For lead capture, the realistic replacements for a website and WhatsApp chatbot builder fall into three groups: conversational forms and funnel builders, AI agents that qualify leads, and chat inboxes that also run automation. Small marketing teams should choose by where the leads need to land and who will reply to them.
Most small marketing teams pick Landbot for one reason: they want website visitors and WhatsApp contacts to turn into leads without a developer. If you're looking around, it's probably because you want a simpler form, a smarter agent, or a shared inbox where your team can reply from one place.
These ten tools are in no particular order. I've put the WhatsApp issue first, because it changes which tools make sense for you.
The 24-hour window that decides your WhatsApp follow-up
A chatbot that collects leads is only as good as where the answers go and who you're allowed to message later. On WhatsApp, a business can reply freely only while a customer-service window is open after the customer's last message. To start a conversation, or to follow up once that window has closed, it has to use pre-approved template messages.
Meta's WhatsApp Business Platform documentation sets this out: non-template messages can only be sent inside an open 24-hour window, and the window resets each time the customer sends a message. So picture a bot that captures a lead at 11pm on a Friday, and a team that replies on Monday. By then, they may not be able to answer in plain text at all.
That's why the handover matters more than the bot. Before you commit, check three things:
- How the tool sends approved templates when the window has closed, and who on your team can create them.
- Whether it records consent clearly, so you know who agreed to hear from you and on which channel.
- Where each lead goes the moment it's captured: a CRM, a shared inbox, an email alert, or nowhere at all.
Consent and marketing rules vary by country, so check the rules for where your customers are, and Meta's own policies, before you message anyone.
Forms, lead agents or a shared chat inbox?
Conversational forms and funnel builders. Typebot builds chat-style forms you can embed or run on WhatsApp, and Collectchat adds a simple lead capture bot to a site. Typeform and Heyflow are forms and funnel builders, not chatbots: they ask questions one at a time and hand the answers to the next step. Leadoo sits nearby, with conversational tools, calculators and visitor insights for turning website traffic into leads.
AI agents that qualify leads. Tars and Chatbase build agents that talk to visitors, answer questions and sort out who's worth a call. They suit teams with a steady flow of visitors and not enough people to answer each one.
Chat inboxes with automation. Respond.io brings WhatsApp, Instagram, Facebook and TikTok into one team inbox. Tidio and Crisp are support-first: live chat, a help desk or shared inbox and an AI agent, with automation on top. They're a good fit if the same people handle sales questions and support.

My advice for small marketing teams
Work backwards from the reply. Before you pick a tool, decide who answers a new lead, how fast, and on which channel. If the answer is 'whoever's free, from their own phone', you need a shared inbox more than a cleverer bot. If you get lots of visitors and few staff, an agent that qualifies leads first earns its place. If all you need is better form completion, a conversational form is the simplest move.
Then build one flow, not ten. A single lead capture flow with a clean handover will bring in more replies than a dozen half-finished bots. My list of chatbot builders is wider if you want to compare more, and the WhatsApp chatbot builders list goes deeper on that one channel.
Questions to ask before you sign up
- Can I see where a lead goes, step by step, from the first message to a person on my team?
- How does the tool handle WhatsApp template messages once the reply window has closed?
- Where is consent stored, and can I export it?
- Can my CRM or email tool receive leads without a developer?
- What happens to my flows and lead data if I leave?
If a vendor can't answer the first question clearly on a demo, keep looking. Once you've chosen, my guide to WhatsApp business templates helps with the follow-up messages.

Frequently asked questions
Can I use a chatbot to message WhatsApp leads later?
Only within the rules. Outside the customer-service window that opens after a customer's last message, a business has to use pre-approved template messages. Check how your tool handles templates before you rely on it for follow-up.
Is a conversational form the same as a chatbot?
Not quite. A conversational form asks questions one at a time in a chat style, then hands the answers on. A chatbot or AI agent can answer questions and hold a conversation, and some tools do both.
Do I need an AI agent for lead capture?
Not always. If your visitors mostly want to book or leave details, a form or simple bot is enough. An AI agent helps when visitors ask lots of different questions before they're ready to talk.
What's a shared chat inbox?
It's one place where your team sees messages from website chat, WhatsApp and social channels, so anyone can pick up a conversation and nobody replies twice.
How do I stop leads getting lost?
Send every captured lead somewhere a person will see it straight away, such as a CRM or shared inbox, set a reply target, and check the flow end to end with a test lead every week.
