Is Google Sheets Free? What You Get and the Limits That Matter (2026)

Yes, Google Sheets is free to use with any personal Google Account, on the web and on your phone. A spreadsheet can hold up to 20 million cells, and your sheets count towards the 15 GB of storage your free account shares with Gmail and Google Photos.

I use Google Sheets for everything from content calendars to tracking where leads come from, and I've never needed to pay for it. For a small business it's a strong free alternative to Excel. Here's what's included, and the limits that start to matter as your spreadsheets grow.

What's included in free Google Sheets

  • Spreadsheets of up to 20 million cells
  • Live collaboration and comments with anyone you share with
  • Google-created templates, such as budgets, from the Template Gallery
  • Offline editing in Chrome or Edge with the Google Docs Offline extension
  • Apps for phones and tablets as well as the web

The limits that matter as you grow

Google's help pages set out the limits clearly:

  • A spreadsheet created in or converted to Google Sheets can be up to 20 million cells or 100 MB.
  • When you convert an Excel file to Google Sheets, any cell with more than 50,000 characters is removed.
  • Connected Sheets, the business feature for very large data sets, has its own limits, such as up to 200k rows for pivot tables.
  • Google says its limits are subject to change.

For most small businesses, 20 million cells is plenty. Where people hit trouble is importing huge Excel exports from other systems. If you live in big spreadsheets, my comparison of Airtable vs Google Sheets explains when a database is the better tool.

The catch: free storage is shared, and Sheets count

Google's storage help says files created or edited in Google Sheets after 1 June 2021 count against your storage quota. Your free account includes up to 15 GB, and that's shared across Gmail (including Spam and Trash), Google Drive and Google Photos. A spreadsheet is usually tiny, so Sheets on its own rarely fills it, but if the whole account stays over its quota, Google says your content becomes eligible for deletion after 2 years.

A useful detail if you share a lot: files in "Shared with me" count against the owner's storage, not yours. Make a copy, though, and the copy counts against you.

The second catch: Excel files can lose data on conversion

If you open an Excel file and convert it to Google Sheets, Google says any cell with more than 50,000 characters will be removed. That's rare in normal business spreadsheets, but it can happen with exported notes fields or long product descriptions. If a converted sheet looks short, check the original before you delete it.

How to start with Google Sheets for free

  1. Sign in to your Google Account and open Google Sheets.
  2. Start a blank spreadsheet, or click Template Gallery at the top right and pick a template.
  3. Share it with your team, choosing view, comment or edit access.
  4. Turn on offline access in Chrome or Edge if you need it without Wi-Fi.
  5. If you're new to it, my Google Sheets tutorial covers the formulas and shortcuts I use most.

What small businesses use free Google Sheets for

  • Content calendars and social media planning, shared with whoever helps you
  • Simple bookkeeping and expense tracking before you move to accounting software
  • Lead and client lists, especially when several people update them
  • Responses from Google Forms, which can feed straight into a sheet
  • Budgets and simple forecasts, starting from a template in the Template Gallery

All of those fit comfortably inside the free limits. The time to rethink is when a sheet becomes slow, when you're juggling dozens of linked tabs, or when you need permissions per row rather than per file. That's usually a sign you need a database or a dedicated tool rather than more storage.

Before you rely on free Google Sheets: a quick checklist

  • Check how much of your 15 GB is already used by Gmail and Google Photos.
  • Keep the original Excel file when you convert, in case long cells were removed.
  • Set up offline access in Chrome or Edge before you need it.
  • Make sure business spreadsheets are owned by your account, so you don't lose them if a helper leaves.
  • Watch for slow, heavy sheets, which are a sign to split the data or move to a database.

My advice

Use Google Sheets free for as long as it does the job, which for most small businesses is a very long time. Keep your original Excel files when you convert, keep an eye on your shared 15 GB, and only pay for Workspace when you need a business email address or admin controls. If your spreadsheets are starting to feel like a database, look at Google Sheets alternatives before you pay for more storage.

Frequently asked questions

Is Google Sheets as good as Excel for a small business?

For most everyday jobs, such as budgets, trackers and lists, yes, and it's free. Excel files you convert may lose cells longer than 50,000 characters, so keep the originals.

Can several people edit a Google Sheet at once?

Yes. You can share a sheet with your team and choose whether each person can view, comment or edit.

Is Google Sheets free to use?

Yes. Google Sheets is free with a personal Google Account on the web and on mobile, and your files share your account's free storage of up to 15 GB.

How many cells can a Google Sheet have?

Google says up to 20 million cells or 100 MB for spreadsheets created in or converted to Google Sheets.

Do Google Sheets count towards Google storage?

Yes, if they were created or edited after 1 June 2021. Files in Shared with me count against the owner's storage, not yours.

What happens when I convert Excel to Google Sheets?

Most of the file converts normally, but Google says any cell with more than 50,000 characters will be removed in Sheets.

Can I use Google Sheets offline?

Yes. Google says you need Chrome or Microsoft Edge and the Google Docs Offline extension turned on.
