Best Accounting Software for Contractors (2026): 10 Compared

The best accounting software for contractors records every bill, hour and material against the job it belongs to, so you can see which jobs make money before they finish. Small trades can start with general accounting plus a job tool, while growing firms often need construction accounting with retainage and AIA billing. This page lists ten in no particular order.

Contractors rarely get into trouble because they run out of work. They get into trouble because a job that looked healthy on paper quietly ran over, and nobody spotted it until the final invoice. Good construction accounting shows you that while there's still time to do something about it.

The ten options below run from contractor apps with a free start to construction accounting systems and full ERPs, in no particular order and sorted alphabetically. Every description is based on the vendor's own website, which I re-checked today. If you're tidying up how you take on subcontractors, my guide to what a contractor agreement should cover is worth reading alongside this.

The free plan column reads Yes where the vendor's site describes a free plan or free start, Trial only where there's a time-limited trial, and No where the site offers a demo instead.

Construction accounting terms worth knowing

  • Job costing: recording labour, materials, equipment and subcontractor bills against each job.
  • Retainage: the share of each invoice a client holds back until the work is finished.
  • AIA billing: progress billing on the AIA G702 and G703 forms many US commercial clients expect.
  • WIP reporting: work-in-progress reports showing whether each job is over or under billed.
  • Certified payroll: payroll reports for public jobs with prevailing wage rules.

How to pick construction accounting in five steps

  1. Count how many jobs you run at once and how many people log time against them.
  2. Decide whether you need AIA billing and retainage, or simple invoices will do.
  3. Ask whether payroll is built in, and whether it covers certified payroll for public work.
  4. Check how field data, such as timesheets and receipts, reaches the books.
  5. Ask for a demo using one of your own finished jobs, and compare the result with what you know happened.

The January deadline for subcontractor forms

The IRS instructions for Forms 1099-MISC and 1099-NEC say you file Form 1099-NEC for each person who isn't your employee and whom you pay for services above the reporting threshold, with parts and materials included in what counts. The form is due on or before January 31.

For a contractor using lots of subs, that's a busy January if the books are a mess. Set every subcontractor up as a vendor with their details on file, record each bill against them, and run a vendor report in December so you know exactly who needs a form well before the deadline.

Signs you've outgrown general accounting

  • You can't see job profit until the job is over. By then it's too late to change anything.
  • Retainage lives in a spreadsheet. That's exactly where it gets forgotten.
  • Your accountant rebuilds WIP every quarter. A construction system produces it from the ledger.
  • Progress bills take a day to prepare. AIA billing tools make that a much shorter job.

Once the numbers are under control, the next job is keeping the pipeline full, and my marketing guide for contracting firms covers the basics.

My plain advice on contractor accounting

If you're a sole trader or a small trades business, start with general accounting plus a job costing layer, and only move to a construction system when retainage, AIA billing or certified payroll become regular parts of your week. A big ERP before you need it means months of setup for features you won't touch.

If you already run several crews and jobs at once, put job costing first in every demo. Ask the vendor to show a job that went over, and how quickly the system would've flagged it. That one question tells you more than any feature list.

Frequently asked questions

What accounting software do small contractors use?

Many start with general accounting software and add a job costing tool on top. Growing firms often move to construction accounting with retainage and progress billing.

What is job costing in construction accounting?

It's recording labour, materials, equipment and subcontractor bills against each job, so you can see which jobs make money.

When is Form 1099-NEC due?

The IRS instructions say on or before January 31, for each non-employee you pay for services above the reporting threshold.

Do I need AIA billing?

If your clients are commercial and expect G702 and G703 progress bills, yes. Residential trades often manage with simple invoices.

Is there free accounting software for contractors?

A few tools describe a free plan or free start, usually for solo owners. Construction accounting systems mostly offer demos instead.

Can construction accounting software handle payroll?

Several systems include payroll, and some handle certified payroll for public work. Ask in the demo rather than assuming.
