The best CRM for hotels is the one that holds a clean guest profile and can message guests well, without trying to replace your reservations system. Work out first whether you need profiles and campaigns, messaging and upsell, or a PMS with a CRM built in. The eight tools here are in no particular order.
Your booking system knows when a guest arrives. It rarely remembers that they came two years ago, asked for a quiet room and booked the spa on the second night. A hotel CRM is the layer that holds on to that memory and does something useful with it.
It isn't the same purchase as a reservations system, and it's not a distribution tool either. If that's what you're after, my lists of hotel management software and hotel channel managers are where to start. Descriptions below come from each vendor's own site as of Nov 2026, so they're that vendor's words until you've seen the product run.
My advice: draw the guest data map first
Before you book a single demo, take a sheet of paper and write down everywhere a guest's details live today. You'll probably list the PMS, the booking engine, the email tool, the restaurant system, the spa, the Wi-Fi login and at least one spreadsheet somebody keeps for repeat guests.
Now mark which of those send messages. That's the map a CRM has to fit into, and it tells you more than any feature list. If you've got duplicates everywhere, profiles should be your first job. If the data's fine but nobody's using it, buy for messaging. If you're a small property with an old PMS, it may make more sense to change the PMS once than to bolt two new things on.
Don't let a pretty campaign screen decide this. Plenty of hotels already hold more guest data than they can use, and the job's getting it into one place, then sending fewer and better messages.

Profiles, messaging or a PMS with a CRM inside
Guest profiles and campaigns. Experience CRM and Bookboost are the two that put the CRM label up front. They talk about guest files, journeys and direct bookings, so look here if you want a single view of each guest and the means to act on it.
Messaging and upsell. HiJiffy, Canary, Duve and Oaky begin with the guest's stay or the run-up to it: replies, check-in, an app or an offer. They aren't CRMs in the classic sense, but this is the part your guests see. Ask how much guest history they keep once the stay ends.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Suites with the CRM included, or nearby. Profitroom pairs a booking engine with a CRM, and eviivo describes itself as an all-in-one PMS. One vendor means fewer connections to look after. It also means you'll be moving more than one thing if you ever leave, so ask what guest-profile and campaign tools you get before you assume they're deep enough.
If you're weighing up where AI fits into all this, my list of AI tools for hotels looks at it from that side.
When a guest unsubscribes, who hears about it?
Here's the question I'd want every hotel to ask. A guest CRM sends marketing emails to people whose details also sit in your booking system, your email tool and possibly your upsell tool. So what happens when a guest opts out of just one of them?
The US CAN-SPAM provision at 15 U.S.C. 7704, on Cornell Law's site, makes it unlawful for a sender to start sending a commercial email covered by an opt-out request more than 10 business days after receiving that request. That clock doesn't care which of your systems took the request. A guest who's opted out has to stop hearing from you commercially, wherever the message comes from.
So ask each vendor whether an unsubscribe recorded in their tool reaches the others, how quickly, and in which direction. A connection that copies guests in but doesn't send opt-outs back is the one to watch for. This isn't legal advice, and other countries have their own rules, so check with your regulator if you're marketing to guests abroad.
What to put to each sales rep
- Can you show me one guest who has stayed three times, and what you've merged and how?
- Which systems do you read from, which do you write back to, and how often?
- If a guest unsubscribes here, what happens in my PMS and my other email tools?
- Who can see a guest's preferences, and can front desk staff use them without extra training?
- What does a message look like when a guest's profile is incomplete?
- If we leave, what do we get back, and in what format?
Watch for how directly each question gets answered. A vendor who can show the opt-out travelling between two systems on screen has done this before. One who says it depends may still be fine, but get the answer in writing.

Frequently asked questions
What's the difference between a hotel CRM and a PMS?
A PMS runs reservations, rooms and the front desk. A hotel CRM holds guest profiles and uses them for messages, offers and repeat stays. Some suites include both, to different depths.
Do small hotels need a CRM?
Not always. A small property with a tidy PMS and a decent email tool can get a long way. It starts to help when repeat guests aren't being recognised or duplicates pile up.
Can a hotel CRM get more direct bookings?
It can help by reaching past guests directly and giving them a reason to come back. Results depend on your data and offers, so ask vendors to show what their claims are based on.
Does an unsubscribe in one tool apply to the others?
It should, in effect, because the guest has opted out of hearing from you. Whether the software passes that along is a separate question, and one to test before you buy.
Is upsell software a CRM?
Usually not. Upsell tools focus on offers around the stay, while a CRM focuses on the guest across stays. They can work together, as long as they share the same guest record and opt-outs.
Will I need to replace my PMS?
Not for most guest CRMs, which sit alongside it. Ask for proof of a working connection with your specific PMS, since that link decides how good your profiles will be.
