Power BI Alternatives (2026): 10 BI Tools Compared

The right Power BI alternative depends on who builds the reports and who reads them: open-source BI tools suit teams with technical help, analytics platforms in business suites suit small companies, and enterprise BI suits large organisations with many data sources. Check how sharing works before you build, because that's where licences usually bite.

Power BI is powerful, but it isn't always the right fit. Some teams don't work in the Microsoft world, some want something simpler for a handful of dashboards, and some just want to share reports without licensing everyone who reads them.

Below are ten alternatives in no particular order, sorted alphabetically, from small open-source projects to established business intelligence platforms. Each description comes from the tool's own website, re-checked today. If your reporting is mostly marketing data, my guide to managing marketing data is a good place to start before choosing a tool.

Start with the questions you want answered, not the charts you want to see. A clear list of five questions will tell you more about the right tool than any feature comparison.

Power BI alternatives at a glance

In the free plan column, Yes means the tool's own site describes a free plan or free open-source use, Trial only means a time-limited trial, and No means neither is stated. Self-hosted tools are free to use but need a server.

Ten BI tools to consider instead of Power BI

Apache Superset

Best for: Data teams who want an open-source platform for exploring data and building dashboards on their own servers.

Domo

Best for: Larger businesses who want data connections, dashboards and data apps in one cloud platform.

Grafana

Best for: Technical teams who want live dashboards for systems, operations and time-based data.

Holistics

Best for: Analyst teams who want to define metrics once and let colleagues explore them safely.

Lightdash

Best for: Data teams who want open-source BI that builds on the metrics already defined in their warehouse.

Metabase

Best for: Small teams who want to ask questions of their data with simple tools and share dashboards.

Qlik Sense

Best for: Organisations that want guided data exploration and enterprise analytics.

Redash

Best for: Teams comfortable with SQL who want to write queries and share charts and dashboards.

Sisense

Best for: Software companies that want to embed analytics and dashboards inside their own apps.

Zoho Analytics

Best for: Small businesses who want dashboards from their business apps and spreadsheets with a free starter option.

The sharing limit of the free licence

Here's the catch that sends many small teams looking elsewhere. Microsoft's own documentation says users with free licences can connect to data and create reports and dashboards for their own use, but they can't use the Power BI sharing or collaborating features with others or publish content to other people's workspaces.

So the free version is great for personal analysis and much less useful for a team. Before you choose any BI tool, list who needs to view reports, then check what each viewer needs on that tool. It's often the viewers, not the builders, who decide the right choice.

Work with me

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

Questions to ask before you pick a BI tool

  • Data sources: does it connect to the systems you already use?
  • Skills: do you need SQL, or can anyone build a chart?
  • Sharing: how do viewers access reports?
  • Hosting: cloud service or your own server?
  • Refresh: how often does the data update?

Building your first useful dashboard

  1. Write down the five questions the dashboard must answer.
  2. Connect only the data sources those questions need.
  3. Build one chart per question, with a plain title.
  4. Share it with two people and ask what's confusing.
  5. Set a refresh schedule and a monthly review.

Signs you need a BI tool at all

  • Copy-paste reports: someone rebuilds the same spreadsheet every week.
  • Different numbers in meetings: no single source of truth.
  • Slow answers: simple questions take days.
  • Too many logins: data spread across many apps.

If you're choosing what to measure, my north star metric worksheet helps you pick the one number that matters most.

Start small, prove the value with one dashboard, then grow. That's how BI projects survive past their first month.

Do you make BI tools? Tool makers can ask to be considered for a featured place on this list.

My plain advice on Power BI alternatives

Pick the simplest tool that answers your questions. Many small businesses buy enterprise BI and end up using three charts, when a lighter tool would have been live in a day.

And agree on your definitions first. If sales means one thing to you and another to your finance person, no dashboard will settle the argument.

Frequently asked questions

What is a good free alternative to Power BI?

Open-source BI tools are free to use if you can host them, and some business suites include free analytics plans.

Can free Power BI users share reports?

Microsoft says free users can create reports for their own use but can't use sharing or collaborating features with others.

Do I need SQL to use these tools?

Some tools expect SQL, while others let you build charts with clicks.

Is open-source BI safe for business data?

Yes, when it's hosted securely and kept up to date. You're responsible for that setup.

Which is best for small businesses?

Tools that connect to your existing apps and spreadsheets with little setup are usually easiest.

Can I embed dashboards in my website?

Several tools support embedding, though it may need an upgraded plan.

How often should data refresh?

Daily is enough for most small business dashboards. Live data suits operations.

What's the difference between BI and reporting tools?

BI tools let people explore data, while reporting tools mostly produce fixed reports.

Can I move my Power BI reports?

Not directly. You'll usually rebuild them, using the same data sources.

Can I use a spreadsheet instead?

For a few simple charts, yes. A BI tool helps once several people need the same live numbers.
