe free use or a free plan. Check the table.
Do UK businesses need a written health and safety policy?
HSE says businesses with five or more employees must write their health and safety policy down and share it with employees.
Can AI write SOPs for me?
AI can turn notes, recordings or captured clicks into a first draft, but someone who does the task should check every step.
How often should SOPs be updated?
Review them whenever a process changes and at least every few months, and give each SOP a named owner.
What's the difference between SOP software and a knowledge base?
SOP software focuses on step-by-step procedures and training, while a knowledge base answers wider questions for staff or customers.
