Is Clockify Free? What the Free Plan Covers for Small Teams

Yes, Clockify is free. Clockify's FREE plan is for up to 5 users and lets you track as much time as you want, with timers, manual entries, timesheets, calendar sync and reports. You can invite up to 4 people alongside yourself. The catch to check is the data range, which Clockify lists as 1 month on the FREE plan.

Clockify is a time tracker for freelancers, consultants and small teams. You use it to see where your hours go, check how long client projects take, and spot the work that eats your week. The free plan is unusually generous for a time tracker, which is why it's so widely recommended. Here's what Clockify's own plans page says you get, and where the limits sit.

What Clockify's FREE plan includes

  • Up to 5 users. Clockify's FAQ says you can invite up to 4 people for free, alongside yourself.
  • Unlimited tracking. Clockify says you can track as much time as you want, without any limits.
  • Timer and manual entries. Start and stop the timer as you work, or enter hours afterwards.
  • Timesheets, including saved template timesheets for repeat weeks.
  • Automatic tracking of time spent on apps and websites, which Clockify says is visible only to you.
  • Calendar sync with Outlook or Google Calendar, plus time blocking.
  • Offline tracking on mobile or desktop.
  • A Pomodoro timer and reminders when you forget to start or stop.
  • Team Dashboard, showing who's active and what they're working on.
  • Reports that break down your tracked time.

The catch: the 1-month data range

Clockify's plan card says you get complete access to all your tracked data at all times. Its comparison table also notes that the data range on the FREE plan is 1 month. In practice, that's the detail to test before you rely on free for long-range reporting, such as comparing this quarter with last, or pulling a year of hours for a client review.

A simple workaround if you stay on free: export or note your monthly totals at the end of each month, so you always have a running record outside the app.

The other catch: every user counts

Clockify says every active or invited user listed on your Team page takes a seat, including the owner, admins, managers and members. Deactivated users don't. So a team of five on free means five people in total, including you. If you hire a sixth person, or invite a contractor to log hours, you'll need to remove someone or upgrade.

What upgrading adds

Clockify's upgraded plans add the controls that growing teams want. Examples from its plans page:

  • Locking timesheets so people can't change past entries.
  • Manager rights to manage projects and approve timesheets.
  • Custom fields on users, such as an employee ID or department.
  • Kiosk mode, with photo capture at clock-in.
  • Audit logs that show which entries were added manually and when.
  • Hiding projects, team and reports from regular users.

If you're a solo freelancer, you'll rarely need these. If you manage a team and need approvals or an audit trail, they're the reason to upgrade.

How to start tracking time for free

  1. Create a free Clockify account and set up your workspace.
  2. Add your clients and projects, so every entry has a home.
  3. Install the desktop or mobile app, and the browser extension if you work in web apps.
  4. Start the timer when you begin a task, or add hours manually at the end of the day.
  5. Run a report at the end of each week to see where your time went.

If you also want to organise the tasks you're timing, my page on whether Asana is free covers a project tool that suits small teams, and I've compared the main Clockify alternatives if you want to see other trackers.

Who the free plan suits

It suits freelancers, consultants and teams of up to five who want to know how long work takes. It's especially useful if you quote work by the project and want to check whether your estimates match reality. Larger teams, or teams that need approvals and locked timesheets, will outgrow it.

Free time tracking habits that help

  • Track everything for two weeks. Including admin and email shows you where time leaks.
  • Use calendar sync. Turning meetings into time entries saves typing.
  • Turn on reminders. Forgotten timers are the most common reason for messy data.
  • Review weekly, not monthly. It's easier to fix gaps while you still remember the week.

Clockify also says it offers support to everyone, whatever their plan, so you can get help on the free plan too.

Clockify free for freelancers

If you work alone, Clockify's free plan is close to everything you'll need. Track every task against a client and project, review your reports each Friday, and you'll quickly see which clients take far more time than you expected. That's useful when you renew a contract or scope a new project, because you're working from real hours rather than guesses. Clockify's automatic tracker, which records the apps and websites you use and stays visible only to you, is handy for filling gaps on days you forgot to start the timer.

My verdict

Clockify is free for up to 5 users, with unlimited tracking and most of the features a small business needs. The two things to watch are that every person counts as a seat and the 1-month data range listed for free. Start on free, keep a monthly record of your totals, and upgrade only when you need approvals, locked timesheets or a sixth person on the team.
