Google Workspace AI is Gemini built into the Workspace apps your team already uses, including Gmail, Docs, Sheets, Slides, Drive, Meet and Vids, plus the Gemini app, Gemini Notebook and Studio for building flows. Gemini features are now included in Workspace subscriptions, and Business Standard is $14 per user per month on an annual commitment, as of October 2026.
That last point is the one most people miss. Google's admin help now lists Gemini AI features as included in Google Workspace subscriptions, so there's no separate AI add-on to buy before your team can start. Here's what the AI does in each app, what Business Standard gives you, and what changes on Enterprise.
Gemini in each Workspace app
| Where | What the AI does |
|---|---|
| Gemini app | Chat with Gemini for your work |
| Gmail | Summarises threads and drafts emails |
| Gemini Notebook | Gives insights grounded in the sources you add |
| Meet | Takes AI notes, with translated captions on Business Standard |
| Drive | Acts as a knowledge base for your team |
| Studio | Builds flows |
| Docs, Sheets and Slides | Built-in Gemini, with premium AI in Sheets on Business Standard |
| Vids | Included on Business Standard |
For most small teams, Gmail summaries and Meet notes are where the time savings show up first, because they cut the two jobs everyone does every day: catching up on email and writing up meetings. Gemini Notebook is the one I'd try next, with a client brief or a stack of reports, because its insights are grounded in the sources you give it.
What Business Standard includes
- Chat with Gemini.
- Gemini Notebook.
- Data confidentiality: Google says your company data isn't used for AI model training or ads.
- Premium built-in AI in Gmail, Drive and Sheets.
- AI notetaking and translated captions in Meet.
- Studio and Vids.
- 2 TB of pooled storage per user.
- Room for up to 300 users.
Business Standard is $14 per user per month on an annual commitment, or $16.80 on monthly billing, as of October 2026. That makes monthly billing a fifth dearer, so go annual if you're sure of your headcount. For every plan side by side, see this Google Workspace pricing guide.
Storage by Workspace plan
| Plan | Pooled storage per user |
|---|---|
| Business Starter | 30 GB |
| Business Standard | 2 TB |
| Business Plus | 5 TB |
| Enterprise Plus | 5 TB |
Storage is pooled, so it's shared across your organisation rather than locked to each person. That matters more with AI in the mix, because Drive becomes the knowledge base Gemini works from.
What Enterprise adds
Enterprise pricing is through Google's sales team rather than a listed figure. What you get on top is mostly about control:
- Agent management and governance with Gemini Enterprise.
- AI-powered data loss prevention.
- Context-aware access.
- Digital sovereignty.
- Data retention and eDiscovery.
- No minimum or maximum number of users.
So the step up from Business Standard isn't more AI in Gmail. It's managing agents and keeping tighter rules on data. Headcount is the other dividing line: Business Standard tops out at 300 users, while Enterprise has no minimum or maximum. If agents are what you're after, my explainer on Gemini Enterprise covers that product in depth.
Is your company data safe with Gemini?
Google says Gemini only retrieves Workspace content the user already has access to. It lists certifications including ISO 42001 and SOC 1, 2 and 3, and says Workspace can help you meet HIPAA requirements.
The access point matters more than people expect. If your Drive sharing is a mess, Gemini will surface anything each person can already open, including that sensitive file someone once shared with the whole company. Tidy your sharing before you roll Gemini out.
Rolling Gemini out across your team
- Confirm which Workspace plan you're on, since the AI features and storage differ by plan.
- In the Admin console, check the controls for the Gemini app and Gemini Notebook, which Google's admin help lists alongside Gemini Enterprise Business edition and add-ons such as AI Expanded Access.
- Review Drive sharing, so Gemini only surfaces what each person should see.
- Start with two habits: Gmail thread summaries and AI notes in Meet.
- Once those stick, move on to Gemini Notebook for research and Studio for repeat jobs.
- Look at Enterprise only if you need agent governance or stricter data controls.
Is Google Workspace AI worth switching on?
If you're already on Business Standard, you're paying for it, so yes, use it. The bigger risk isn't cost, it's a team that never changes how it works. Pick one daily job, like meeting notes, get everyone doing it with Gemini for a month, then add the next. Leave Enterprise until you've outgrown what Standard gives you.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Most teams I work with already have the AI; what they're missing is the habit of using it. I run AI training and workshops for teams, and help businesses with AI enablement, AI automation and GEO, which is about getting your business seen and cited in AI answers. Most of that work is with SaaS marketing teams, telecom companies and small businesses. Here's how we can work together.
