An outsourced bookkeeping service keeps your books up to date for you, usually each month, by categorising transactions, reconciling accounts and producing reports, often with tax or payroll help on top. Some are specialist firms for startups or ecommerce, others serve small businesses generally. This page compares ten outsourced bookkeeping services in no particular order, with what to check first.
Bookkeeping is the job most owners put off until it hurts. A pile of unreconciled months makes tax time stressful, hides problems and leaves you guessing about how the business is doing.
Outsourcing it means someone else does the monthly work and hands you clean reports. The ten services below are listed alphabetically and in no particular order, and every description comes from the company's own website, read this week. If you'd rather keep the books yourself with better tools, start with my guide to bookkeeping software for small businesses.
Outsourced bookkeeping services at a glance
I checked the last column on each company's own website, as of Oct 2026. Yes means the site names a free trial, consultation, assessment or call before you commit. Not stated means the pages I read didn't name one. Offers change often, so confirm on the company's own page before you book.

You still own your records
The Internal Revenue Service says to keep records that support an item of income, deduction or credit on your tax return until the period of limitations for that return runs out, and to keep copies of filed tax returns.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
That duty stays with you when the bookkeeping moves to someone else. It matters most when you switch providers or a provider changes hands, because your books may sit in their system. So before you sign, ask how you'd export your ledger, reports and source documents, and in what format. Get a full export every year, whether or not you plan to leave.
Bookkeeping only, or bookkeeping plus tax and CFO?
A bookkeeping-only service reconciles accounts and sends monthly reports. It's a good fit for owners who've already got an accountant for tax.
A bundled service adds tax filing, payroll or bill pay. You deal with one firm, but make sure each part is done by someone qualified for it.
A fractional CFO service adds forecasting and advice on top of the books. It's most useful when you're making hiring or funding decisions.
Six questions to ask a bookkeeping service
- Which accounting software do you work in?
- Will there be a named bookkeeper on my account?
- How soon after month end will I get reports?
- Can you clear a backlog of past months?
- Do you handle my industry, such as ecommerce inventory?
- How do I export everything if I leave?
Signs your books need outside help
- You're months behind on reconciling. Ask about catch-up work.
- Tax time is a scramble. Monthly books fix that.
- You can't say what you made in the past few weeks. You need reports.
- Receipts live in a shoebox. Time to hand it over.
Do you make bookkeeping or accounting services? Tool makers can ask to be considered for a featured place on this list.
My plain advice on outsourcing your bookkeeping
Keep the bank feeds and the accounting software in your own name, and give the bookkeeper access, rather than letting them set up everything in theirs. That way you can change provider without losing your history. Then book a short call each month to go through the reports, because books you never read can't help you run the business.
If you're choosing a full accounting firm rather than a bookkeeper, my notes on choosing an outsourced accounting firm cover what to ask.
Frequently asked questions
What does an outsourced bookkeeper do?
They categorise transactions, reconcile bank and card accounts, and produce monthly reports, often with extras like bill pay or payroll.
Is outsourced bookkeeping worth it for a small business?
It often is when bookkeeping keeps slipping or takes hours you could spend elsewhere. Compare it with good software first.
Can an outsourced bookkeeper do my taxes?
Some services include tax filing, others only do bookkeeping. Check who prepares and signs the return.
Which software do outsourced bookkeepers use?
Many work in QuickBooks or Xero, and some use their own platform. Ask before you sign.
How long should I keep business records?
The IRS says until the period of limitations for each return runs out. Keep copies of filed returns too.
Can a bookkeeping service fix past months?
Many offer catch-up bookkeeping to clear a backlog before monthly work starts.
