Is Microsoft Teams Free? What the Free Version Includes (and Its Limits)

Yes, Microsoft Teams has a free version. Teams (free) gives you group meetings of up to 60 minutes with up to 100 people, one-to-one calls of up to 30 hours, chat and 5 GB of cloud storage per user, and Microsoft says small businesses can use it too.

A lot of people assume Teams only comes with a work Microsoft 365 account. It doesn't. There's a free version you can sign up for with a personal email address, and for small meetings and client calls it does a lot.

What Teams (free) gives you

Microsoft's free Teams page lists these for the free version:

  • One-to-one calls between Teams users for up to 30 hours.
  • Group calls and meetings for up to 60 minutes.
  • Up to 100 participants per meeting.
  • 5 GB of cloud storage per user.
  • Chat with anyone who has an email address or phone number.
  • Data encryption for meetings, chats, calls and files.
  • Meeting links that other people can join without a Teams account.

If you already have Microsoft 365 Personal or Family, you get the extra features in Teams for home without a separate account.

The 60-minute meeting limit

The catch with free Teams is the clock. Group calls and meetings stop at 60 minutes. That's fine for a quick client check-in, but it's tight for a workshop, a training session or a long strategy call. One-to-one calls are different and can run for up to 30 hours, so a long call with one person is fine.

Plan longer group sessions in two parts, or keep the agenda tight. If you regularly need group meetings of more than an hour, that's the point where the free version stops fitting.

Can a business use free Teams?

Yes. Microsoft's FAQ says the free version of Teams is available for anyone to use, including small business use and non-profit organisations. It's designed around the home and personal side of Teams, so you won't get the admin controls a larger organisation would want, but for a solo business or a small team meeting clients it works.

Communities, files and tasks on the free version

Free Teams isn't only for meetings. Microsoft lists communities for collaborating in groups and engaging with an audience, plus file sharing, tasks and polling. For a small business, that means you can run a simple client group, share files in one place and set tasks without adding anything extra.

Microsoft also lists data encryption for meetings, chats, calls and files on the free version, and anytime chat customer support if you get stuck.

Microsoft is clear that the free version is aimed at connecting with friends, family and contacts. For bigger business needs, it points people towards its business-class Teams plans instead, which is worth knowing if you're planning to grow a team around it.

Keeping meetings inside an hour

  1. Send a short agenda with the meeting link, so people arrive ready.
  2. Put the decision you need at the top, not the end.
  3. Share files in the chat before the call rather than walking through them live.
  4. Keep a clock in view and wrap up at 50 minutes.
  5. Book a second short call for anything left over.

How to start using Teams for free

  1. Go to Microsoft's free Teams page and click Sign up for free.
  2. Sign in with your Microsoft account or create one with your email address.
  3. Download the Teams app for your computer or phone, or use it in your browser.
  4. Start a chat with someone using their email address or phone number.
  5. Create a meeting link and share it. People can join without a Teams account.

Free Teams vs the business versions

There are two different things called Teams, and that's where the confusion comes from. Teams (free) and Teams for home are the personal side, with the limits above. The business versions come with Microsoft's business plans and add the admin and management tools a company needs. If you're a one-person business, the free version is usually the sensible place to start, and you can move later if your team grows.

Who Teams (free) works best for

Free Teams suits solo business owners, freelancers and small groups who meet clients for short calls, share the odd file and want a chat space that isn't their personal messaging app. Guests don't need an account, which makes client calls simple.

It suits you less if you run webinars, team training or any meeting that regularly passes the hour, or if you store a lot of files in it. The 5 GB storage and 60-minute cap are the two limits you'll feel first.

My verdict: Microsoft Teams is free and the free version is good for short meetings, client calls and chat. Keep group meetings under an hour, and you might never need more.
