To embed a YouTube video in PowerPoint, copy the video's address from your browser, go to Insert, Video, Online Video, paste it and select Insert. The detail people miss: the clip streams from YouTube, so you need an internet connection when you present.
A short clip can rescue a flat talk. A customer story, a product demo or a ninety-second explainer from your own channel often says more than three slides of bullet points. The good news is that PowerPoint lets you drop a YouTube video straight onto a slide without downloading anything.
I'll walk you through the copy-and-paste method Microsoft recommends, the slightly different menus on a Mac and in the browser, and the gotchas that make a video go blank in front of a room full of people.
Embedding a YouTube video in PowerPoint for Windows
In current versions of PowerPoint for Microsoft 365, the whole job takes under a minute:
- Open the video on YouTube in your web browser.
- Copy the page address from the browser's Address bar.
- Switch to PowerPoint and select the slide you want the clip on.
- On the Insert tab, choose Video, then Online Video.
- Paste the address into the Online Video box and select Insert.
- Drag the video frame to where you want it and pull a corner to resize it.
In Normal view you'll see a Play button on the frame. When you're running the slide show, you control it just as you would on YouTube itself.
Adding a YouTube clip to PowerPoint on a Mac
Microsoft's help says PowerPoint for Microsoft 365 for Mac and the recent standalone Mac versions can insert YouTube and Vimeo videos. Older Mac versions can't insert online videos at all, so if you can't find the option, that's the likely reason.
- Copy the YouTube page address from your browser.
- In PowerPoint, select the slide.
- On the Insert tab, in the Media group at the right-hand end, select Video, then Online Movie.
- Paste the address and select Insert.
- Select the Play button on the video to preview it.
Note the different wording: it's Online Movie on a Mac, not Online Video. It catches people out when they're following Windows instructions.
Putting a YouTube video into PowerPoint for the web
If you build decks in the browser, the steps are nearly identical. On the Insert tab, in the Media group, select Online Video, paste the address and select Insert.
The difference is playback. According to Microsoft, the clip only plays in Slide Show in the web version. Go to the View tab and select From Current Slide, then use the play button on the video. In the editing view you'll just see the frame.
Using YouTube embed code in older PowerPoint versions
Some older versions of PowerPoint work from embed code rather than a plain link. If your Online Video box has a field called From a Video Embed Code, here's the route:
- On YouTube, select Share below the video, then select Embed. Skipping the Embed step means you'll copy the wrong thing.
- Copy the code. Microsoft says it should start with iFrame or object. If it starts with http, that's the link, not the embed code, so go back a step.
- In PowerPoint, go to Insert, Video, Online Video, paste the code into the embed code box and select the arrow.
- Right-click the video frame, choose Preview, then select Play to check it.
Those older versions also have a Search YouTube box in the same dialog, so you can type the video's name, press Enter and pick it from the results. If neither option works, Microsoft's advice is to install the latest Office updates.
What happens when the embedded YouTube video plays in your slide show
This is the bit worth knowing before you present. The video isn't saved inside your file. It stays on YouTube and streams when you play it, so you'll need an internet connection in the room. A hotel conference suite with patchy Wi-Fi is exactly where this goes wrong.
- The clip uses YouTube's own play, pause and volume controls.
- PowerPoint's Fade, Bookmark and Trim tools don't apply to online videos.
- By default the clip plays as part of the click sequence. Microsoft notes you can press the spacebar to move to the next step without selecting Play.
- YouTube's own adverts, captions and suggested videos behave as they would on the site.
If you need to cut a clip down, Microsoft's help says online videos can't be trimmed. The only route is a video file saved on your own computer and inserted into a desktop version of PowerPoint, so for a video you don't own, link to the moment you want or talk over the section you need.

Why a YouTube video won't embed in PowerPoint
Run through these in order when the frame stays black or the insert fails:
| What you see | Likely reason | What to try |
|---|---|---|
| Insert fails or the video shows an error | The owner doesn't allow embedding | Check the video on YouTube; pick another clip or ask the owner |
| Black frame in the slide show | No internet connection | Connect, then restart the slide show |
| No Online Video option on a Mac | An older Mac version | Update PowerPoint, or use PowerPoint for the web |
| Embed code rejected | You copied the link, not the code | Use Share, then Embed, and copy code starting with iFrame |
| Can't trim the clip | Online videos can't be trimmed | Use your own video file instead |
Microsoft is clear that not every YouTube video is allowed to be embedded. That's the owner's choice and there's nothing you can change in PowerPoint to override it.
Using your own YouTube videos in PowerPoint for business talks
If you run a channel, a slide deck is a lovely second home for your best videos. Webinars, workshops and pitch meetings all benefit from a two-minute clip that shows rather than tells. Upload the video first, and my guide on getting a video onto YouTube from your phone or computer covers that end of things.
Don't want the clip on your public channel? Many creators set training videos so only people with the link can watch, and the difference between unlisted and private videos matters here, because a private video won't play for your audience. If you need filler footage for your own clips, there's a list of places to find free B-roll that keeps your videos looking polished.

Frequently asked questions
Do I need the internet to play a YouTube video in PowerPoint?
Yes. Microsoft's help says the video stays on the website rather than in your presentation, so you have to be online for it to play.
Can I trim a YouTube video inside PowerPoint?
No. Microsoft says online videos can't be trimmed, and Fade and Bookmark don't apply either. To trim, you'd need a video file saved on your own computer, inserted into a desktop version of PowerPoint.
Why does PowerPoint say the YouTube video can't be embedded?
Not every video on YouTube is allowed to be embedded. Microsoft suggests checking the video on the site to see whether that particular clip can be embedded.
Where is the Online Video option on a Mac?
On the Insert tab, in the Media group at the right-hand end, select Video, then Online Movie. Older Mac versions of PowerPoint don't support online videos.
Will the YouTube video play in PowerPoint for the web?
Yes, but only in Slide Show. Go to the View tab and select From Current Slide, then select the play button on the video.
