HubSpot Breeze Assistant: What It Can Do, Projects, Knowledge Vaults and Credits

Breeze Assistant is HubSpot's conversational AI assistant, available throughout your HubSpot account, that answers questions from your CRM data, drafts content such as emails and blog posts, and makes CRM changes after you confirm them. It's switched on for all users by default, and you open it from the Breeze Assistant icon in the top navigation bar.

Here's the useful bit most people don't know. As of October 2026, HubSpot's own setup guide recommends giving users access to Breeze Assistant because it helps with daily tasks without using HubSpot Credits. Projects and agents are different: they're built for specific jobs, such as drafting prospecting emails or managing support tickets, and may use credits, so HubSpot suggests limiting them to the teams that need them.

What Breeze AI knows when it answers

HubSpot describes three layers of context, and the assistant won't always use all three. Account-level business context is what you've set up in agent hub: your company profile, ideal customer profiles, personas and processes such as your sales methodology. Task-level context is whatever's relevant to the request, such as the record you're asking about, a file you've added or results from a connected app. Personal and project context covers memories such as your preferred tone and recurring instructions.

Its answers depend on your user permissions. If you can't see a record, it won't use it for you. If a response seems thin, HubSpot's advice is to check your context settings or rework the prompt before you give up on it.

Four ways to work with it

MethodWhat it's for, per HubSpot's help as of October 2026
PromptPlain text questions for research, general questions and exploring features
Saved promptInstructions you reuse, which can also run automatically on a recurring basis
ProjectA folder of instructions, context, knowledge vaults and tools that carries across chats
VoiceSpeak to it and it replies aloud, for example to save notes after a client meeting

Responses can include plain text, follow-up questions, inline sources for research, and confirmation cards. That last one matters: when your prompt asks for a CRM change, you get a card to confirm or cancel before anything runs. Eligible content such as an email, report or spreadsheet appears as an artifact, which is saved and versioned.

Things you can ask it to do

  • Draft an email, document or presentation, refine it in follow-up messages, and go back to any earlier version in the artifact viewer.
  • Create a blog post from a topic, a brief or the URL of an old post you want to refresh, then save it as a draft on your HubSpot blog.
  • Write replies in Gmail through the HubSpot Sales Chrome extension, using the email thread plus CRM details.
  • Explain, create or update products in your product library.
  • Draft a buying group or enrol records in a prospecting agent play.
  • Propose a full configuration for a custom agent from a plain language description.

HubSpot's own example is a rep asking it to review open deals for the week, pick the one at highest risk and draft a re-engagement email. It comes back with a summary and an email artifact. That's the kind of job it's good at: pulling scattered CRM detail into one draft you can check.

Knowledge vaults: feeding it the right context

Knowledge vaults hold specific business information for projects and agents to use, such as files from your computer, HubSpot content like knowledge base articles, or CRM segments. You create them under Agents, then Agent Hub, and HubSpot creates a default vault from your AI Context page.

As of October 2026, you can have up to 50 knowledge vaults at once, and a vault can't be saved without at least one file or CRM object in it. Documents in PDF, Word and PowerPoint formats can be up to 50 MB per file, and up to 10 images per page, post or article are processed. Access can be set per vault, from owners and Super Admins only through to everyone can edit and use. Super Admins can always reach every vault.

Connecting other apps

You can connect supported third-party apps so the assistant can fetch information or take actions there. HubSpot's examples include checking open tasks in Asana and drafting in Notion from a HubSpot record. You need your own account for each app, and only supported apps can connect. Apps you already connected through Agent Builder carry over. Click +, then Connectors, then Add connector, sign in and approve the permissions.

Getting your account ready

  1. A Super Admin turns on the account-wide AI settings, which on their own don't consume credits.
  2. Check that Give users access to Breeze Assistant is on, and restrict it for specific users if you need to.
  3. Choose which data it can draw on: CRM data, customer conversation data and files data.
  4. Fill in your brand kit, brand voice and company profile so drafts don't sound generic.
  5. Set permissions for projects and agents, giving credit-using features to named users only.
  6. Start with one saved prompt your team repeats every week.

One more access rule. For Breeze features inside other tools, users also need permission for those tools. To generate content in a blog post, someone needs Breeze Assistant access and permission to edit blog posts. Building agents in the agent builder needs Super Admin or Agent builder permissions.

Work with me

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

Is Breeze Assistant worth switching on?

I'd leave it on for everyone, because the core assistant doesn't use credits and the confirmation cards stop it changing records behind your back. I'd set up the brand kit and company profile first, since that's what stops it writing bland copy. I'd hold back on projects and agents until you've decided who owns them, because they're where credit use comes in. If you'd rather automate fixed processes with set rules, here's how HubSpot workflows work, and for the wider toolset, see my guide to HubSpot Marketing Hub.

The teams that get most from an assistant like this are the ones who've agreed which prompts they'll use every week. I run AI training and workshops for teams, and help businesses with AI enablement and workflow automation, so the busywork runs itself and people get time back. Most of that work is with SaaS marketing teams and small businesses. Here's how we can work together.

Frequently asked questions

Does HubSpot Breeze Assistant use credits?

As of October 2026, HubSpot recommends giving users access to Breeze Assistant because it helps with daily tasks without using HubSpot Credits. Projects and agents for specific use cases may use credits.

Is Breeze Assistant turned on by default?

Yes. Access to Breeze Assistant is turned on by default and all users can chat with it. Admins can restrict it for certain users.

Can Breeze Assistant change my CRM records?

Yes, but when a prompt asks for CRM changes it shows a confirmation card, and you confirm or cancel before the action runs.

How many knowledge vaults does HubSpot allow?

You can have up to 50 separate knowledge vaults at the same time.

Can Breeze Assistant write blog posts?

Yes. Give it a topic, a brief or the URL of existing content to refresh, and it generates a draft you can save to your HubSpot blog.
