What Is Canva? What It Does and Who It's For

Canva is an online design tool that lets you create social media posts, presentations, videos, documents, logos and print products using drag-and-drop templates. It launched in 2013, runs in your browser or as an app, and has a free version, with Canva Pro adding premium content and extra features.

If you've ever wondered how a small business suddenly has polished Instagram graphics, a slick pitch deck and matching business cards without hiring a designer, the answer is usually Canva. It's the tool I recommend most often to business owners who need to look professional without learning Photoshop.

Canva in plain English

Canva is a design platform that runs in your web browser, on your phone and as a desktop app. You pick a template, or start from a blank page, and drag in text, photos, icons and video. When you're done, you download the file, share a link, post straight to social media or order printed copies.

Canva describes itself as an online design and publishing tool with a mission to help everyone design anything and publish anywhere. It launched in 2013, and its about page reports more than 220 million monthly active users across 190 countries, with the product available in 100+ languages.

What you can make with Canva

Documents and sheetsProposals, reports, simple dataDownload as Word, PDF or spreadsheet files

How Canva works, step by step

  1. Create a free Canva account and log in.
  2. Search for what you want to make, such as Instagram post or Presentation.
  3. Choose a template or a blank design at the right size.
  4. Edit text, swap in your own photos and change colours in the editor.
  5. Select Share to download, share a link, present or print.

Canva Free vs Canva Pro

The free version is surprisingly generous, and plenty of small businesses never upgrade. The main difference you'll notice is the premium content. Canva's help pages explain that premium elements show a watermark on your design if you're a Canva Free user, and that upgrading to Canva Pro or Canva Teams removes them.

Pro also adds tools such as transparent PNG downloads, file size controls and CMYK colour for print, plus brand kits for keeping your fonts and colours consistent. If you only make a few graphics a month, start free and see if you hit the walls.

Teachers get a better deal still. Canva Education is free for eligible K-12 teachers and the students they invite.

The catch most people miss: templates aren't exclusive

Canva's templates are used by millions of people, so the same layout you love may already be on a competitor's flyer. That matters most for logos. Canva states that logo templates can be used by anyone, so your rights to a template-based logo are non-exclusive and you can't register it as a trademark. If your logo needs legal protection, build it from fonts and simple shapes, or upload your own original artwork.

For everyday social posts this rarely matters. Just change enough of the template, such as fonts, colours, photos and layout, that it looks like you rather than the default.

What you need to run Canva

It works in up-to-date browsers. Its technical requirements list Chrome 99 or higher, Firefox 102 or higher, Safari 15.4 or higher and Edge 99 or higher, with iOS 15.4 or higher for the iPhone and iPad app. There are also desktop apps for Windows and Mac. A stable internet connection matters more than a fast computer, because your work saves to the cloud as you go.

Mistakes new Canva users make

  • Starting at the wrong size. Pick the design type for the platform first, so you aren't stretching a square post into a story later.
  • Using five fonts on one graphic. Two is plenty. Save them in a brand kit so every design matches.
  • Leaving the template's stock photos in. Real photos of you, your team and your product beat generic ones every time.
  • Downloading the wrong file type. PNG suits graphics with text, JPG suits photos, and PDF Print is the one for anything going to a printer.
  • Forgetting about mobile. Most people will see your post on a phone, so preview it small before you publish.

Who Canva is for

  • Small business owners who need on-brand graphics fast.
  • Marketers and social media managers producing content every day.
  • Teachers and students making lessons, worksheets and projects.
  • Coaches and consultants creating slides, workbooks and lead magnets.

It's less suited to heavy professional work such as complex print layouts or detailed photo retouching, where dedicated design software still wins. If you're weighing up where to make content, my guide to content creation sites worth using compares the main options.

My verdict

Canva is the fastest way for a non-designer to produce professional-looking marketing, and the free version is enough to find out whether it suits you. Use templates as a starting point rather than a finished product, keep your logo original, and upgrade only when the premium content or brand tools would save you real time. Getting the sizes right matters too, and my guide to Facebook ad image dimensions is a good place to start.
