How to Use Gemini in Google Sheets: Formulas, Charts and Tidy-Ups

To use Gemini in Google Sheets, open a spreadsheet on a computer and click Ask Gemini at the top right, then describe what you want in the side panel. It can write formulas, make tables, pivot tables and charts. The catch: charts it builds don't update when your source data changes.

A tangled spreadsheet can swallow an afternoon before you've noticed. A formula that won't behave, a messy export from your shop or your bookings, a chart you keep meaning to build. Gemini in Google Sheets is Google's answer to those jobs, and it works from a side panel next to your data.

This guide walks through opening it, the jobs Google says it can do, and the limits worth knowing before you build anything important on top of it. Everything here comes from Google's help pages for Sheets.

Opening the Gemini side panel in a spreadsheet

  1. On your computer, open a spreadsheet in Google Sheets.
  2. Click Ask Gemini at the top right.
  3. Type your request in the side panel, or pick one of the suggestions.

Google also lists two keyboard shortcuts. To summarise a spreadsheet, press Command, Control and N on a Mac, or Ctrl, Alt and N on Windows. To start a formula, type an equals sign in a cell, then press Command, Control and G on a Mac, or Ctrl, Alt and G on Windows or Chrome OS.

If the button isn't there, check access first. Google says the feature requires an eligible Google Workspace or Google AI plan, and personal accounts may be able to try it through its Workspace Experiments trusted tester programme. Check which accounts include it on Google's help page.

What Gemini in Google Sheets can build for you

According to Google, you can ask Gemini in Sheets to:

  • Create tables.
  • Create formulas.
  • Generate data analysis and insights.
  • Build charts and graphs.
  • Summarise emails and Drive files.
  • Apply conditional formatting.
  • Create pivot tables.
  • Sort or filter your data.
  • Find and replace text.

That's a long list, and you don't need all of it. For most small businesses the winners are formulas, tidy-ups and a quick chart.

Getting a formula from Gemini in Google Sheets

Formulas are the classic stumbling block. Instead of searching for the right function name, describe the result you want in plain English. A prompt like 'add up the sales in column C for rows where column B says Refund' gives Gemini enough to work with. Mention the column letters or headings so it knows where to look.

The shortcut for this is to type an equals sign in the cell and press the formula shortcut above. Whichever route you use, check the formula against two or three rows you can add up by hand before you trust it across the whole sheet. If you only need a basic total, my guide to summing in Google Sheets shows the plain methods that need no AI at all.

Using Gemini in Google Sheets to analyse and chart your data

Ask a question about your own data: which product line sold the most, how many enquiries came in per week, what the trend looks like. Google says Gemini can produce analysis, insights, charts and graphs, and can build pivot tables for you.

There's one detail people trip over. Google notes that charts Gemini creates are linked to the data in a new tab and don't update when your original source data changes. If your numbers change weekly, build the chart again or create a regular chart yourself.

Cleaning up with Gemini in Google Sheets

Sorting, filtering, conditional formatting and find-and-replace are on Google's list too. These are the dull jobs that eat time: highlighting overdue orders in red, sorting a customer list by date, swapping an old product name for a new one throughout a sheet.

Work with me

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

Take a copy of the sheet before you ask for a bulk change. Gemini may well do exactly what you ask, but 'exactly what you ask' isn't always what you meant.

Limits of Gemini in Google Sheets worth knowing

  • It works best with native Google Sheets files. For an Excel file, Google says to use File, then Save as Google Sheets first.
  • Conversation history is lost if you reload the browser, close and reopen the spreadsheet, or go offline, so put useful output into the sheet quickly.
  • For answers from the web, include a phrase such as 'Use Google Search' in your prompt.
  • Connectors to outside tools must be enabled by your Workspace administrator.
  • Gemini may warn you when shared or external files mean content could be visible outside your domain.
  • Gemini in Sheets conversations aren't saved to Gemini Activity, according to Google's help article.

Accuracy and privacy with Gemini in Google Sheets

Google's help says suggestions may be inaccurate or inappropriate and shouldn't be relied on as medical, legal, financial or other professional advice. In a spreadsheet, that means any number that goes to a client, an accountant or a tax return needs a human check.

Sheets often hold customer names, emails and order details. Before you ask Gemini about a sheet like that, read Google's article on how Gemini in Workspace protects your data and ask whoever manages your account what's switched on. Don't put passwords or secret keys into a sheet you share with an AI tool.

Everyday ways a small business can use Gemini in Google Sheets

  • Turn a messy export of orders into a clean table.
  • Get a formula that flags late payments.
  • Summarise a long tab of survey answers.
  • Build a quick chart for a monthly update.
  • Set up a simple pivot table of sales by product.
