Best Accounts Payable Automation Software (2026): 10 Compared

The best accounts payable automation software is one that captures supplier invoices, routes them for approval, pays vendors and syncs everything to your accounting system without retyping. Some tools start free for small teams; others are set up through a demo. This page lists ten in no particular order, then covers the US contractor form deadlines your setup has to meet.

Accounts payable is where good intentions go to queue. An invoice lands in someone's inbox, waits for a signature, gets keyed in by hand, and then somebody chases a payment that was approved a week ago. Automation won't fix a messy process, but it'll show you exactly where the bottleneck is.

Here are ten AP automation tools in no particular order, sorted alphabetically, from free bill pay apps to invoice capture tools and full payables platforms. Each description comes from the provider's own website, re-checked today. Not sure whether your volume justifies it yet? This explainer on when invoice volume counts as high helps you judge.

Payables automation tools at a glance

In the free plan column, Yes means the provider's site describes a free plan or free tier (for one tool, the free plan covers spend and expenses rather than payables), Trial only means a time-limited free trial, and No means a demo or sales call.

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

The 1099 dates your payables system has to hit

This one's for US businesses that pay contractors. The IRS instructions for Forms 1099-MISC and 1099-NEC say Form 1099-NEC must be filed on or before January 31, on paper or electronically. Form 1099-MISC is due February 28 on paper, or March 31 if you file electronically, and if a date falls on a weekend or holiday, the next business day applies.

January 31 comes round quickly after the Christmas break, so the work has to happen during the year, not in the final fortnight. That means collecting tax details when you add a new contractor, tagging which vendors need a form, and checking your AP tool can report what you sent each one. When you compare systems, ask how they handle vendor tax details and 1099 reporting, and whether that sits in the AP tool or in your accounting software.

Capture, approve, pay, sync: the four jobs

  • Capture: invoices read from email or uploads, so nobody types supplier details by hand.
  • Approve: rules that send each bill to the right person, with reminders when it stalls.
  • Pay: bank transfer, card or cheque from the same place you approved it.
  • Sync: every bill and payment posted to your accounting or ERP system automatically.
  • Audit trail: who approved what and when, which your accountant will thank you for.

Rolling out AP automation without chaos

  1. Map how an invoice moves today, from arrival to payment, and note every hand-off.
  2. Decide your approval rules, such as who'll sign off by amount or department.
  3. Choose a tool that connects to the accounting system you're already using.
  4. Start with one supplier group and run it alongside your old process for a month, so you'll spot gaps early.
  5. Set up vendor tax details for contractors well before the year end.
  6. Review the exceptions each week and adjust the rules where they're not working.

Common payables automation mistakes

  • Automating a broken process. Fix the approval chain first, then automate it.
  • Too many approvers. Every extra signature adds days, and it's rarely needed.
  • Ignoring supplier onboarding. Clean vendor records make everything downstream easier.
  • Forgetting the accountant. Involve them early so the sync matches how they work.

My plain advice on automating accounts payable

If you're a small business paying a handful of suppliers, start with a free bill pay plan or an invoice capture tool that feeds your existing accounting software. You don't need a full platform to stop retyping invoices.

If you're a mid-size team with several approvers, look for approval rules, ERP sync and vendor tax handling first, and ask for a demo using your own messiest invoices. And if you pay US contractors, make sure 1099 data is collected from the first payment, not scrambled together in January.

Frequently asked questions

What is accounts payable automation?

It's software that captures supplier invoices, sends them for approval, pays vendors and records it all in your accounting system with less manual work.

Is there free accounts payable software?

Some tools have free plans, though one free plan on this list covers spend and expenses rather than payables. Check exactly which features the free tier includes.

When is Form 1099-NEC due?

The IRS instructions say on or before January 31, whether you file on paper or electronically. If that falls on a weekend or holiday, the next business day applies.

Does AP automation work with my accounting software?

Many tools sync with mainstream accounting software. Ask for a demo of the sync with your own system before you commit.

How long does it take to set up AP automation?

Simple bill pay tools can be ready quickly, while platforms set up through a demo usually involve a guided rollout. Running old and new side by side for a month is wise.

What is the difference between AP automation and invoice capture?

Invoice capture reads the data from bills. AP automation goes further, adding approvals, payments and syncing.
